Part 303-70—Agency Requirements for Payment of Expenses Connected With the
Death of Certain Employees
Subpart A – General Policies
303-70.1 When must we authorize payment of expenses related to an employee’s death?
When death occurs for an employee while in travel status, the employee’s office shall
immediately prepare a travel claim in accordance with Part 301-11. Per diem or actual
subsistence is allowed up to and including the entire day the death occurred. In the remarks
section of the voucher, include a statement such as “Employee deceased while on temporary duty
in Portland, Oregon on October 15, at approximately 10:15 a.m.” The GovTrip travel arranger
will print a hardcopy of the voucher and in the claimant’s signature block write “Employee
Deceased”. The hardcopy voucher will then be scanned or faxed into GovTrip for the approving
officer’s electronic signature.
