LEA/Charter Checklist – BTSP Monitoring Visit The following is a list of items that you will need to provide for the monitoring visit. A team facilitator will be assigned to your LEA, and this person will provide guidance in preparing for the monitoring visit including a specific schedule for the visit. Work Space A work space equipped with tables will be needed for the monitoring team of 3-4 individuals and other individuals who will be interviewed as part of the monitoring process. Access to a copier and the Internet will be helpful. The area should be able to be secured since records may be temporarily housed there. Interviews The team facilitator will work with you to create a monitoring visit schedule which will include an interview with the following people: ▪ HR/Personnel Administrator ▪ Beginning Teacher Support Coordinator ▪ Other Central Office/District staff (lead mentor, licensure specialist, finance officer, etc.) as needed Documents for review All records to be reviewed must be located in the team work space. NOTE: To understand what types of documentation might be provided to the monitoring team, please read the “Sample Evidences” document. Providing the documentation suggested will assist in assuring each requirement is met and that there are no “Areas of Concern.” Beginning Teacher records LEA/Charter will prepare a list of BT1s, BT2s, and BT3s from the previous school year to submit to the Regional Education Facilitator two weeks prior to the visit. The list should include the following information: BT1, BT2, BT3; indicate if Lateral Entry; indicate if late hire with date; indicate if resigned or left before the end of the year; licensure area; and, school. LEA/Charter will provide the monitoring team access to all BT files (hard copy or online) during the monitoring visit. The monitoring team will randomly select 30% of the BT files upon arrival for monitoring. Two weeks prior to the visit, the LEA/Charter will send out a link (provided by the REF) for BT/Mentor surveys to Beginning Teachers and mentors. For each Beginning Teacher the following will need to be provided, including appropriate signatures and dates: ▪ Assignment in the area of licensure ▪ 3 observations by a principal or designee for monitored year, with pre and post conference as required ▪ 1 observation by a (trained) peer for monitored year, with post conference as required ▪ 1 evaluation for monitored year ▪ 1 Professional Development Plan for monitored year ▪ Evidence of the assignment of a mentor for each Beginning Teacher ▪ Evidence that a Beginning Teacher Orientation was provided ▪ Documentation of training for mentors
