Marketing and Sponsorship Coordinator Department: Fair FLSA Designation: Covered Pay Range: N3 Effective Date: 10/1/2013; revised 10/1/14 GENERAL STATEMENT OF DUTIES: Under the general supervision of the Fair Administrator, employee will oversee and manage all phases of marketing and sales of sponsorship opportunities at the Canyon County Fair and all events held at the Canyon County Fairgrounds throughout the year as well as providing fundraising administrative support to the Fair and Fair Board. CLASSIFICATION SUMMARY: The primary function of an employee in this class is to develop and implement successful marketing plans, strategies and tactics that meet the short and long-term promotional, financial and operational objectives for the Canyon County Fair. This position will also evaluate the ROI of existing sponsorship agreements, develop potential new sponsorship contracts and develop and administer policies related to corporate sponsorship. Work also includes coordination of fundraising programs generating philanthropic support and funding for Fair Expansion. Work with Fair Board and committees; provide administrative support to fundraising programs and interpret the Foundation’s purpose and programs to outside organizations and the public. EXAMPLES OF WORK (ILLUSTRATIVE ONLY): Essential Duties and Responsibilities Develops and coordinates a public information program to promote the objectives and accomplishments of the Canyon County Fair; Creates and develops an annual marketing and sponsorship program for the Canyon County Fair; Oversees department budgets and timelines; Establishes personal contact with community organizations to promote the annual Fair including scheduling speaking engagements with organizations/media/clubs etc. in order to inform, and promote the Fair; Coordinates the efforts of and serves as liaison with the news media during the annual Fair and other events in order to provide support to meet media needs during events; Writes and distributes news releases in conjunction with the Canyon County Public Information Officer; Oversees the work of the advertising agency and other contractor(s), including determining value of Fair programs in terms of advertising and promotions; oversees advertising, creative strategy in the production of printed, video and audio materials for promoting year-round facilities usage and the annual Fair, and the annual marketing plan; Develops and manages special publications and collateral as well as the graphic arts’ requirements for Fair and all other associated programs; Responsible for the coordination and upkeep of the website; Develops and implements an engaging social media campaign through Facebook, Twitter and all other pertinent social media sites to cultivate relationships, employ new promotions and obtain customer feedback; Researches local, regional and national companies targeted as potential Fair sponsors or promotional partners; develop and present company-specific proposals for mutually beneficial media and promotional exposure; develops written agreements; Collaborate with Event Coordinator on placement of sponsors, mobile marketers and media outlets during the Fair; Coordinate physical needs and accommodations for sponsors, mobile marketers and the media; i.e. utilities, credentials, parking and access needs, etc.; Oversees the development of research projects such as exit studies, sponsorship development studies, focus groups and telephone surveys; responsible for integrating the results into advertising, promotional and sponsorship programs; Provide administrative support and guidance to capital fundraising programs and operations related to donor relations and financial management for receiving, acknowledging, recording and reporting all gifts and expectancies; Maintain an information system for measuring and reporting the results of fundraising activities; Support and implement fundraising programs in a timely manner to meet operating cash-flow and other funding requirements of the Fair Expansion; Assist with operations management of the Capital Campaign as requested by Fair Administrator; Support Expansion priorities and creatively use talents to advance the mission; Participate in the development of organization goals, plans, budgets, policies and priorities; Performs all work duties and activities in accordance with County policies, procedures, and safety policies; Exhibit a high degree of customer service skills and positive attitude with staff and customers at all times. Other Duties and Responsibilities Time Commitment Full Time; Be available “on call” for emergencies; Attends meetings, conferences and workshops as required; Performs other related duties as required; During peak activity times, work extra daily hours and periods with no days off. Knowledge, Skills and Abilities Knowledge of: Thorough knowledge of the methods and techniques of disseminating information to the public; Considerable knowledge of marketing, advertising and public relations practices; English grammar, spelling and punctuation; Basic bookkeeping, accounting practices and procedures; Record keeping and financial documentation practices and procedures; Customer service, personal interaction and communication skills; Operation of a personal computer and software applications for word processing, spreadsheets, graphic presentations, database research and management, and related office procedures; some web design preferred; Strong Attention to Detail. Ability to: Create or coordinate creation of promotional, marketing and informational materials to stimulate public interest and gain support for the Fair’s programs; Establish and maintain effective working relationships with other employees, Fair Board and Committees, news media representatives, marketing and advertising officials, community organizations and the general public; Develop and make presentations to community individuals and groups; Locate/retain businesses as fair sponsors or promotional partners; Communicate effectively verbally and in writing; Work independently; Operate a motor vehicle. Acceptable Experience and Training Two years post high school education in Marketing, Communications, Business Administration, Public Administration or a related field; and Experience in marketing, media, sales or entertainment experience; OR Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work; Proficient in Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Word, Excel and PowerPoint; Familiar with email marketing programs and content management systems; Experience with social media marketing.
