Production Manager POSITION OBJECTIVE Working under general supervision, the production manager of Milton and Tamar Maltz Performing Arts Center (MPAC) at The Temple–Tifereth Israel at Case Western Reserve University is responsible for multiple phases of stage and technical operations needed to meet the artistic and technical requirements of performances and events held during Phase I of MPAC operations. The beautifully renovated MPAC will be the home for university arts programming and performances for students and the community, major university programs with strategic importance, scheduled services of The Temple Tifereth Israel and other affiliated external events. The production manager has the responsibility and authority to accomplish general objectives with basic guidelines and policies of the university. The incumbent must consider multiple items and variables in making decisions and is expected to deliver a high level of professionalism to all performances and events held at MPAC. ESSENTIAL FUNCTIONS 1. Ensure the day-to-day operations of the MPAC run smoothly. Provide advance expertise for the management of stage productions including sub-disciplines such as lighting, sound, video, and stage management. Safely and efficiently produce and manage concerts, events and activities on the MPAC stages and in related production spaces. 2. Establish and maintain a professional environment while working with a broad range of distinctive personalities in unique and often stressful situations towards specific goals and deadlines. Provide outstanding and uncompromised customer service for all internal and external MPAC users. Respond to inquiries about stage use, layouts, set ups, and technology in a timely manner. Work with staff and audience feedback to continuously improve and raise production standards and the customer experience. 3. Manage bookings for activities associated with stage use and performances. Ensure that there are no conflicts. 4. Determine efficient, safe, and cost-effective production work schedules for lighting, sound, video, and stage management. Determine whether outside services are needed to augment university-provided audio visual services. Plan and engage contract stage services with qualified, reputable contractors as needed. Review contracts and estimate production expenses for all performances. Participate in contract review to ensure all contracts items agreed to can and are adhered to. Review technical riders and discuss production requests and requirements with artist representatives, renters, and campus sponsors, and negotiate agreements that provide a quality production in a cost-effective manner. 5. Plan out the stage use and production schedule. Ensure policies and standard operating procedures are followed. Ensure that stage sets are achieved according to agreed upon times and design, technical riders and contracts. This will include, but is not limited to, rehearsals, practice sessions, coachings, and performances. 6. Assess, approve, and implement technical requirements for all MPAC stage-use and performance activities. Coordinate rental and other contracted services. Direct the work of university departments and contractors responsible for audio, video, lighting, and technical communication services. Ensure that work required to meet internal and external customer specifications is fulfilled and meets expectations. Ensure safe, code compliant, and clean conditions at all times providing students, faculty, professional musicians and guest artists with a high-quality stage environment for rehearsals, practice sessions, coachings, and performances. Propagate effective communication and interaction with university event staff, music department faculty, music students, and student organizations to ensure seamless coordination in planning and scheduling stage-use and performance events. Produce and publish information for MPAC production meetings and the CWRU music department. Account daily for MPAC stage and technical equipment inventory. Keep records of use in university scheduling system. Pull equipment and instruments as needed and ensure organized and safe storage in established locations. Provide development efforts in collaboration with University Relations and Development including the cultivation, stewardship, and opportunities to engage donors, volunteers, and successful programs. Manage stage crews (stagehands, technicians, etc.) when crews are working in the building and directly supervise the operation of stage lifts, unloading/ load-in, setup and positions of concert stage elements, such as instruments, equipment or background sets. Modify plans to address health, safety or logistics issues. Closely oversee the handling of all musical instruments. Follow IATSE or other union work rules as needed. Supervise stage cleanup and removal, loading and shipment of stage elements provided by the act. If an act stores stage elements at the center, ensure on-site transport and storage. Work cooperatively and effectively with the MPAC House Manager and front of house team when audiences are being served. Be informed and sensitive to front of house events and circumstances occurring before, during and after scheduled concerts and performances. Serve as the stage manager for specified MPAC stage-use and performance activities. Supervise all technical matters; review concert technical requirements with various people involved in planning the performance, such as the act, the act's manager and technicians. Monitor lighting, speakers, microphones, and other equipment during rehearsals or recording. Before a concert, oversee lamp, sound, rigging, and other stage equipment tests and prepare supertitles. Supervise specialized concert element testing, if applicable. During the performance, make technical adjustments, call lighting, audio, video cues to technical crew. Engage professional stage manager for more complex MPAC stage-use and performance activities. Serve as the concert assistant for specified MPAC stage-use and performance activities. Ensure the smooth running of the rehearsal and concert, with particular responsibilities for the orchestra, soloists, and conductor or other musicians (dressing rooms, escorts, and presenters to the stage). Engage concert assistant(s) for more complex MPAC stage use and performance activities. Determine quality control standards with consideration to music students. Oversee the administrative activities for various maintenance schedules. Direct the regular tunings of university-owned instruments stored or used in the MPAC venue, as well as, instrument tunings for external MPAC users. Oversee the daily cleaning and maintenance of stage and back-of-house spaces (such as stage floor care, canopy maintenance, lamping) to achieve high quality results. Oversee maintenance and inspections of in-house MPAC sound, video, stage lifts, and stage lighting systems. Maintain accurate records of all stage inventory and instruments. Produce annual maintenance service and repair reports as requested. Establish of MPAC services and equipment pricing on an ongoing basis with the Director. 18. Secure cost estimates for stage services to internal and external users. Determine service costs for: audio visual equipment and operations; stagehand labor for loading, stage set up and breakdown; stage-crafts such as carpentry and stage extension work; lighting; and other production necessities. 19. Prepare a technical package for CWRU Music Department and external customer use with the director. 20. Produce accurate and timely invoices for stage and production service as indicated by the MPAC billing system once it is developed. 21. Provide annual budget numbers for stage services and maintenance costs as requested by the MPAC director. NONESSENTIAL FUNCTIONS 1. Operate audio, lighting and stage equipment on an as needed basis under the supervision of the MPAC Director after thorough training by university experts and qualified advisors. 2. Participate in university event planning meetings. 3. Assist with the coordination of student transportation to and from MPAC. Work with CWRU safety and security departments. 4. Perform other duties as assigned. CONTACTS Department: Regular contact with supervisor and co-workers to facilitate and promote joint action/ cooperation to achieve immediate operating results and/or resolve management problems. University: Regular contact with University Relations and Development, Campus Services, Music Department and College of Arts & Sciences, Students, Facility Services, Environment and Safety Services, Risk Management, Tinkham Veale University Center (TVUC) and other University scheduling departments to achieve cooperation between functions for broader and more complex operating ore management problems. External: Frequent contact with customers, event planners, artists, performers, and/or touring companies to make adjustments and resolve service complaints. Frequent contact with contractors, programming venues in University Circle, and/or media to represent the university in development services and/or business areas. Students: Frequent contact with student performers regarding work flow, concerns, adjustment to schedules. SUPERVISORY RESPONSIBILITY This position has no direct supervision of staff employees. However, the manager will supervise student employees; as well as, oversee all technical staff working on productions. QUALIFICATIONS Experience: 5 years full-time experience in a performing arts venue with 3 years as a stage or technical manager. Experience to include back-of-house theater safety and stage operations, as well as, working with customers, artists/performers, touring companies, stagehands, interns, and theater staffs. Education/Licensing: Bachelor of Arts degree in related field required. CPR certification required. REQUIRED SKILLS 1. Must be able to work in a culturally diverse, demanding environment, demonstrating sensitivity to various constituent interests. 2. Demonstrate ability to manage relationships with internal and external business partners and facility users including university clients, temple clients, non-profit partners and a variety of audiences. 3. Must demonstrate technical knowledge of theatrical lighting, electrical power and safety procedures, amplified sound, audio visual equipment and techniques, stage equipment, stage properties and maintenance of same. 4. Strong background in music and experience in working with students and performing artists. 5. Demonstrated knowledge of International Alliance of Theatrical Stage Employees (ITASE) and American Guild of Musical Artists (AGMA) work rules. 6. Must be a team player in the MPAC structure and university at large. 7. Must be thorough, detail oriented with knowledge of performing arts venue systems and repair. 8. Knowledge of basic event planning procedures. 9. Strong written and verbal communication skills. 10. Ability to perform first aid and CPR. 11. Knowledge of regulations that govern the use of stages and performance spaces in concert halls. 12. Proficient in the use of personal computers, hand held electronic devices, word processing, database, PowerPoint and electronic stage design software.
