One year before camp:

____ Reserve facilities via HS and Club Coaches
___ Ensure insurance is renewed
8 months before camp:
Staff
____ Send camp dates and information to desired staff
Meals
____ Contact Subway/sponsors with dates
Camp Budget
____ Prepare “estimated” camp budget.
Brochure production
____ Create camp brochure (.pdf)
7 months before camp:
Marketing
____ Send brochures to all past campers in database (email)
____ Send brochures to club directors in the state (email)
____ Update Camp website and Facebook page
Team Camp
____ Email team camp dates to potential team camp coaches
Camp Store
____ Prepare t-shirt design

____ Contact Lucky Dog Volleyball for additional camp apparel to sell
3 months before camp:
____ Send confirmation letter to staff
___ Review past Camp Manuals and update drills/skills/staff info/etc.
1 month before camp:
Facilities
____ Arrange for correct # of courts to be set up
Camp organization
____ Print out camp staff handbook
____ Take inventory of equipment: balls, carts, camp store apparel
____ Get awards made for end of camp prizes
Morning of camp:
____ Hand out staff handbook and Go over rules at staff meeting
___ Give final numbers to Subway
___ Prepare camp store
___ Prepare for camper check in. Have t-shirts ready to pass out.
Post camp:
___ Create Post-budget report
___ Pay camp coaches
___ Review with the HS and club coaches and write down any suggestions they would like to
provide
___ Return remaining apparel to Lucky Dog Apparel. Pay for the items sold
