EVENT MANAGEMENT GUIDE WHAT TYPES OF EVENTS WILL YOUR SOCIETY BE INVOLVED WITH? HOW TO PLAN YOUR EVENT Task 1: Ask the following questions When planning an event, discuss these questions as an Events Team. 1. What are you trying to achieve by running this event? 2. Who is your target audience? 3. How much of your budget can you allocate to this event? 4. Can you make a profit from the event? Task 2: Fill in your Event Management Template When planning your event the accompanying template will help you identify tasks that need to be completed in order to run a smooth and successful event. Task 3: Marketing Start marketing the event as soon as possible. Once you have filled in the template you will have all the right information (location, date, time, sponsors, pricing) to start advertising. Use all available resources to advertise your event e.g. posters, flyers, social media updates and event profiles, college announcements. If you are able to, don’t be afraid to use your college or local TV and Radio services. MAKING THE MOST OUT OF YOUR EVENT Sponsorship Sell advertising space for sponsors (e.g. local businesses) on your event’s print marketing. Encourage in-kind sponsorship for your event, e.g. non-financial (venue, catering, printing). 1|Page Invite potential investors/sponsors to events so you can showcase the society and its work. Making a profit If you r aim is to make a profit for your society then ensure your pricing of event tickets/products will generate a profit and not just cover costs. Recruitment Some events may be purely for recruitment purposes, however all events, whatever their purpose, are prime opportunities for showcasing your society to potential new members. Marketing should try and target new audiences in your college to boost recruitment. During events, designate a committee member to look out for new faces to tell them more about what your society does face-to-face AFTER THE EVENT Build a catalogue of photos, videos, case studies and testimonials from your events, to promote your work as a society through social media, in written materials, and in presentations. Write an article about the event and send it to local papers. Even if it doesn’t get used in the paper then you can add it to the college magazine. A series of these articles can also be used to showcase the work of the society throughout the year in a cohesive and visually pleasing way. 2|Page
