2015-2016 Program Review Technology Requests from Budget Committee

This memo is intended to explain the method used to process Technology Requests that are
forwarded to the Chabot Technology Committee through the Chabot Budget Committee.
Currently, we have two ways to receive technology requests with the Program Review form or
with the Technology Request form, and both follow the same procedures for the Technology
Committee and IT to review and approve. Both methods allow the Chabot Technology
Committee to be more effective in the planning and prioritization of new technology requests
campus wide since new technology requests flow through the Technology Committee for their
evaluation and recommendations.
For the Program Review requests received through the Budget Committee, this process was
started in 2013 and was followed for the review of the Program Review requests for the previous
two years 2013 and 2014 and now for the most recent year 2015. Attached is the 2015-2016
Program Review technology requests that were reviewed and approved by the Chabot
Technology Committee on April 14, 2015. IT has reviewed the list of items and possible
recommendations with the Chabot Technology Committee in our standard meeting and any
changes suggested by the committee are incorporated in the final spreadsheet. For the next cycle
of Program Review Technology requests in 2016-2017, improvements will be made to the
Program Review form and it will be modified to replicate the information on the Chabot
Technology Request form.
The second method is using the Chabot Technology Request form that was created in 2013.
Simultaneously this Budget Committee process was implemented to ensure coordination
between Program Review, Budget, and Technology Committees, which was the primary point in
the 2009 Accreditation recommendation. This Budget Committee process complements the
usage of the Chabot Technology Request form which is still being used for technology requests
that are not in the Program Reviews, especially during mid-year or when new unexpected
requirements arise.
Utilizing these two processes for technology requests, no new technology requests are processed
without going through the Chabot Technology Committee for their review and approval before
any action is taken. The Program Review requests for technology are just sent to the Budget
Committee who then forwards them to the Chabot Technology Committee and IT. The Budget
Committee takes no action until they receive the spreadsheet with the recommendations back
after the Chabot Technology Committee has reviewed the items on the spreadsheet. There are
various options that may be decided during the review such as proceed with the request as
submitted for funding through the responsible department, submit the request to Information
Technology where Bond funding or district-wide software agreements cover the request, or a
suggestion for a comparable substitute item due to compatibility with the CLPCCD environment.
For the routine maintenance requests, they continue to be processed through the ITS Help Desk
who routes requests either for immediate action or through the Chabot Technology Request form
process for non-routine maintenance items.
