The Office of Student Life is committed to improving student retention by fostering an
environment in which students can develop valuable leadership skills that will empower them to
become successful leaders at Chabot College and in their communities. To provide linkage to
campus resources to support personal and academic success. The department collaborates with
campus departments, programs, and organizations to develop, plan, and implement college
events to enhance the experience of college life for new and continuing and transfer bound
students and to provide opportunities for academic and personal growth.
The Office of Student Life and Student Activities play an essential role in campus through offering
a multitude of campus events and activities for students and collaborate with other campus
departments in an effort to expose students to diverse views and support campus diversity. The
Office of Student Life in collaboration with Associate Students of Chabot College supports the
continued and creation of campus clubs to reflect student need and interest. The Department
and ASCC works in unison with the College Bookstore to make available to students Book
Awards as well as work in collaboration with other departments and community to award Student
Scholarships for continuing students and transfer students.

Supports monthly ASCC Flea Market that will enable students to develop business skills to enhance their classroom experience (A1, C1,

Oversees and trains the ASCC Cheerleading Squad to promote school spirit and the Athletic Department through performances at home
games and Black & Gold Pep Rallies (B2, C1, and C3).

and part-time regular (permanent) classified positions

to support your request. If this position is categorically funded, include and designate
the funding source of new categorically-funded position where continuation is
contingent upon available funding.
Unit Plan: Classified Staffing request (Acct. Category 2000)
The following two classified positions will support the implementation of the goals set
for the Office of Student Life:
A. There is a need for a full-time Administrative Assistant staff position within
Office of Student Life. This position would answer to the Director of Student
Life (DOSL) performing the following duties as outlined in the CLPCCD job
description:





Perform secretarial and administrative support duties for DOSL and program area; relieve
DOSL and other staff of a variety of clerical, technical, and administrative details.
Perform administrative support duties to assist the DOSL in meeting reporting
requirements, functional responsibilities, and research objectives; coordinate the office
work of the DOSL and/or program area; develop schedules related to office/department
activities and services; review, update, and inform DOSL and others of essential
timelines; coordinate the flow of activities through the office in relation to priorities and
schedules; assure the timely completion of work in accordance with established policies,
procedures, and standards.
Utilize electronic technology to correspond with others and to maintain assigned
calendars, schedules, and appointments; coordinate and arrange meetings; coordinate
activities with other divisions and departments.
Facilitate communications between DOSL, other administrators, students, academic and
classified staff, other offices, educational institutions, public agencies, and the general
public; interact and relay information, questions, and decisions regarding supervisor’s
area of assignment; prepare preliminary responses to correspondence for assigned
supervisor’s approval.
Perform a variety of clerical accounting duties and responsibilities involved in financial
record keeping and reporting for assigned area; receive and process invoices; maintain a
variety of accounting records, logs, and files; compile information and data for statistical

and financial reports; check and tabulate data.
Assist DOSLin budget administration; track budget activity and resolve budget issues and
problems; post, monitor, and track invoices and other expenditures; process
budget/expense transfers; prepare purchase requisitions.
Participate in payroll processing functions for assigned area including to prepare payroll
forms and maintain records for timesheets and various authorizations.
Order office supplies and materials as directed; assure their timely receipt and storage;
assure proper functioning of office equipment.
Answer telephones and respond to routine questions and requests for information from
administrative, management, academic, and/or classified staff and the general public;
communicate information in person or by telephone where judgment, knowledge, and
interpretation of policies and procedures are necessary.
Train and provide work direction to assigned student workers, clerical assistants, and
other staff as assigned.
Establish and maintain complex, interrelated filing systems; collect, compile, and record
narrative, statistical, and financial data and other information; research and verify
information as requested.
Type, format, proofread, duplicate, and distribute a wide variety of correspondence,
reports, notices, schedules, lists, forms, and other materials according to established
procedures, policies, and standards; type from rough draft, verbal instructions, or
transcribing machine recordings; compose correspondence related to area of assignment.
Prepare Board agenda items and supporting documents as necessary; assure DOSL
receives timely notification of Board requests for information or action; assure that the
Board receives information and notification of action taken as requested.
Receive mail and identify and refer matters to the DOSL in order of priority.
Utilize various computer applications and software packages; enter, update, correct, and
extract information; maintain and generate reports from a database or network system.
Perform related duties as required.
B. There is a crucial need for a full-time Student Activities Coordinator position
within Office of Student Life. This position would answer to the Director of
Student Life (DOSL). Responsibilities would include:







Assist with the coordination of the ASCC Book Loans. Updating of the application,
placement on the OSL website, collection, date stamp, verification of requirements.
Assist with the coordination of the ASCC Scholarship packets, distribution and collection
(date stamped) of scholarship applications.
Assist with the development of posting of scholarship information in coordination with
the Financial Aid Office and other on-campus programs/departments as well as the
community at-large.
Work in coordination with DOSL, ASCC and other campus departments on the ASCC
Scholarship Awards program which is presented annually.
Work collaboratively with OSL in tracking book loans.
In collaboration with Financial Aid, and Transfer and Career Center center maintain a
scholarship binder which announces available scholarships for review by students with
referral to Transfer and Career Center for scholarship packet and requirements.
Work in collaboration with the ASCC/ ICC Chair to collect, organize, verify
requirements and maintain all campus clubs.

Assist with the scheduling, set-up and collection of fees from table vending.
Receive, date stamp and review for completeness “Request for Disbursements” and
“Club Start-Up” requests.
Track and refund students when vending machines malfunction.
Process request for information for housing in collaboration with CSUEB, keep current

Place OSL office supplies orders on-line for approval by DOSL.

Track and collect items for bi-monthly postings.
Provide resource and referral information to students seeking student services on campus.
Work with DOSL, ASCC, campus, and community in collaboration in planning and
follow-up for special events such as:
