LINDQUIST Forest Supervisor GRAZING PERMIT ADMINISTRATION HANDBOOK 61.1 - Case File. Current grazing ten-year term permits will be filed, alphabetically by name of permittee, in a classifile folder. This folder has two interleaves, so that there are six filing spaces with attached file fasteners. Each Interleaf will be labeled. All material pertaining to the case file will be retained and segregated in this file. Material pertaining to the current term permit is arranged from top to bottom in the following order: 1. Inside front cover: The following material will be filed in the inside front cover. a. Permit Modifications, if applicable. b. Memorandums of Understanding, if applicable. c. Form FS 2200-13, Escrow Waiver of Term Grazing Permit Privileges, if applicable. (If there is an Escrow Waiver in effect, a red dot sticker is to be placed on the right-hand label of folder and removed when the waiver has been released.) d. Form FS 2200-10, Term Grazing Permit - Parts 1 and 2 e. Form R3 2200-4. Grazing Permit - Part 3 - Special Provisions and Requirements. f. Rules and Bylaws if permit is issued to an Association, or if individual permittee belongs to an association. g. Form FS 2200-10a through FS 2200-10e, Grazing Permit Part 3Special Terms and Conditions, as applicable. h. Form 02-2200-45, Designation of Base Property for Term GrazingPermit. i. (All waivers since establishment of permit should be attached at bottom with most current one on top.) 2. Front of first interleaf: All correspondence pertaining to the current term permit period, expired modifications and released Escrow Waiver of Term Grazing Permit Privileges, Form FS 2200-13. 3. Back of first interleaf: Bills for Collection for Term Permit Permit period (most current one on top), with applicable yearly applications for validation of term grazing permit. 4. Inside back cover: Membership certificates if permit is issued to an Association. a. memorandums of Understanding still in effect. b. Form FS 2200-13, Escrow Waiver of Term Grazing Permit Privileges, still in effect. c. Current Form FS 2200-12, Waiver of Term Grazing Permit, along with supporting Bill of Sale and Certificate fo Brand. (All waivers since establishment of permit should be attached at bottom with most current one on top.) Prior ten-year term permits, pertinent correspondence and other material for that ten-year term period, may be filed in succeeding interleaves. Additional files which are made will be labeled as shown on the original label in accordance with FSH 6209.11, Records Management handbook, and numbered. For example, if the case requires two folders, they would be numbered as follows: first folder - 1 of 2; second folder - 2 of 2. When a permittee surrenders his interest of grazing privileges or a permit is otherwise cancelled and the case file is to be closed, the folder will be stamped "THIS CASE IS CLOSED" with the current fiscal year written in. The case file is to be placed in the closed files.
