2016-17 Program Review Year Three: Office of Institutional Research (OIR): Appendices
Appendix F5: Supplies Requests [Acct. Category 4000] Audience: Administrators, Budget Committee, PRBC Purpose: To request funding for supplies and service, and to guide the Budget Committee in allocation of funds. Instructions: In the area below, please list additional/augmented funding requests for categories 4000. Do NOT include conferences and travel, which are submitted on Appendix F6. Justify your request and explain in detail the need for any requested funds beyond those you received this year. Request and Rationale: Software: Tableau: Powerful querying, display and interactive data tool We need it to make queries easier and data displays easier to make and more tailored for campus staff. It goes beyond Excel to create colorful and changeable scenarios. We have requested the basic version as a priority #1 need, which allows the OIR staff to use its interactive ability. A higher-‐level version (below), is needed to replace our current software. This is also priority #1. Software: Powerful querying software and interactive ability for non-‐IR users We have been programming u sing the same version of our current query software, BrioQuery, for over 15 years. We have reached its limits. It crashes every other run. We need a more modern and versatile tool that allows for complex programming as well as dashboards and interactive data displays for college users. We would split any large-‐scale system with Las Positas IR Office. With Las Positas IR staff, we have explored several options: 1) Argos (which the district has). We have tested it—it is not powerful enough for complex programs. WE need EITHER: 2) Tableau – has a high end version that would provide the querying and the interactive ability we want to offer to the college. It is expensive, b ut is the state-‐of-‐the-‐art research software we need. OR 3) Hyperion —This is the Oracle version of Brio, now called Oracle Business Intelligence. This would be easier, as all our old programs would translate seamlessly into it. However, ITS does not want to add another Oracle product, and this is not as much the state-‐of-‐the-‐art research software we need. How do the assessments that you performed to measure student learning outcomes (SLO’s) or service area outcomes (SAO’s) support this request? Our Service Area Outcomes are to 1) produce more research, 2) disseminate more research,
3) have research used more by the staff, and 4) have high user satisfaction.
In order to accomplish all these, we need state of the art research software to be able to query the
data, produce research quickly and display results in an understandable and eye-catching way,
and allow users to query the data.
Spreadsheet: To be considered, requests must be added to the Resource Request Spreadsheet. 2016-17 Program Review Year Three: Office of Institutional Research (OIR): Appendices
Appendix F6: Contracts & Services, Conference & Travel Requests [Acct. Category 5000] Audience: Staff Development Committee, Administrators, Budget Committee, PRBC Purpose: To request funding for contracts & services and conference attendance, and to guide the Budget and Staff Development Committees in allocation of funds. Instructions: Please list contracts and services. For conferences/training programs, including specific information on the name of the conference and location. Your rationale should discuss student learning goals and/or connection to the Strategic Plan goal. Rationale for Conferences and Travel: Student Success Conference October 2016, Southern California. This conference is the premier conference for both faculty, staff, and researchers who are working on student success. It is the place to showcase all we have been doing in PRBC and Basic Skills and learn from other colleges. Research & Planning (RP) Group Conference, April 2017 This annual RP Group conference is the main forum for Institutional Researchers from all CCC's to meet and share tips and new ideas for making research more efficient and usable. Research is all about increasing student success. This conference is necessary for staying up to date with CCC Institutional Research issues, and both Coordinator and Research Analyst(s) need to be there. The OIR Coordinator uses conference information and contacts to enhance the services of the OIR for the college, and Research Analyst uses it for training. Costs are for flights, registration and 2 nights of hotel. Research and Planning Group Regional Meetings: The RP Group has about 3 regional meetings per year in the Bay Area, which entail transportation costs of at least $25/event per person. The Research Analyst(s) and Coordinator will go to these events no matter what, to meet with our local peers and keep up on Institutional Research issues. Often, we are not reimbursed for that travel. Travel expenses: ad-‐hoc trainings: Sometimes there are research trainings around the Bay Area which are free. This fund would reimburse transportation to those sites. How do the assessments that you performed to measure service area outcomes (SAO’s) support these requests? Our Service Area Outcomes are to 1) produce more research, 2) disseminate more research,
3) have research used more by the staff, and 4) have high user satisfaction.
In order to accomplish all these, we need to attend conferences and trainings to stay up to date about
current research around the state and how faculty and IR staff work together to increase student
success and evaluate programs.
