Starfish Reports Overview Purpose and Introduction This document describes the available reports that can be run on-demand from the Starfish “Admin” tab. Starfish uses a reporting paradigm of a master report with one or more sub-tabs, which all share the same parameters. All reports share the following characteristics: Only those with the “Admin” tab can run reports. Reports are listed in alphabetical order under the “Reports” section (left). Reports can be run for a time period of up to 365 days. If you select a Term, the start and end dates associated with that term will auto-populate the date fields, but you can edit this to any desired range less than 365 days. Each report includes parameters to allow for the filtering of results. Typically, these options include the date range, and for some reports role, organization, or cohorts available to your configuration. Reports take a few minutes to process before becoming a hyperlink in the “Report Queue.” Click the hyperlink to download the report in Excel format. Up to 65,536 rows can be exported into an Excel file. If a report generates more than this, some data will excluded. Refine your filters to produce fewer rows in a single report. The Tracking Items Report can be produced as csv file to bypass this limit. All created office hours within date range – includes the person who created them, the title of the Office Hour block. Information on all created group sessions within date range. Information about both Success Plans and Academic Plans created or updated in the date range. Information about Intake forms created or updated in the date range. Raise, clear activity for all tracking items raised or cleared in the date range. Summarizes existing Flags by category. Provides details for any attendance data entered/imported into Starfish. (Referral = true if you set the appointment type up to require a referral). Information about meetings that have occurred in the date range including the type and time of the related appointment. Also shows where a noshow has been registered for an appointment (attended session). Shows by appointment type, appointments that have been added to the calendar, held, or canceled for by week, for each week in the date range. Survey Summary Similar to Definitions tab, but without survey definition details. Provides counts for key survey statistics at a summary level. One row for each recipient/course combination for surveys active in the date range. Includes whether or not they have completed (submitted) each survey, and statistics about each individual course surveyed. Use this option if the report you are running may generate more than 65,000 rows. (If you run the standard report and it is larger than 65,536 rows, some data may not be included). This version excludes the graphs, tables, and analysis tabs. When you run the report with the CSV Format checked, the resulting download will be a compressed .zip file called Tracking Report.zip that includes compressed versions of five .csv files. Updated 7.20.15 Starfish Reports Overview Save the file, then double click to open the .zip file and list its contents. The zip file will include one folder called reports with 5 individual csv files in it representing data for each of these tabs: Rule Definitions (rule_definitions.csv), Student Details (student_details.csv), Raise Item Details (raise_details.csv), Cleared Item Details (clear_details.csv) and Full Details (full_details.csv). A note about working with .zip files: When you double click the csv file name from within the zip file list it will open in Excel. Use “Save as” to create a copy on your computer outside of the compressed .zip file. Alternatively, use Extract all to create uncompressed copies of all five csv files on your computer. Also note that it has not yet been necessary to do this for this report at CSU. Tabs Rule Definitions Student Details Information Summary information on all tracking items configured in your Sorted by Student, tracking item details and student contact info for items active in the date range. Raise Item Details Sorted by raised date, tracking item details for each flag raised in the date range. Tabs Cleared Item Details Information Tracking item details filtered for only cleared items, sorted by raise date. Includes clear statistics and comments.
