Chabot College Classified Senate Minutes Friday, May 17, 2013 12:00 PM – 2:00 PM Room 455 In attendance: Catherine Powell, Heather Hernandez, Sandy Tran, Blake Lewis, Yvonne Wu Craig, Steve Stevenson, Rosie Mogle, Michelle Iriarte, Chasity Whiteside, Cheryl Sannebeck, Rachael Tupper-Eoff, Nate Moore, K Metcalf There were introductions for those attending since there were several new faces. Listening Session on Classified Hiring Prioritization and Administrative Staffing • Library Position Discussion: There is a 40 hour a week Classified Position that will be split between the Learning Center and the Library. The Library Manager is asking for this. • Catherine: We need clarified requirements for that position. • Yvonne: We need to get suggestions into the administrator before decisions are made. A summary of the findings from this meeting will be sent to all of the Administrators and the summary will also be discussed with Susan. • Meetings scheduled with Susan next week going forward to discuss positions for classified. • Chasity: Need to request Susan to meet with us to review findings of the administration after the meeting. • Received a list of classified staffing requests by areas (2013 Program Review) • Yvonne listed several areas of discussion for restructuring changes on campus. “14 Adminsitrators left on Campus—Hard to hold everyone accountable”. • Chasity: Adding more “Middle-Managers” or Coordinator-type positions would help to supervise all personnel under the Administrators. • Computer Support Funded by the District. Good idea? Would this benefit Chabot? This is the first time that we’re moving a whole group to another area. The Disadvantage is that we are losing a large voice on behalf of Chabot • Dean of Academic Services—Not sure that some areas fall under this area. More of them fall under student services. • SOTA & Social Sciences— Should they be separate or combined? FYI: It is no longer “Politically Correct” to use the term – Adjunct Instructor . They are now referred to as Part-Time Faculty. Discussion of different scenarios of various Dean, Admin, Classified structures & responsibilities. • Catherine: Discussion about how jobs have evolved over the last few years and how much the blurring of responsibilities has changed. • • • • • • • Faculty Coordinators are not supposed to be supervising classified, as they may not be qualified to supervise in some cases, have little experience in supervising and classified don't have a grievance process established. Nate: FYI... June 1st is Keith Stiver’s last day – Security will temporarily be under Connie Willis until someone else is assigned to supervise security personnel. Discussion of the possibility of campus safety using M & O or LPC model as a format for restructuring where there is a Campus Safety Director. Fundraising for Chabot – Susan is revitalizing the Chabot College Foundation. It’s an area she’s working on. A & R very hard pressed for additional staffing Counseling very short also- very hard so we feel “Counseling Assistant” is the #1 priority, also Staff Assistant Position Lack of staffing in counseling directly affects the Administrative Assistants Guest in Attendance: Dr. Robert Carlson – re: the Carlson Award • $500 Check – Rosie received it recently. The District has held those funds for over a year. We need to ask for the proceeds earned on those funds. • Since the College Foundation is not active (on hiatus) the money was given to the college district who decided they didn’t want it. Since then it the fund has made about $300 at best. This amount reflects the poor economy. This money should come back to Chabot. • Dr. Carlson believes it should go back to a foundation, since the former is not active. • Would like to set up another “Chabot Staff Foundation” that would hold, manage and distribute the money. The first contribution would be the original $10,000.00. We could also put the funds we raise in the foundation as well. • Dr. Carlson can set it up if we’re on board and interested in setting this up. He opened up the question, would we be interested? • The Foundation would be established as a 501(c)(3) Tax Exempt organization. There would be no state reporting-990 not a problem • Burden-Money can’t just sit, it would need to be invested. We need a strategy “with a life of it’s own” that would go on past current employees – we can design the program • A “Trust” is another form possible. We need a trustee to manage the trust. It should be a volunteer not a paid trustee (that’s too expensive and the funds get eaten up that way). This is just another possible way of handling the award. • This is not on the agenda for today's meeting so we can’t vote. We will put it on the next meeting agenda. o Prior to next month: Yvonne will follow up with Dr. Sperling on suggestions for investment vehicles, especially if it involves the district. This needs to be clear from the start. o Also, talk to other experts that have experience in this area. Any on Campus? Guest in Attendance: Marcie Hodge, Classified Survey She is a Ph.D. student studying Community College Leadership who is working on her dissertation. Her research project involves looking at how social media affects the culture of organizations. She handed out a survey which was confidential. She will be conducting her research at Chabot and Las Positas College and approaching their Faculty Senates as well. Classified Senate Scholarship The scholarship committee needs to complete its review and selection process by Monday, May 20, so that the ASCC has time to invite the recipient to the scholarship dinner. Classified Appreciation Week Planning for June 3rd – 7th • Activities during Flex Days have not been well attended - we might want to include some professional development activities during Classified Appreciation Week • We are Brainstorming Ideas now and will create a sub-committee to implement them • Breakfast – is always a good idea • Barbeque – We have questions on location and decided that it should be held in the Cesar Chavez Court so that we can make sure the Bookstore classified can attend. • Staff Development – One topic per day? Suggestions were solicited. o Safety – not possible this time o Gatekeeper with Karen M. o Prezi with Christie o Excel with Linda Entrikin o The Early Assessment Program (EAP) • Brown Bag Lunch • Ice Cream Social (sponsored by President's Office) • Classified Senate – Could we have a year-end meeting or celebration at Celia’s - Date set for June 20 at Celia's • Invite LPC and District Classified for social events Committee Reports None were reported due to lack of time.
