The President opened the meeting at 9:31 p.m.
1) Fall Semester Event Planning
a. CASA Pumpkin Carving (Rachel and Lizzie)
i. 30 pumpkins from Meijer
ii. Going to ask for pumpkins from donors about 2 weeks before
eventgoing to keep contacting farms and other organizaitons for
pumpkins
iii. Dates set: Weds Oct 30 & Thurs Oct 31 (3-5pm)
iv. Additional help needed in transferring pumpkins? Volunteers
not yet, but put in calendars
b. Book Drive (Emily Raetz)
i. Raised over $7,500
ii. Slide up in Phelps, announcement KnowHope, press-release to be
sent out all for publicity
iii. Half-time announcement—volunteer to write up: Kate Bauer
iv. Letter to be sent to students need to count for different houses
and students
1. Volunteers if can’t be there on Saturday to count: Mary
Kelso, Alexis, Danielle, Rachel Butts
2. Count out on own or go with Emily to sent
v. Volunteer sign-up sheet for homecoming weekend--Pine Grove
Taste of South dinner (instead of tailgate)
vi. SUD box—to be put in front just before Fall Break and will collect
books through week following break
vii. Contacting entire student body/faculty to remind to bring book
donations over fall break (to be put in SUD box)
viii. Thank you letters to be sent after Saturday
ix. Will send out email to remind about shifts
1. Someone to switch to 12:30-1:30 p.m.  no one yet

2. Volunteers helping with clean-up/closing at football
game come at 4 p.m. instead 4:30pm, allow to break
down sooner than 5:30 pm
x. Books collecting have been given to Woodside and CASA
traditionally This year have MB Alumn Teaching English in
Malaysia
1. Extra books given t him? send more books to him than to
Woodside (members in vote affirm)
2. Allows Woodside more choice in books, because money to
them (can select books in Spanish, for instance)
xi. If can’t make it to event and want to “attend” you have two
alternative options for participation
1. raise $50 to be donated for book drive
2. collect 20 books to be donated

d. Relay for Life (Mary, Ashley, Stephanie)
i. November 15th & 16th – coming up quickly!
ii. 64% of goal currently raised--$7,734
iii. 4 sponsors (in Google doc) all solicited successfully by Portfleet
iv. Sponsorship Brochure on website
1. can show to potential sponsors to show incentives (e.g.
name on t-shirt)
2. handout given out of sponsorship commitment form, only
one per person for right now photocopy if you need more
3. can donate via invoice if that is more convenient way to

1. Thursday Oct 17th
2. Members need to be there for three hours—3 volunteers per
hour, do Mortar Board awareness can collect donations,
talk up MB and Relay
3. Volunteer sign-up sheet passed around
4. Want to bring in 50-100 extra people to Orangeleaf that day
5. The way we intend to promote is to put fliers up around
campus
6. Goal everyone put up one

1. Remember: please contact 2-3 businesses each! We want to
do as much fundraising as possible
2. Google doc online – try for face to face interactions with
the companies
3. Can easily go in and ask for sponsors/business
a. Goal for each member is talk to at least one
business by next meeting
viii. T-shirt deadline raise $100 by Oct. 25, if raise before guaranteed
by Relay; if you collect $100 after this day you will maybe get t2
shirt by the night of relay, but if not you will get the shirt at some
point after that
ix. Email challenge posed by Relayteam that sends most emails sent
through Relay site before Oct. 11th receives cupcakes, individual
with most get cool Relay gear
x. If get money in person, you can give to the chairs at any time and it
will be accredited to you
xi. Form online for check and cash donation under My Relay, My
Personal Page fill in info under mail in donation by check
how enter offline donations
xii. Next meeting sign-up for walking (will have Google doc)
xiii. Adopt a Survivor Program
1. Attempt to give central hub for teams opt in to have
relationship between team and a cancer survivor
2. Would entail survivor hanging out with team members,
meeting the survivor and getting to know them
3. Fostering more community between Hope and survivors
4. Voted and we decided we will participate in and adopt a
few survivors
5. Will have more info next meeting
xiv. Need Pay $10 Registration for registration fee if you did not online
before Relay you can do this at any time before to chairs

e. Last Lecture Series (Danielle and Allie)
i. Dr. Luidens set for Feb 24th
ii. Maas Reserved for at 7pm
iii. Dr. Beard set for Monday November 4th
1. Maas booked—7PM
2. Titles—has selected 3 books to be given out
3. “Grace and Beauty, Death and Life, Now and Yet to Be” as
pending title for lecture
4. Need help pass out programs will need volunteers
5. Need someone to introduced—Kelsey Herbert
6. Will give out bound lecture copies after lecture finishes
(don’t want people reading along as presenter gives the
lecture)
iv. Dr. Abrahantes – interested
1. Not 100% sure committed
2. A little nervous before Danielle met with him because
thinks more “humanities thing”—Danielle is coaching him
through, gave copies of past lectures, wants to connect with
natural science faculty members that have done Last
Lectures already to give him better idea of what to do
3. Still seems interested, just a little tentative more
receptive of idea after meeting
4. Want someone from sciences to be represented

5. Will attend Dr. Beard’s to get an idea of what he is
supposed to be doing in the Last Lecture
f. Friendship Prom (Allison. Miranda, and Kate)
i. Called adult foster care in area—not able to get hold most of
ii. All brother and sister houses in area excited and going to come (6
in total) will invite people from Portfleet’s Church
iii. Going to invite people from Friendship House
iv. See how many come in for RSVPS then add more, adjust
accordingly
v. Nov. 18th,7-8:30 pm in Maas
vi. Will need help set-up hour before and takedown (will ask for
volunteers in near future)
vii. Debating if want to do dress up, well-dressed group decides let’s
do it!--> prizes of best dressed, etc.to be awarded at prom
viii. Going to do crafts at tables
ix. Will drop existing reservation for Nov. 25th
x. Collecting toilet paper rolls for craft send them to chairs
g. Thanksgiving Dinner (Sara)
i. Scheduled for Nov 24th – Maas
ii. Will contact President Knapp on Monday, after inauguration to
discuss participation
iii. Meeting with catering services to finalize menu
iv. Still need help with craft elementary educators have any ideas
for craft? Let Sara know!
v. Bultmans contact after president about involvement
h. MB Awareness Week (Rachel Slotman & Emily Smith)
i. Will be creating Google doc to sign up for volunteer opportunities
below
ii. Beginning on November 4th
iii. Library décor – banners/awards/pictures – has this been cleared by
events and conferences will contact Events and Conferences
iv. Monday: cookie baking & passing out in the library
v. Tuesday: Bingo night in Kletz
1. Curragh 10 $25 gift cards as prizes

vi. Weds: sell marshmallow throwers at night

vii. Thurdsay: MB members meet with eligible future members –
info/panel discussion to educate these students about MB in
general as well as the application process – during community hour

ii. Will look at schedule for home basketball games for him to pick a
date from to do swap
j. Selection Committee (Lizzie)
i. Plan needed by Oct 15th
ii. Invitations to be sent out to potential new members before
Christmas
iii. Exec Board will meet after this meeting to finalize paperwork
2) New Projects
a. Potential Heart Health Awareness Project
i. Hannah, Rachel Slotman – chairs, Sheri
ii. Talked to one of certified athletic trainers she helped Slotman by
giving ideas for organizing connection to community
iii. February is heart health awareness month good to do this event
then in conjunction with, do event on Saturday Men’s and
Women’s Basketball game to get community and students
involved
1. Blood pressure taken
2. Dummy with AED
3. Other tests
iv. Heart health generally is current idea for audience we are targeting,
as opposed to athletes—but will iron things out
v. Potential t-shirt fundraiser –logo for t-shirt created by Slotman,
proceeds donated to American Heart Association
b. Arnaud Muhimpundu – Rwanda orphanage (Lizzie)
i. Proposal for fundraising

c. Food Pantry Involvement – Catie Gammon
i. Contact St. Vincent DePaul meeting with Sister Pat Lamb
ii. Going to finalize how want to volunteer hands-on vs. fundraiser
