South Texas College Budget Development Instructions FY 2009 Login to Jagnet (https://jagnet4.southtexascollege.edu/cp/home/displaylogin) 1. Click on the Employee tab, Faculty Self Service and Finance link 2. Click on Budget Development Options Page 1 of 8 The Budget Development system has two main options: a. Create Budget Development Query - allows you to query the organizations under your control. b. Create Budget Worksheet – allows you to update the organizations’ operating, travel and capital budget. 3. Option 1 - Create Budget Development Query 3.1 Select Saved Query from drop and select query depending on fiscal year to query and click “Retrieve Query”. 3.2 Check Adopted Budget, select Line Item Detail and click Continue Page 2 of 8 3.3 Enter following setup to view all organizations you have access to and click submit 3.4 A summary of all the organizations you have access to should display 4. Option 2 - Create Budget Worksheet. 4.1 Select Create Query Page 3 of 8 4.2 Click Adopted Budget and Continue 4.3 Input the following setup and the fund/organization code to update and click submit ** Please note that the fund and organization codes are required fields to update Fund Organization Page 4 of 8 5. Update an existing budget line 5.3 5.1 If no changes have been done, the organization’s current proposed budget is the same as the prior year’s approved budget 5.2 The “Worksheet” section displays the current budget by pool for the organization requested. 5.3 Any changes on the current proposed budget need to be made on the “Change Value” column. Amounts to increase should be entered with a “+” before the amount and amounts to decrease should be entered with a “-“ before the amount. For example, to increase 1,000, enter +1000 5.4 Click “Post” button to update the organization’s budget with your changes 5.5 See section 7 for adding notes to the budget account pool Page 5 of 8 6. Add a new budget line (account pool) 6.1 On the “Account/Program Code lookup” you have the option to input the budget for a pool not listed on the “Worksheet” section. 6.2 Enter your organizations program code. You can find the program code on the top “Worksheet” section, under the Program column 6.3 Enter new account pool to add budget to 710000 – Direct expenses – items which unit cost is less than $5,000 730000 – Travel expenses – travel costs for the fiscal year 740000 – Capital expenses – items which unit cost is equal to or greater than $5,000 6.4 Select “Permanent Budget” on drop box 6.5 Enter Proposed Budget amount for account pool 6.6 Click “Post” button to update the organization’s budget with your changes 6.7 See section 7 for adding notes to the budget account pool Page 6 of 8 7. Add notes 7.1 Click on the account pool on the “Worksheet” section under the “Account Type/ Code” column 7.2 A browser window will display where you have the option of adding text to each account pool budget 7.3 Input text for the line items making up the budget amount requested. Please add the IE plan for each line item requested. 7.4 Click Save Page 7 of 8 8. View History of Changes Done 8.1 When changes have been done to an account pool budget, the application saves certain information of the changes done such as User ID of person making the change, date when change was done and amount increase or decreased. 8.2 To view this history, click on the Proposed Budget amount on the “Proposed Budget” column on the “Worksheet” section 8.3 A browser window will display the “Budget Development History” for the amount selected Page 8 of 8
