PRISM General Ledger was implemented in July 1997. Since then the amount of data has grown, adversely impacting the daily performance of the system. To address this issue, Financial Information Systems has implemented software to archive historical data by removing it from the day to day processing database. The archived data will remain accessible through separate PRISM responsibilities. The goal is to maintain data for two complete fiscal years, plus the current fiscal year, in PRISM General Ledger. To achieve this goal, individual fiscal years beginning with 1998 will be archived. Fiscal year 1998 General Ledger data is scheduled to be archived on September 10, 2005. Over the next several months, General Ledger data for fiscal years 1999­2003 will be archived and notifications will be sent accordingly. This will not affect the FIS Financial Data Warehouse, which will continue to include historical data back to July 1997. Archiving will result in the following changes: 1. 2. 3. 4. Inquiry access to archived General Ledger data will no longer be available through the current GL Inquiry or Entry responsibilities. New inquiry responsibilities will be available in PRISM to access archived information. Inquiry access (security, menu paths, screen design, and reporting) to archived information will function similarly to the inquiry access currently used in PRISM.
