Before Start Date: Complete a hiring PAF and submit it to the Human Resources office. Let the new employee know they may visit Human Resources to complete new hire paperwork prior to their first day. Employees will need to provide two original forms of ID for the I-9 form, a social security card for SSA verification, and a voided check for the direct deposit authorization. Make arrangements for office space, keys, and other necessary supplies and materials. Contact Help Desk regarding Computer/Network/Email Access (BHSU Network Access Application is required) Contact University Support Services regarding phone/voicemail assignment and door access. Contact Mail Services regarding mailbox assignment or adding name to dept mailbox. Email announcement or meeting announcement to your department/unit introducing your new staff member. Prepare agenda for the employee’s first day. 2. Day One: Send employee to Human Resources to complete new hire paperwork if they haven’t done so already. They must visit Human Resources to complete new hire paperwork on or before their first day of work even if they don’t have all of the necessary documentation. Send employee to Campus Security (Facility Services) to obtain a parking pass. Give a tour and introduce new employee to staff members in the department/unit. Review and discuss complete job description and your expectations regarding this specific position. Discuss with the employee the departmental and/or college structure and where their position fits into the overall mission of your department and the institution. Discuss office opening and closing protocol, standard work schedule, office hours, breaks, lunch periods. Discuss departmental rules, policies, and procedures (Examples: dress code; use of phone, FAX, computer, and other office equipment; required meetings; work safety; laboratory protocols; security; and confidentiality). Set a date and time in the next week or two to discuss any questions or concerns the new employee may have and check on progress 3. Within First Week: Provide the employee with access to the Employee Handbook as well as other BHSU, Board of Regents, and Bureau of Personnel policies and procedures via the internet or in print form. Set aside time during the first week for the employee to review these items and ask questions. Review applicable safety policies and explain how to report work-related accidents or illnesses. 4. Follow-Up (Between 1-2 weeks from start date): Review progress to date to include employee questions and/or obstacles. Discuss the need for training and job development. Discuss the need for other work-related technology, equipment, or supplies. Schedule the next block of time to meet with the employee to discuss progress and needs.
