Policies and Procedures
For Learning Connection Scholars (Tutors, Learning Assistants, & Pathway Coaches)
Congratulations on becoming a Learning Connection Scholar!
You are making an important contribution to your fellow students.
Training Course Requirements
•
All Learning Connection Scholars are required to enroll in TUTR 1A-D, Tutoring Theory and
Practice.
•
Most LC Scholars are required to enroll in TUTR 2A-D, Content-Area Tutoring, in addition to
TUTR 1A-D.
In your first semester, enroll in the TUTR 2A section for your primary content area. After the first
semester, you may enroll in a TUTR 2A-D that addresses another content area if approved. If you
have questions about which section of TUTR 2 to enroll in, please speak to the program
coordinator or LC staff.
•
•
Regular attendance in TUTR 1A-D and 2A-D is required for continued employment.
•
All Learning Connection Scholars must be enrolled in at least 3.0 academic units at Chabot in
order to be eligible to work as a student assistant.
•
Some CTE LA’s may not need to take TUTR 2 after their first semester working as an LA. Please
see the program coordinator if you are a CTE LA.
Before the Semester Begins
•
Tutors & Study Group Leaders - turn in your Learning Connection Scholar Availability form. You
must be available to work at least 5 hours per week. You may change your hours until the NGR
deadline (usually the end of the second week of classes). After that time, you may change your
scheduled hours only in cases of extreme hardship. (LA’s schedule with their LA instructor.)
•
Learning Assistants - coordinate schedule prior to start of the semester with your LA instructor.
•
If hiring paperwork is incomplete, including TB test results, or has not yet been approved by the
District Office of Human Resource Services, you will not be scheduled to work.
Drop-in Hours
•
Drop-in Hours refer to hours that you are scheduled to work in one of the centers for a set time
each week for the semester, so that students can stop by without an appointment to get help. You
may be scheduled for drop-in tutoring in Learning Connection (LC) or the Language Center in
room 108, the STEM Center in room 3906, or the Writing Reading Across the Curriculum
(WRAC) Center in room 108.
•
Arrive at the center in which you are assigned a few minutes before your scheduled time,
beginning the third week of classes until the last day of instruction (no tutoring during finals week).
If you are tardy or absent, please submit a Notice of Absence through the LC website. If you are
consistently late or if you miss two drop-in shifts, you may be dropped from the program.
Learning Connection

Chabot College 2015-16
LC Hours by Appointment
•
Your appointment hours are based on the hours you indicated you were available and the hours
students request to meet with a tutor. Your available hours are entered into SARS Grid, the
software program we use to schedule appointments. You are required to check your schedule each
night after 7:00 pm to see who has scheduled an appointment with you for the following day by
logging into the Grid website.
•
If you will be missing any time you have listed as available, you must notify the front desk ASAP
(510-723-6920) even if you do not currently have any appointments scheduled during that
time.
•
It is not acceptable to miss appointments because you are studying for an exam or catching up on
homework. DO NOT SCHEDULE OR REARRANGE TUTORING APPOINTMENTS YOURSELF; all
scheduling must be done through the front desk. Remember, your student is counting on you to be
there.
•
If you are consistently late or if you miss two tutoring appointments, you may be dropped from the
program. Arrive at the center in which you are assigned a few minutes before your scheduled
appointment time.
•
If your student misses an appointment, notify the front desk. Students may be blocked from
rescheduling if they have missed multiple appointments
•
You should wait for 15 minutes for your student to arrive; if your student does not arrive for his/her
appointment, please come notify the front desk for further instructions. You may be re-scheduled
for drop-in tutoring or a one-time appointment as needed.
•
We may schedule you to work with more than one student at a time. Based on student need, we
may schedule students who are working on similar materials to work together with a tutor. Let
Learning Connection staff or the Learning Support Coordinator know if you need assistance with
any small group tutoring sessions.
•
Tutoring appointments are for 50 minutes. Do not end sessions early unless the program
coordinator has said it is acceptable to do so. Also, do not let the session run over 50 minutes.
Time sheets, Time Logs, and other Communication
•
Communication from the LC will be done primarily through email. Be sure you check yours
frequently for updates, reminders, and other important information.
•
Learning Assistants ONLY – Time Logs:
a. You are expected to turn in a time log each week, unless you did not work during the
week. Late time logs must be approved by the Coordinator, and continued submission
of late time logs may be grounds for dismissal from program.
b. Time logs are due at the end of each week; turn them in to the Administrative Assistant
or leave them in the box outside the office. Incomplete time logs will be posted on the
LCS bulletin board for correction and/or completion; you and your LA instructor will
be notified by email if you turn in incomplete time logs or your time log is missing.
Learning Connection
Chabot College 2015-16
c. Hours claimed on gold time sheets must be supported by your weekly time log. Hours
recorded on a time sheet that are not supported by a time log will result in those hours
being removed from your time sheet.
d. You may not work more hours than you have been allocated per week.
Time Sheet Instructions/Information (for all LC Scholars):
•
Your gold timesheet is due on the first Monday of each month. If your time sheet is missing or
incorrect/incomplete, you will be notified by email and will need to follow up with the
Administrative Assistant to correct/complete you time sheets to meet payroll deadlines. You time
sheet will be considered LATE and will be processed after all other time sheets have been
processed, which may result in you not getting paid until the following month.
•
The first time you do not submit your completed gold time sheet by the deadline, you will receive a
warning. The second time you do not submit your gold time sheet by the deadline, your
appointments, lab shifts, and/or LA hours may be dropped, and you may no longer be eligible to
work in the program.
•
LC Scholars will be paid by the Learning Connection for the scheduled hours they work/tutor. LC
Scholars will be paid $10.50 an hour.
•
Record the times you work on your time sheets in quarter hours. For example, if you work 1 hour
and 15 minutes, record 1.25 hours on your time sheet. If you work 1 hour and thirty minutes,
record 1.5 hours. If you work 1 hour and 45 minutes, record 1.75 hours. Please be sure you round
to the nearest quarter hour.
•
You are NOT ALLOWED to work more than 20 hours a week on campus (including ALL campus
student assistant jobs). The hours you are scheduled per week are based on program need and you
are not guaranteed a full 20 hour work week. If you are working for programs other than the
Learning Connection, please inform Learning Connection staff.
•
LC Scholars who lead study groups should record 1.5 hours per study group on their time sheet:
one hour to lead the study group and 30 minutes to prepare lessons/handouts.
•
If you believe there is a mistake in your paycheck, bring your paycheck to Learning Connection
staff. DO NOT CALL CHABOT PAYROLL.
•
Employment is not automatically renewed each semester. Each semester, current scholars will
compete against new candidates. Continued employment is contingent in part on timely submission
of time sheets (all LCS) & time logs (LA’s only).
Behavioral Guidelines
You were recommended by your instructor for qualities that demonstrated your potential to be a great
study group leader, tutor, or Learning Assistant. The Behavioral Guidelines below will guide you in
work and help us maintain a professional atmosphere in the Learning Connection.
•
Learning Connection Scholars may be assigned to any area for which they are qualified to work,
based on program need.
•
When you begin work, put on your name badge to identify yourself as a Learning Connection
Scholar.
Learning Connection
Chabot College 2015-16
•
You are expected to contribute to a welcoming, positive, supportive, safe, and calm environment.
Whenever you are in a Learning Connection lab or center, greet students and be aware of anyone
who seems as if he/she is confused or needs assistance.
•
Cell phone use is prohibited during scheduled shifts in all LC labs and centers as well as during
scheduled tutoring appointments
•
LC Scholars should not bring their children with them when they are working in any Learning
Connection lab or center.
•
NEVER respond rudely to anyone or say anything negative about any person or program. Students
can get frustrated, discouraged, and desperate, so be patient with them and do not take anything
personally. Instead, try to address any issue calmly and productively, and call on staff or a
coordinator any time you feel you need assistance.
•
If students are inappropriate in their behavior toward you, again, stay calm with the student, but
report the behavior to a staff member or a coordinator as soon as possible.
•
Keep all personal information (e.g., W#’s, grades, special program enrollments, and phone
numbers) confidential.
•
LC Scholars should be supportive of one another. However, they should not gather for more than a
minute or two when they are working, whether it is to solve a problem or just to visit. Please do not
congregate around the front desk.
•
You must always work with students in supervised areas. If LC is crowded, you can take your
scheduled appointment to another supervised location on campus. Suitable locations are: Library,
STEM Center, and the WRAC Center. Be sure to sign out on the clipboard by the door so we
know where you and your tutee(s) are.
•
Do not give out personal information, such as your phone number or personal email, to the students
with whom you are working.
•
The Learning Connection does not discriminate against any Chabot student who wishes to schedule
an appointment, as long as an appointment slot is available. Tutors may not drop students. If you
are having difficulty working with a student, please see the coordinator.
Please note: The Learning Connection may dismiss Learning Connection Scholars from the
program at any time for violating policies.
The Learning Connection Staff, Faculty, and Administrators are dedicated to supporting you in
being a Learning Connection Scholar. We are also grateful to you for your commitment. Please
ask a staff member or a coordinator if you have questions or concerns.
The skills you will gain will help you in any career, as you further develop your content knowledge
base and your ability to relate to diverse people. We anticipate you will gain practice in critical
thinking, problem solving, assessment, reflection, and organization.
We look forward to a wonderful year.

Frequently Asked Questions
Tutor Training
1. Where can I find Policy/Procedure information?
Policy/Procedure information is included in the Learning Connection Scholar Handbook. The LC Scholar
Handbook can be found on the Learning Connection website under the “Information and Forms for LC
Scholars” link. You can directly access the Information and Forms for current LC Scholars page on our
website by using the following web url: http://www.chabotcollege.edu/learningconnection/TutorInfo.asp
2. Where and when can I pick up my pay check?
Paychecks are available for pick up outside building 200, usually after 10:30 am, on the last business day of
each month (there are two windows at the front of the building where you can get your checks). Be sure to
bring your I.D. There is a handout available that lists the pay periods for the current semester. Ask LC front
desk for a copy or look on the Learning Connection website under the “Information and Forms for LC
Scholars” link.
3. What pay period does my pay check cover?
Your pay check covers the time worked from the 16th of the month through the 15th of the following month.
For instance, if your check is dated October 31st, you are being paid for the time worked from September 16th
through October 15th. See the Tutor Pay Periods forms for exact dates.
4. Can I advertise the tutoring services that I provide?
You may speak with instructors in your tutoring subject area and ask them if you can make a class visit. You
may be paid 0.5 hours for each class visit; speak with LC staff for more information and the Class Visit form.
5. What should I do if my tutee doesn’t arrive for his or her appointment?
You are required to wait 15 minutes for your student to arrive. If after 15 minutes your student doesn’t arrive,
then you will need to notify the front desk. Front desk staff will direct you to the appropriate location to work
the rest of the hour as a drop-in tutor.
Be sure you bring homework, reading, or other quiet study materials to work on while waiting.
6. What Should I do if my tutee doesn’t have anything to work on or go over?
Remind them of the following:
• If they don’t have a current assignment to work on, they should bring past tests, homework, or papers
as well as their book
• If they come unprepared again, their recurring appointment may be dropped
• If they don’t need a recurring appointment, they can drop their appointment and schedule one-time
appointments instead. Recurring appointments are for students who have something to work on each
week.
Make sure to notify the front desk, if they come unprepared again.

FAQ’S: Frequently Asked ENROLLMENT Questions
•
Does it matter what section of TUTR 2 I take? YES! Sections are specific to a particular subject area. Someone
who is a Math tutor wouldn’t receive the training she or he needs in the English or Chemistry section of TUTR 2.
Be sure you enroll in the section of TUTR 2 for the area in which you will be tutoring.
•
Does it matter which level (A, B, C, or D) I take? Yes – each level is a pre-requisite for the subsequent level. You
won’t be able to enroll in TUTR 2B unless you have successfully passed TUTR 2A in a prior semester. You cannot
repeat a level either – if you have already passed TUTR 2A (in any subject area), you won’t be able to register for
TUTR 2A again. Instead, enroll in TUTR 2B.
•
My section of TUTR conflicts with another class I am taking. What should I do? Come speak with LC staff as soon
as possible. For short overlaps (15 minutes or less), we can often provide you with an Overlap Card you will take
to A&R so you can register for the class.
•
I tried to enroll, but ClassWeb says the section is full. Does that mean I don’t need to take the class? No – add
yourself to the waitlist on ClassWeb, and on the first day of class your TUTR instructor will provide you with an
Add #. If the waitlist is full, go to class on the first day and get an Add # from the instructor.
•
I haven’t been able to enroll in my TUTR class yet; should I still go to the class? Yes! You must attend all sessions
of both TUTR 1 and TUTR 2, even if you are not yet enrolled.
•
I haven’t finished my hiring paperwork yet or I haven’t been approved by HR to start working yet; do I still need
to go to TUTR 1 and/or TUTR 2? Yes! You must attend all sessions or both TUTR 1 and TUTR 2.
If you have any other problems or questions about enrolling in either TUTR 1 or TUTR 2, please come speak with the
LC staff. We are happy to help with Overlap Cards, Add #’s, or anything else.
Please see the following pages for TUTR 2 sections, class meeting times, and CRNs.

TIME SHEET EXAMPLES
This TIME SHEET is an example for the pay period covering OCTOBER 16th through NOVEMBER 15th.
Staff have pre-filled all the information that DOES NOT CHANGE: the DATES the time sheet covers, the
DIVISION/AREA, and the DAYS OF THE WEEK for this particular pay period.
Here’s what you need to fill in: your NAME, your W#, the # OF UNITS you are taking at Chabot, your
SIGNATURE and DATE and last but not least, the # OF HOURS YOU WORKED TOTAL FOR EACH DAY.
Write your NAME
here…
…and your W#
here.
Be sure you SIGN
and DATE before
turning in!
Write in the total #
of hours you
worked for each
date.
Write the # of
units you are
taking here
And here’s an example of a COMPLETED time sheet for the same pay period, for comparison:
Don’t change the
DIVISION/AREA!
If you don’t work
on a date, just
leave the box
BLANK.
If you see a date with
“-----“ in the box
where your hours go,
it’s a date that campus
is closed and there is
no work.
This line needs to
be signed by the
Learning
Connection’s
administrator;
please don’t have
anyone sign here
– we’ll take care
of that!
If you ever have any questions about how to fill out your time sheet, please come ask any LC staff
member – we are more than happy to answer your questions and help you!
Remember the pay period covers the 16th of the first month through the 15th of the following month.
Even though this time sheet gets turned in on 11/02 (before the pay period ends), staff will fill in your
hours through the 15th so that your paycheck covers all your hours.

Instructions for Learning Assistants and their Instructors/staff
Please round time to the closest quarter hour and record the total as a decimal.
For example, 15 minutes would be written at 0.25, 30 minutes would be written as 0.5
and 45 minutes would be written as 0.75 hours. (see example to the left)
You must turn in a separate time log each week you work. Time logs must be signed
by both you and your instructor/staff, or they will be returned to you as "incomplete."
Completed time logs should be left in your folder in the LC (rm. 2351) at the end of the
week. If the LC is closed, you may leave your time log in the mailbox to the right of the
front door.
You must have turned in a completed time log for all hours claimed on your gold time

taking place from 6-7pm will take place in the Library. Hours are subject to change.
Before your first scheduled tutoring appointment:

• Sign in on the SARS computer using the “Employee Log-in” button
• Make sure you have your nametag on and clearly visible
• If this is your first appointment with the student:

of the student you are looking for aloud and see if you can find the student
o Once you find your student, make sure he or she has signed into SARS, then introduce
yourself, go over the handout “Making the Most of your Tutoring Appointment,” and
ask about their goal for the appointment.
• For every appointment:
o Make sure your student has signed in on SARS. If they arrived more than 15 minutes
after the appointment start time, they need to notify LC staff at the front desk.
• If your tutee is absent for their tutoring session, notify the front desk

Scheduling an Appointment
LC – room 108
Thank you for your interest in scheduling a tutoring appointment!
The Learning Connection (LC) offers two different ways to schedule tutoring appointments. You can schedule
recurring appointments through the LC front desk (in-person), or you can schedule one-time appointments
through the website scheduling system (online).
• Scheduling an appointment through the LC front desk (in-person)
All recurring appointments are scheduled through the LC front desk. To schedule a recurring
appointment, visit the LC front desk to pick up your Request for Tutoring. Request forms will be
available starting the first week of the semester.
Fill out your request form and turn it in to the front desk. We will contact you by phone and/or email
once your appointment has been scheduled.
Request forms will be processed in the order they are received.
Scheduled tutoring appointments will begin the third week of the semester.
• Scheduling an appointment through the website scheduling system (online)
All appointments that are scheduled through the website scheduling system are one-time appointments.
If you would like to meet with a tutor again, you will need to schedule another appointment.
You may schedule an appointment one to four days in advance through the website scheduling system.
The website will not allow you to schedule same day appointments.
To schedule a one-time appointment using the website scheduling system, please follow the
steps below.
From the Chabot College website, www.chabotcollege.edu, move the mouse cursor over the “Quick links”
heading in the upper right-hand corner of the Chabot College website, then click on “Tutoring.” This will take
you to the Learning Connection webpage.
Next, click on “Appointment Scheduling” in the left-hand menu. You may also type the link below:
http://www.chabotcollege.edu/LearningConnection/appointmentscheduling/
You will be directed to the “Scheduling Appointments” page. Read through carefully, then click on the green “I
agree” button at the bottom of the page.
Do NOT click on “I AGREE” until you have read the “Instructions and Terms of Agreement.” These give
important information about tutoring appointments, scheduling, and what to do if you need to cancel an
appointment.
You will now be directed to the scheduling system. Follow the directions on the page to log in.
Once logged in, click on the button labeled “Make Appointment.”
You may also click on “View Appointments” to see the appointments you have scheduled.
You will next be asked to select the course you wish to be tutored in.
BE SURE THAT YOU CLICK ON THE CLASS SO THAT IT IS HIGHLIGHTED IN BLUE! IF YOU
SKIP THIS STEP, YOU WILL NOT BE ABLE TO PROCEED.
After you have selected the course and clicked “Continue,” you will be able to search for available
appointments. You may search for any open appointment, or you may search for open appointments for a
specific day of the week, time, or tutor. Click “Find Appointments” to see available appointments.
Next, look through the available appointments until you find the one you want. Click the box with the star in it
under “Select.”
You will be asked to verify your phone number and to confirm your email address. Click “Continue” to
schedule your appointment.
You will be sent a confirmation email from the Learning Connection with your appointment information.
You may have one scheduled appointment per week, per class.
If you have any questions, please ask Learning Connection staff or call 510-723-6920.
Thank you!

Instructions and Terms of Agreement
Recurring Tutoring Appointments
General Information
•
Appointments take place in the LC (Room 108) and are scheduled for 60 minutes. There will be 50
minutes of actual tutoring time.
•
You are allowed 50 minutes of scheduled tutoring per week per course.
•
LC cannot guarantee individual tutoring appointments due to the limited number of tutors available.
You may be scheduled in a small group appointment based on tutor availability.
Attendance
If you are absent two or more times you may be dropped from your recurring appointment and will
only be able to schedule one-time appointments through the online scheduling system. You are considered
absent if:
•
You arrive more than 15 minutes late for a tutoring appointment.
•
You do not sign in on the SARS computer upon arrival for a tutoring appointment.
•
You fail to cancel an appointment in a timely manner. To cancel an appointment you must contact the
LC no later than 6:00 PM the day before the appointment is scheduled. If the appointment is
scheduled to occur on a Monday you must call the front desk before 11:00 AM on the Friday
preceding the appointment.
o To cancel by e-mail: send an e-mail to learningconnection@chabotcollege.edu with the
subject “Cancel an Appointment.”
o To cancel by phone: call the LC front desk at (510) 723-6920. When leaving a message you
should speak slowly and clearly. It is a good idea to leave your phone number so we can call
you back if needed.
o Appointments may also be cancelled by speaking to an LC staff member or leaving a message
at the front desk.
Any questions regarding the policies and terms listed above may be directed to Learning Connection staff or
the Program Coordinator.
LC Guidelines and Responsibilities
Review the session.
Rm. 108
Students in the LC for scheduled tutoring appointments should:
•
Arrive on time and sign in on the SARS computer.
•
Bring any necessary materials, including the course syllabus, textbook and class notes.
•
Bring specific questions about the material being covered in the session.
•
Keep the following in mind:
o Your tutor will:

Help you make sense of what you don’t understand.

Show you how to find the right answer.

Review homework you’ve completed.

Help you learn to read your textbook for understanding.
o Your tutor will not:

Teach the material or act as your instructor.

Give you answers or solutions to questions and problems.

Do your homework for you.

Explain passages from a textbook you haven’t read.
Please note:
Water bottles are allowed in the tutoring area; otherwise, eating and drinking are prohibited in
the LC.
Cell phone conversations are not allowed in the LC. Phones must be turned off or set to vibrate.
Children are not allowed in the center. This is a Chabot College policy.
Any questions regarding the policies and terms listed above may be directed to Learning
Connection staff or the Program Coordinator.
Welcome to the Learning Connection!
Don’t forget to sign in on the SARS computer when you arrive for your appointment.
After you enter your W#, you will see the screen below. If you do NOT see the screen below, please see
the front desk for assistance.
If you are meeting your tutor for the first time, please see the front desk staff for assistance.
After your scheduled tutoring appointment is finished, you do not need to sign-out.
If you want to continue working in the LC after your tutoring appointment is finished, you will need to
sign in on the SARS computer again and select the appropriate reason. If that reason is anything other
than a scheduled tutoring appointment, you will need to sign out before you leave.

Make the Most of Your Tutoring Session
Room 108
Before the session, do as much of the reading and the homework as possible. Come prepared with questions.
If you have not had time to read and try the homework, bring your text and the assignment to the tutoring
session. Bring class notes as well.
With the tutor, set a goal for the tutoring session. Sample goals might be:
•
•
•
•
•
•
•
Review the assignment
Make sure you know how to break down problems
Start the homework (on your own) so you can ask the tutor specific questions and complete the
homework on your own
Review for a quiz or test
Look over a quiz or test you have had returned to you
Figure out a difficult reading passage
Discuss ideas for an essay
Work for 40 minutes accomplishing the goal you and the tutor have set for the session.
Review the session.
Make plans for the next session and what you might do to prepare.
REMEMBER!
•
Tutors are not allowed to do your work for you. But they CAN help you understand and apply the
material so you can learn how to do the work yourself. For example, English tutors are not allowed to
proofread your papers for you, but they CAN show you how to proofread.
•
See your instructor when you need help that the tutor isn’t able to provide.
•
If you scheduled a recurring tutoring appointment, your tutor expects to meet with you ever week.
Please take note of the following:
o Recurring appointments are for students who have something to work on each week. If you
don’t have a current assignment to work on, you should bring past tests, homework, or papers
as well as your book.
o If you come unprepared, your recurring appointment may be dropped.
o If you don’t need a recurring appointment, you can drop your recurring appointment and
schedule one-time appointments instead.
o The Learning Connection cannot guarantee individual tutoring appointments due to the
limited number of tutors available. Therefore, your individual tutoring appointment may
become a group appointment based on tutor availability. Only students who are enrolled in the
same course with the same instructor may be scheduled in group appointments.
All tutors are peer tutors; they are students, just like you.
