Introduction
The purpose of this document is to provide instructions for developing a UDALink Reporter (DataExpress)
procedure to extract data pertaining to the LGBTQ project. The instructions assume a basic knowledge
of report development and focus instead on the unique requirements for writing expressions to extract the
LGBTQ codes. For privacy purposes, this document does not provide a crosswalk between data codes
and their definitions. For example, where GEN-ID = 77, the value of code 77 is not defined. Please see
your campus LGBTQ resource for crosswalk information if required.
Dataset Used for LGBTQ Reporting
The STU-MISC-D dataset in the SM database is the table that stores LGBTQ information. A list of STUMISC-D fields and their definition can be found below. Please keep in mind that the definitions below
describe only the field uses as they pertain to the LGBTQ project. This table may have additional data
added for future projects, but using the same columns.
STU-MISC-D
*SID:
Student identification number. SID is the key field in this table.
YRQ:
Year Quarter for which the data was captured.
STU-MISC-TYP:
Currently contains only the value of 01 as a designator for LGBTQ. However,
when developing UDALink Procedure, a filter of 01 should be applied to ensure
that only LGBTQ records are extracted as future project data is added to the
table.
STU-MISC-VAL:
A 56 character miscellaneous field.
• First two characters contain the SEX-ORIENT codes
• Two characters in the third and fourth position contain the GEN-ID codes
TRANS-DATE:
Transaction Date – the date the data was captured in the system.
STU-MISC-VAL: Using Substring Manipulation to Extract
SEX-ORIENT and GEN-ID
The STU-MISC-VAL field is a 56 character field. The first 4 characters store the sexual orientation and
gender id codes. To extract and separate the codes into separate columns, substring computational
expressions must be written. The series of following screen snapshots portray examples for extracting
both codes into separate columns for reporting.

When developing your report, to enter a computational expression type Y at the Add Any Computational
Fields prompt as shown below.

Enter a field name for sexual orientation.
The computational expression below is defined as 4[1:2] where 4 is the field reference to STUMISC-VAL from the working set of fields at the top of the screen and where the [1:2] starts at bit 1
and extracts 2 bits.
The Data Type and Field Storage Length will default properly in this case, so press return through
both.
Press return and you will again be prompted for New Field Name.

STU-MISC-TYP: Embedding the LGBTQ Value in Your
UDALink Procedure
While the STU-MISC-D dataset currently only contains the value of 01 for LGBTQ, that may not always
be the case. As data from other projects gets stored in this dataset, without the filter of 01, that new data
will be comingled in LGBTQ reports. To ensure that a report developed for LGBTQ remains specific to
that project, a filter for STU-MISC-TYP = 01 should be embedded during report development. The screen
snapshot below provides an example of how to embed the filter.
The 3 entered at the Select By prompt indicates a
filter by field #3 in the Working Set at the top of the
screen (STU-MISC-TYP)
The “P” following the 3 prompts the creator for a
value during report development. The value
entered in the next prompt is saved as an
embedded report filter, always selecting only STUMISC-TYP = 01 (LGBTQ).
