Position Description: This outreach notice is for the Regional Student Trainee
(Administration/Office Support) position for the Renewable Resources Department area.
The Rocky Mountain Region consists of 17 National Forests and 7 National Grasslands,
operating as 11 units. The various units fall within five western states: Colorado,
Wyoming, South Dakota, Nebraska, and Kansas. The focus of this position is to provide
administrative support to the Renewable Resource Director area. For basic
qualifications, the OPM qualifications handbook will be used.
Duties of the Position: Duties may involve but are not limited to:
Duties primarily focus on providing work and training experience to prepare the student
intern (NTE) for a more advanced, permanent administrative or clerical office position
through a variety of tasks that utilize established processes, methods, and procedures
that include the following assignments and responsibilities:
1)
Serves as receptionist for the office to which assigned. Takes messages from
supervisory to subordinates, keeps records of events and advises supervisor of
pressing deadlines, and arranges meeting and assigns conference rooms.
2)
Receives incoming mail, reports, regulations, etc., and screens material
requiring superior's attention. Routes routine material to appropriate staff of a
recurring clerical or technical administrative nature.
3)
Routes outgoing mail to appropriate organizations and individuals. Maintains
control of records of action documents and suspense documents and follows
up to ensure that deadlines are met.
4)
Initiates routine correspondence and reads outgoing section correspondence
for compliance and accuracy. Independently reviews outgoing mail for proper
attachments, signatures, etc.
5)
Maintains and monitors suspense file on correspondence and office actions to
assure timely response. Interprets, implements, establishes and maintains files
in accordance with latest Forest Service recordkeeping system.
6)
Utilizes personal computer, local area network, timekeeping software, and
email system to accomplish assignments, including text editing, file creation,
maintenance, and retrieval; use of message, calendar, and suspense systems;
as well as specialized tools in support of specific functions. Selects spacing,
arranges material, grammar, spelling, and capitalization.
7)
Uses knowledge of software to manipulate text to accomplish formats,
revisions, deletions, and additions desired by the staff, and to transmit
completed documents.
8)
Types a variety of narrative and statistical material, correspondence, reports,
etc., in final form for supervisor's signature.
9)
Performs other duties as assigned.
