Participation Guidelines

Students must be seven years old before attending their first class. They may register before
their seventh birthday, however.
Courses are open to students as specified by each course description.
Each course description specifies the grade range for the class. All grades are based on the grade
the student will attend in fall 2013. For example, “Rising 3rd-5th graders” means this class is open to
all students who will be 3rd, 4th or 5th graders in the fall of this year.
Class Enrollment Information

Class size is kept to a minimum to allow for flexibility and individual attention provided by a
team of outstanding instructors and assistants.
Course enrollment limits are set by the individual instructors. Once a class has reached the
maximum enrollment, participants will be placed on a waiting list and will be contacted should
space in the desired class become available.
Classes are filled in the order that registrations (complete with all forms and payment) are
received. Be aware that some classes may fill very quickly, but also that a class with low
enrollment may have to be canceled.
You will get confirmation after your registration is processed, which will include class
confirmation and other information to be ready for class.
An incomplete packet may impact the placement of your child in the classes of their choice, so
please check over the packet carefully and complete the checklist provided.
Dropping off and Picking up your Child

Parents are encouraged to drop off their child (ren) at their designated classroom(s).
Please arrive no earlier than 15 minutes prior to the beginning of class.
Anyone picking up your child (including parents) will need to provide a driver’s license as
proof of identity each time you or an authorized person pick up your child.
Your child’s instructor/instructional assistant will only release your child to the
individuals listed on your Pick Up Form found later in this packet.
You (or your authorized designee) will be required to sign your child(ren) out with the
instructor/instructional assistant.
You may give permission for your child to leave his/her assigned Kids College classroom
unattended ONLY IF YOU SIGN THE PARENT RELEASE FORM found later in this packet.
This form is optional, but if we do not have this on file for your child(ren), they will not be
released without an authorized signature.
You must pick up your child within 15 minutes of the end of class (i.e., if class ends at
12:30p.m, you will need to pick him/her up no later than 12:45p.m.).
Cancellations and Refunds

A class with enrollment below the minimum set by the instructor may be cancelled. You
will be notified as soon as the decision to cancel is made. A refund will be handled
according to PDCCC policy and will be issued by mail by the Commonwealth of Virginia.
Refunds on payments made by check or cash will require parents to provide their
social security number to receive those refunds. This is because those payments are
processed through the state of Virginia, and prior to issuing refunds, the state will
run checks on those payees to ensure that they do not owe any money to the state.
Participants may receive a refund by withdrawing no later than two days before their
scheduled class. This allows Kids College staff to fill that spot with another participant.
General Program Information
Permission for Emergency Medical Treatment
• For the safety of your child, each student must have an individual health form and
pick-up form on file with Kids College (please do not group siblings on a single
form). Therefore, please complete a copy of the health form located in this
brochure for each child who will be attending the program. Applications will not
be processed until a complete, signed form is received.
• Any medical emergencies will go to the Southampton Memorial Hospital
emergency room.
Medication and First Aid
• Program staff (teachers, assistants, and administrators) may not administer any
kind of medication to the students. If a child needs any type of medication during
program hours, a parent will have to administer it. Basic first aid (Band-Aids, ice
packs, etc.) will be applied as necessary by Kids College staff.
Snacks and Lunch
• Snacks/drinks will be provided during classes during Kids College. Students may
bring snacks if they prefer.
• Students will be expected to bring lunch on days where their classes are a full day
in length. These classes are indicated in the course description.
Faculty
• Courses are taught by a variety of talented instructors including area teachers, and
faculty of area colleges, content area professionals, and passionate enthusiasts.
Discipline Policy
• The expectation is students will take responsibility for their own behavior and act
appropriately during class to foster a positive learning environment for all
students. If a student should be disruptive in a Kids College class, a warning will be
given to the student and to the parents on the day of the infraction. If the
inappropriate behavior recurs in a second class session, the child will be removed
from the class and may be removed from the program. If this happens, a refund
will not be provided.
What Not to Bring
• Please do not bring games, toys, trading cards, electronic devices and other similar
materials to classes unless the instructor has requested you to do so. Kids College
is not responsible for lost, broken or missing items.
