Proficient experience with Microsoft Word/ Excell / Outlook is REQUIRED. *Past law firm experience & ability to read and understand medical records is a plus.* Assistant will be responsible for maintaining client relations and gather as much necessary information from the client as possible (an intake sheet and questionnaire is provided). The assistant will be required to order all medical records, processing payment for medical records, submitting expense reports, requesting checks, organizing files, maintaining a client activity log, keeping a calendar, notifying clients of court dates and deadlines, scheduling meetings, replying to emails, screening phone calls, etc… PRACTICE AREAS INCLUDE: WORKERS COMPENSATION (wc) Open file Call client and gather info for case notes Send rep letter to client and adverse insurance carrier Once client has completed treatment order medical records from ALL medical providers Send check request for payment of medical records to accounting department Make sure client continues to receive weekly work comp checks (TTD checks). Keep in contact with client to get status on whether client has returned to work light duty, full duty, or is under permanent restrictions. Notify attorney once client reaches Maximum Medical Improvement (MMI). Provide attorney with all medical records, First Report of Injury (FROI), Wage statements, and TTD payment history (all this can typically be requested from the insurance adjuster). LITIGATION OF WORKERS COMP CASE Send client copy of complaint (lawsuit) Assist client with answering discovery Maintain and organize Attorney Alacourt calendar Assist with preparation of Witness and Exhibit Lists Schedule Mediations, Depositions, and Settlement Hearings. Assist in prepping client for depositions. SOCIAL SECURITY DISABILITY (ssd) Open case by contacting client and gathering info regarding treatment providers and disabling conditions. Submit appeals via SSA.GOV or mail Order medical records Occasionally order school records Access Electronic Records Express and download clients SSA file Schedule hearings with SSA. Provide medical record brief when necessary. Notify client of hearings and CE appointments. MOTOR VEHICLE ACCIDENT (mva) Open file Call client and gather info for case notes Send rep letter to client and adverse insurance carrier. Order Police Accident Report Talk to client and find out if they are using any private health insurance to pay for treatment, if so, send rep letter to 3rd party payee and request Subrogation/ Lien amount. Do the same thing for Medicare or Medicaid. If no 3rd party Payee, see if there is a Letter of Protection on file with the treating physician. Once client has completed treatment order medical records from ALL medical providers Send check request for payment of medical records to accounting department Notify attorney once client reaches Maximum Medical Improvement (MMI). Provide attorney with all medical records, Accident Report, Itemized Medical Bills, and Subrogation claims, hospital liens, LOP’s etc… LITIGATION OF MVA Send client copy of complaint (lawsuit) Assist client with answering discovery Maintain and organize Attorney Alacourt calendar Assist with preparation of Witness and Exhibit Lists Schedule Mediations, Depositions, and Settlement Hearings.
