EMERGINGINSTRUCTIONALTECHNOLOGYCOUNCIL MeetingMinutes–February26,2014 TO: RECORDER: Kitrina Carlson Dan Dunbar* Robert Fraher* Urs Haltinner* Jane Henderson* James Keyes* Joshua Laskowski* Justin Nelson* Mitchell Ogden* Steven Terry Doug Wahl* Todd Zimmerman* Rich Berg* Millie Kotulek * indicates present Student Tech Fee 2014‐15 Update – Doug Wahl o Student Tech Fee Proposals are submitted each year with a deadline near the end of November. Proposals are evaluated and awarded in December. o E‐Textbook Initiative – The goal is to have all CI on e‐text by 2015. The SSA proposed funding of $285K and received approval for $110K. This was later revised and approved for $175K by delaying funding for the campus wireless network by one year. Currently, Stout has over 5,000 students utilizing e‐text. LTS has learned that instructors and students need to be better trained and informed about the e‐text features and are supporting the initiative to better train faculty, who can inform students. o The Chancellor has recommended a $10K minimum for Student Tech Fee proposals. o Mitch Ogden recommends a $5K minimum for Student Tech Fee proposals. o Funding for Spam software hardware and maintenance will go away based on the migration to Office 365. LIT Re‐organization – Doug Wahl, Jane Henderson o In response to the Huron and Bottom reports recommending the formalization of governance, this Council will become more formal by its placement in the leadership structure. This group will generate ideas for focused IT initiatives that support instruction and classroom type activity. o The revised LIT Organization chart was approved by the Chancellor’s Cabinet. Telecommunications and Networking will split its organizational placement between the ASK5000 Technology Helpdesk and of those providing support for email, network infrastructure, and telephone service. T&N has appointed Dan Dunbar as an interim working director for the latter. Sasha King is director for the Client Services. o Beginning March 1, 2014, the Nakatani Teaching and Learning Center will report to the Provost. Its new location on campus is yet to be determined. Office 365 Migration – Dan Dunbar o The Office 365 rollout to LIT staff was well received. When campus migration is complete, Office 365 will provide more licenses to the campus than are currently owned and it will provide more access. It enables students to see all faculty and staff on their global address list. Email storage will increase from 1 GB to 50 GB. o SkyDrive Pro is Stout’s enterprise storage system providing 20 GB per person and is to be used for work and not for personal use. It is equipped with file sharing within an organization and with anyone who has a MicroSoft account. The One‐time file sharing links can be shared with external persons. Students have access to SkyDrive (7GB) and SkyDrive Pro (20GB). The SharePoint sites provide 1 TB of storage. o Henderson suggests that a subgroup be formed in response to Fraher’s request to prioritize the creation of a classroom tool made available to students whereby they may create their own website. Fraher encourages the administration to feel no obligation to sustain student accessibility to the student created website beyond graduation. 1 EIT Lab Concept – Jane Henderson o LIT is repurposing space in Millennium Hall’s room 102 to create a sandbox of instructional technology for instructors in order to have a space to try out different instructional technology tools. The EIT Council is asked to think about some instructional technology tools that we can buy for instructors to explore how they work and fit with classroom design. Ideas are to be sent to Wahl or Henderson. Council is asked to share with colleagues to get their ideas, as well. Pilot Group – Explore D2L features – Henderson o The D2L upgrade to 10.3 is scheduled to occur June 4‐5, 2014. LTS is putting together a pilot group of instructors who are willing work with LTS to inform them as to which features to turn on and to indicate what things they may need to be aware of. Council is asked to send Henderson their suggestions of instructors to contact who may wish to serve in this pilot group. eStout Program – goals, survey ‐ Henderson o A decision has not been made on the proposed e‐Stout Goals that were presented to the Chancellor’s Cabinet prior to January 2014. Henderson will keep the EIT Council apprised of developments. Kaltura Video Project – Henderson o UW System is bringing a new video platform to support instruction and it will be tied into D2L. LTS is working on an implementation plan. We are in the infancy of our implementation plan and how we’re going to roll that out. We are not receiving a lot of clarity from UW System as far as what the guidelines are and we’re trying to get that pinpointed. I may be sending you things to review and giving us feedback on that as well. Other ‐ Henderson o The Commons Systems group, which includes the UW System, pays into a pool of money that is designated to pay for PeopleSoft, D2L, Kaltura, etc. Most of those dollars have been spent on operational and administrative purposes. Within the last 6‐8 months the Commons Systems group has discussed the need to reinvest in academic technology and to look at Commons Systems to identify where less money can go toward operational and administrative purposes. The following steps are being taken: ‐‐ Commons System is creating a roadmap for academic technology for the entire UW System. ‐‐Commons System is working with the Provost and UW System CIOs to come up with a team to go to an Academic Technology Summit in La Cross, WI on June 4‐5 to identify what are the academic needs. Henderson will encourage that the selection of the team include faculty and not just administrators. o LTS is looking for Freshmen and Sophomore student workers to fill 2 positions—D2L support and Multimedia support. The EIT Council is asked to pass on this information to colleagues and students. Contact Jane Henderson for position descriptions. o The EIT Council is invited to the Learning Technology Services staff meetings beginning March 4th. Elizabeth Buchanan will be talking about Turnitin and Cory Mitchell will talk about videos we have on our campus to help support instructors. The Fab Lab which is tied into the NFSC Horizon Report, will talk about 3‐D printing—LTS may work with them to develop curriculum. On April 1st, Diane Christie will talk about game modification here on campus. Also, Amy McGovern will talk about the Mapworks tool in relation to students, as well as introduce a specific set of learning analytics to help instructors with student retention and career decisions. o The EIT Council is asked to report back to colleges for feedback and discussion about the server and website needs. Please direct feedback to Wahl so he can try to include those ideas/concerns in our strategic planning. 2
