ADVERTISING IN ISU’S RESIDENCE HALLS AND APARTMENT COMPLEXES Campus organizations are encouraged to promote events, membership, and activities for their groups in the residence halls. Listed below are the preferred methods of distribution, and it is expected that groups utilize these methods. Please note that there is never a guarantee that your information will be posted or announced. Questions should be addressed to the Coordinator of Residence Life-Leadership at 294-6430. House Mailboxes Each house has a mailbox that is frequently checked by house cabinet officers. The mailboxes are located at various hall desks, and the chart below will help you determine how many flyers to take to each desk. Please note that most mailboxes are only deep enough for standard 8”X11” paper. Larger posters should be rolled with rubber bands to ensure that they fit in the mailboxes. One copy of any piece of information per house is sufficient. You are highly encouraged to plan ahead and distribute flyers at least 10 days in advance of your event. Stop by the Buchanan Hall Desk and ask staff to distribute the flyers to the house mailboxes (they are not accessible to the public). 125 Public Bulletin Boards There are one or more open public bulletin boards located in each entry or common area in each building where you may post additional flyers. Do not post flyers on entry doors, windows, poles, glass-covered bulletin boards, etc. Flyers distributed or posted outside of these guidelines may be removed with removal costs charged to the responsible individual or group. Hall Council/Presidents’ Council Meetings Each hall has a hall council or presidents’ council that meets weekly or bi-weekly. These councils are comprised of representatives from each house in the hall. Groups are encouraged to contact the Hall Councils and ask to speak at their weekly meetings. This would also be a good time to distribute flyers to each of the houses. A list of Hall Council meeting times and contact information is available at the Residence Life Office – 1203 Friley Hall. Association/IRHA Meetings Each Association (UDA, RCA) has meetings that hall representatives attend. The Inter-Residence Hall Association is comprised of representatives from each hall and Association, and has a weekly meeting as well. In order to attend these meetings, please make contact with the Vice-Presidents in order to get on the agenda. The contact information for the IRHA Vice-President, as well as links to the Association web sites can be found at http://irha.us. House E-mail Addresses Each house has an e-mail address established for external groups to use to contact house representatives. The address is the house name plus contact@iastate.edu. For instance, Forbes house is forbescontact@iastate.edu; Spinney house is spinneycontact@iastate.edu. You can forward information to the houses requesting that they report the information at the next house meeting. You can also use these addresses to request attendance at house meetings (permission is required to attend these meetings). If you would like to contact all houses at once, you can send a message to allhousecontacts@iastate.edu. Table Tents You may reserve space for table tents that advertise your event. To make a reservation, please stop by 1215 Friley Hall, or call 294-3856. Please make sure to have your original approved BEFORE you make copies. Groups need to distribute the table tents themselves, and can only reserve one day at a time. Table tent space is not available in the Union Drive Community Center. Advertising in Frederiksen Court Each building in Frederiksen Court has a bulletin board in the main entrance. Please bring at least 25 copies of your flyers to the main office in the Frederiksen Court Community Center. These flyers will be given to representatives for posting in the various buildings. You may not post them in these areas yourself. Advertising in University Family Housing (UFH) Please go to the UFH main office – 133 University Village, Apt. D - to gain permission to post flyers in this area. There are bulletin boards in 64 apartment buildings, as well as public bulletin boards in the laundry center. Please note that the following are NOT acceptable means of promoting in the residence halls and apartment complexes: You are not permitted to post flyers in the house areas yourself. Each house representative will decide what and where materials in their house are to be posted. You are not permitted to post flyers in Frederiksen Court or UFH without gaining permission from their central offices. You are not permitted to go door-to-door in the residence halls, as stated in the Residence Halls Policy Handbook. This handbook is available at www.iastate.edu/~dor. You are not permitted to locate student staff members (CA/ARC’s) or House Cabinet officers in their rooms and give them flyers to post/distribute. You are not permitted to use CA/ARC mailboxes to distribute information. You are not permitted to drop in at house meetings without permission.
