Patient Participation Group Meeting Minutes/Action Plan Date: 27.1.15 Attendance: Sandra Hawke (Group Chair) PA (Pt) Julie Belton (Operations Director) Carol Sears (Clinical Director) Victoria Hamerton (IT Lead) Myo Swe (Practice Manager) Item Agenda Item Introductions 1. a. b. c. 2. a. Notes/Actions Apologies for late start but due to preparations for CQC visit tomorrow, 28.1.15. Development of our Patient Group Job description for SH and VH have been trying to find a job description. The National the role of chair of Association of Patient Participation do have lots of information but a Patient require a membership fee of £60 for new members and then £40 for Participation annual renewal. Group The group agreed that it was worthwhile the practice paying this money. SH will go ahead and liaise with VH if any information needed from the practice. Suggested It was suggested that we relaunch our Patient Group as there seems relaunch of group to be unclear understanding of what the group does and what it is for. We would like the group to be the voice of the patients and to be able to function separately but alongside the practice. Chair SH would be happy to communicate directly with the group. VH to contact current group membership to reaffirm membership and to ask permission to share contact details with the chair. Role of group We would like the group to be more active in the practice. We encourage group members to spend time in our waiting room to speak to other patients about their needs and wants. This could also be a useful time to speak about current and future developments within the practice and to help recruit more members. Official name badges will be provided to give any members doing this some identity. Current Developments Electronic EPS enables prescribers - such as Nurse Practitioners, GPs and Prescription practice nurses - to send prescriptions electronically to a dispenser Service (EPS) (such as a pharmacy) of the patient's choice. This makes the prescribing and dispensing process more efficient and convenient for patients and staff. Cuckoo Lane went live with this service on Friday the 23 rd and so far we seem to doing well. We hope it will be helpful for all our patients as it means there is no need to come back to collect your repeat prescriptions. Also any patient who has a telephone consultation doesn’t need to find the time to collect any treatment. Especially helpful for those away from home. Kashif Ismail, pharmacist at Remedy Pharmacy has feedback that he is impressed with how quickly we have embraced this new service. He is receiving prescriptions within minutes of the end of a consultation so he can have things prepared much quicker for patients. b. CQC Visit c. Practice/Patient Communications/ Feedback 3. a. Future plans Patient survey b. Children’s Art competition c. PPG area on our website CQC (Care Quality Commission) is the independent health and adult social care regulator. They inspect all hospitals, dentists, GP surgeries. They will be visiting Cuckoo Lane Surgery on 28 th January. We will be sharing the feedback with the group when we have it. The inspectors are interested in all aspects of the surgery so will be speaking to all staff, both clinical and non-clinical. They will also be spending time in the waiting room talking to patients. Chair SH has agreed to come in and visit the inspectors. Feedback discussed, FFT and Pt Complaints and GP Survey and NHS Choices. Discussion about how the practice communicates with patients. At present we have our website, newsletters, notice boards and Facebook. VH explained that at present Facebook is mostly used for news and acute issues and our website is used for longstanding everyday surgery items such as contact details, opening times etc. This may well continue as Facebook is much easier to add things to at any time and on any device but our website relies on VH being at a computer and takes a little longer. VH welcomes any comments or suggestions re website in particular to remind if anything out of date. We hope to return to quarterly newsletters in 2015. These were not quarterly in 2014 due to the many changes the practice went through. NHS Choices also has our details but that is not designed for a nurse led practice such as ours so we have very little information on there and direct people to our own website. It does have a lot of patient feedback there which we encourage and will always reply to whether the comment is positive or negative. The specifications set down by NHS England for Patient Participation Groups state that we must survey our patients to get feedback about how we are doing. We already run the Friends and Family test that is a national survey run by all GP surgeries. This will be running continuously and 3 monthly feedback will be posted in our waiting room. In addition to this we will be shortly be sending out a survey which will be similar to last year’s so we can gauge any changes in patient experience of our practice. VH will send out the first draft of survey to group members for any suggestions by end of Jan 2015. Full survey will then be available in waiting room, on our website and via email. In December we ran an art competition asking all our younger patients to draw a picture on the theme of healthy eating. Our winner was chosen and the lucky 5 year old received a lovely prize. We are planning on running another competition in the next month. There is one at present. VH will liaise with SH to see if can be improved.
