Article I Name
Section 1.
The name of this organization shall be called the Asian American Student Association.
(AASA)
Article II Purpose
Section 1.
AASA’s purpose is to provide social, cultural, and educational events about the Asian
and Asian-American community. AASA will provide a positive learning environment for
students, faculty, and administrators. AASA strives to promote diversity and unity within
the Ball State Community. (We do this though use of the magical arts)
Article III Membership
Section 1.
a. Membership is included to currently enrolled students, faculty, and staff of Ball State
University.
b. Membership is not based on race, sex, sexual orientation, religion, color, national
origin, physical or mental handicap, or age.
c. All members are required to attend a minimum of three (3) general body meetings.
Article IV Executive Board
1. The executive board shall comprise of the President, Vice President, Secretary, and Treasurer.
2. The executive board shall be elected by the general body.
3. The executive board serves their terms during the academic year prior to election.
Section 1: Qualifications
1. All executive board members must be recognized members prior to elections
2. All executive board members must currently be a full time enrolled student at Ball State
University
3. All executive board officers must have a 2.5 minimum GPA prior to election.
Section 2: Duties and Responsibilities
1. President
A. Shall oversee the functions of the organization
B. Shall preside over the general body and the executive board meetings
C. Shall act as a liaison between administration, faculty, staff, students, and student
organizations
D. Shall be a non -voting member, unless there is a tie amongst votes of the general
body meetings and executive board meetings
E. Shall attend weekly one-on-one meetings with advisor for Multicultural
Organizations
F. Shall attend bi-weekly President’s meetings with other Big Four Multicultural
Organization presidents

Shall have the power to call unofficial executive board meetings
The President shall have the power to form sub-committees
The President shall have the power to appoint chairs for sub-committees
Shall maintain a 2.5 minimum GPA during term
Shall work a minimum of two (2) office hours per week.
2. Vice President
A. Shall act as the President in the absence of the President
B. Shall plan and oversee all activities and programs including:
a) Welcome Week
b) Month of Events
c) Week of Events
d) Any additional event hosted by the organization
C. Shall act as a liaison with the Public Relations Chair ; however, shall act as the Public
Relations Chair in their absence
D. Shall organize sub-committees for events and also the sub-committees of the
President
E. Shall attend bi-weekly one-on-one meetings with the graduate advisor for
Multicultural Organizations.
F. Shall maintain a 2.5 minimum GPA during term
G. Shall work a minimum of two (2) office hours per week.
3. Secretary
A. Shall act as the President in the absence of the President and the Vice President .
B. Shall record minutes of all official general body meetings and executive board
meetings.
C. Shall take attendance during all general body meetings and executive board
meetings.
D. Shall prepare meeting agendas for executive board meetings and presentations for
general body meetings .
E. Shall act as the Membership Chair.
F. Shall maintain the operations of the organization’s Ball State University email
account.
G. Shall maintain a 2.5 minimum GPA during term.
H. Shall work a minimum of two (2) office hours per week.
4. Treasurer
A. Shall act as President in the absence of the President, Vice President, and Secretary.
B. Shall assist the Executive Board in proposing the budget for the year.
C. Shall oversee all expenditures for the organization.
D. Shall keep a log of all expenditures of the organization
E. Shall attend bi-weekly one-on-one meetings with the graduate advisor for
Multicultural Organizations.
F. Shall oversee any fundraising for charities.
G. Must maintain a 2.5 minimum GPA during term.
H. Shall work a minimum of two (2) office hours per week.
Article V: Subcommittee Chairs
1. The Subcommittee Chairs shall comprise of the Public Relations Chair, Membership Chair,
Historian, and Student Government Association Representative.
2. The Subcommittee Chair shall be appointed by the President and elected by the Executive Board
by a two-thirds (2/3) vote; however, for the exception of the Membership Chair
3. The Subcommittee Chairs shall serve their terms during the academic year prior to election.
Section 1: Qualifications
1. All Subcommittee Chairs must be recognized members prior to appointment and the election
of the Executive Board.
2. All Subcommittee Chairs must currently be a full time enrolled student at Ball State
University.
Section 2: Duties and Responsibilities
1. Public Relations Chair
A. Shall oversee advertisement for all activities and events for the organization.
B. Shall maintain the operations of social media outlets such as:
a) Facebook
b) Twitter
c) Youtube
d) Any additional social media outlets
C. Shall work closely with the Vice President.
D. Shall oversee the Public Relations Committee
E. Shall report to the Vice President
2. Membership Chair
A. Shall oversee the membership of the organization
B. This position should always be held by the currently elected secretary; however, if the
position is vacant the President shall appoint a chair with the two-thirds (2/3) vote of
the Executive Board.
C. Shall maintain a log of attendance of all members
D. Shall maintain a log of active members
E. Shall notify members of their activation
3. Historian
A. Shall oversee the historical documents, records, and pictures of the organization.
B. Shall produce the organization’s yearly scrapbook.
C. Shall work closely with the Public Relations Chair to provide media for social
networking or advertisement.
D. Shall produce any other forms of literature at the request of the Executive Board.
4. Student Government Association Representative
A. Shall act as the liaison between AASA and the Student Government Association (SGA).
B. Shall attend all weekly SGA meetings.
C. Shall produce weekly reports to present at weekly body meetings.
D. Shall report concerning issues of AASA to SGA.
Article VI Meetings
Section 1: General Body Meetings
A. .All General Body Meetings are weekly; however, may be cancelled at the discretion of the
Executive Board.
B. General Body Meetings cannot be cancelled for more than two consecutive weeks, excluding
academic breaks.
C. General Body Meetings cannot be held or overlap in time with other Big Four Multicultural
Organization’s activities, events, and meetings.
D. General Body Meetings are determined by the Executive Board and approved by the advisor.
Section 2: Executive Board Meetings
A. All Executive Board Meetings are weekly; however, may be cancelled at the discretion of the
President.
B. Executive Board Meetings cannot be cancelled for more than two consecutive weeks,
excluding academic breaks.
C. Executive Board Meetings cannot be held or overlap in time with other Big Four
Multicultural Organization’s activities, events, and meetings.
D. Executive Board Meetings are determined by the President and approved by the advisor.
E. All Executive Board Officers cannot have more than two (2) unexcused absences per
semester for Executive Board Meetings.
F. Unofficial meetings are called by the President; however, attendance is not mandatory.
G. Subcommittee Chairs must attend one (1) official Executive Board Meeting a month or at the
request of the Executive Board.
Section 3: Subcommittee Meetings
A. Subcommittee Meetings must be held no less than two (2) times a month.
Article VII: Elections
1. A non-running officer of the Executive Board shall conduct the election procedures.
2. If there is no available non-running officer of the Executive Board, an advisor from the Office
of Student Life shall conduct election procedures, including distribution of platforms.
Section 1. Nominations
A. The nominations of officers of the Executive Board shall be held at the first AASA meeting in
April.
B. Additional nominations can be submitted up to one meeting prior to the meeting at which
elections are to be held. Nominations shall be presented at the AASA Meeting
C. Any member may accept the nomination of more than one office. During the election, if he
or she is elected to a position, he or she must withdraw the nominations for other offices.
Furthermore, the nominee must accept the first position he or she is elected to.
Section 2. Platforms
A. Written platforms shall be required and submitted to the officers of the Executive Board on
the date determined by the officers of the Executive Board prior to the meeting at which
elections are to be held.
B. Platforms shall outline time commitments, goals, and a general statement of purpose for
running for office.
C. If a member is nominated for more than one position, the nominee must provide a platform
for each position to the non-running officers of the Executive Board.
D. The platform of the nominees shall be provided to the general body by the officers of the
Executive Board.
E. All submitted platforms shall be in word processor format.
Section 3. Election Procedures
A. While each candidate is speaking, his or her opponent(s) will not be present.
B. Candidates will present their speeches in alphabetical order by their last name. Candidates
for President shall have five (5) minutes for their speeches. Candidates for the other
positions shall have three (3) minutes. An additional five (5) minutes is allowable for
questions and answers for all candidates.
Article VIII: Voting
Section 1: Elections
A. All candidate’s names shall be placed on a formal ballot for each position
B. All voting shall be tallied by the organization’s advisors
C. All ballots shall be kept in an envelope by the advisor for verification if a wanted to
challenge the results
Section 2: General
A. Shall be majority vote of the body meeting
Article IX: Removal of Officers
Section 1: Impeachment
A. All Executive Board members may be impeached if they violate the constitution or Ball State
University Code of Conduct
Secton 2: Impeachment procedure
A. Shall receive a verbal warning for the first offense.
B. Shall receive a written warning for the second offense.
C. Shall be impeached if there is a third offense.
D. Shall be entitled to due-process after the third offense.
Section: 3 Resignations
A. Shall submit a formal, written document in the event of resignation.
B. Shall have the resignation announced at a general body meeting.
Section 4: Re-Election
A. Shall not re-elect impeached or resigned officers to their former position; however they can be
re-elected in the spring elections for a different position with the approval of the current
adviser.
Article X: Co-Sponsorships

A. Shall receive written proposal for co-sponsorship from the organization(s) requesting cosponsorship
B. Shall receive a written document confirming co-sponsorship.

Shall have both documents sent a month prior to proposed event.
Shall not be able to co-sponsor individuals.
Shall only co-sponsor with a Ball State University organization.
Shall send a confirmatory documentation to notify the requesting organization of AASA’s cosponsorship
Article XI Amendment
A. Shall have the constitution reviewed by the Executive board every two (2) years
B. Shall grant the Executive board the power to amend the constitution
C. Shall grant any general body member the right to suggest changes to the Constitution at any
time; however, the proposal must be submitted in writing to the executive board first and then
voted on by the general body.
