PMComplete Pty Ltd – The Company
PMComplete Overview – The Product
Introduction
PMComplete… because you need to have the complete solution for your practice,
portfolios, programmes, projects and operations. PMComplete is an innovative and
industry-leading solution that provides every conceivable feature that you would want
for managing every aspect of your projects, programmes, portfolios and practice.
We believe strongly that today the project management practitioner needs a complete
and fully integrated system to effectively manage in an increasingly complex and
demanding environment.
There are many integrated project management packages available today. Most
provide much improved project planning and management.
Some address
programme management. And, the better ones allow you to manage a portfolio.
However, most specifically target just two or three aspects (like scheduling, costing
and resourcing). Those that truly support enterprise programme management
catering for Return on Investment (ROI) and beyond to explicitly deliver on benefits
realisation are rare indeed… and very expensive. Many do this at the expense of
minimising support at the grass roots of project management. None of these solutions
are good enough.
PMComplete is a Business Management System that can provide a complete
enterprise-wide solution. You can use it to run:






Your whole enterprise (eg, for professional services firms)
Your Board (ie, for your Board of Directors, their meetings and reporting as
well as their specialist committee activities)
Your IT Department (eg, for your Portfolio, Programme and Project Office
(P3O), Solution Centre, Software Development and Operations groups)
Your Sales and Marketing Departments
Your Projects (business and IT as well as internal and external)
Your Training (eg, for the delivery of training courses internally and externally)
or any combination of the above. You can implement as little or as much
functionality as you like at your own pace and timing. Progressive implementation is
the norm. Progressive implementation can be at the:

Fast Install and Implement
A fast implementation duration and effort means realising the benefits of using
PMComplete faster.
We take a process-based approach to implementing PMComplete. Your current
capability maturity level is initially assessed for each desired process area and then
quick wins are identified. Work required to improve your processes before and during
implementation is also identified and assigned to implementation team members.
Pre-existing PMComplete Pty Ltd artefacts (eg, policies, processes, procedures, check
lists, standards, guidelines and templates) that may be used to kick-start your process
journey are also identified and utilised.
Over 50 installation RoadMaps are provided to guide the implementation team. Also

mistyping transaction dates, etc
PMComplete Overview – The Product
Hardware and Software Platform
Server infrastructure required to run PMComplete is:


Microsoft® SQL Server®
Microsoft® Internet Information Server (IIS)
For low volumes, a single server is sufficient. Implementation is typically across 2
servers but can be configured in server farms.
On-The Job Learning/Continuous Improvement
PMComplete has a strong commitment to on-the-job learning and continuous
improvement for System Users. This doesn’t get in the way of using the system.
9
Wizards and RoadMaps provide a wealth of information accumulated from over 30
years of managing projects. These lead System Users through the steps required to
perform each process.
Project Sponsors, Business Project Managers, Client Project Managers, Business Team
Leaders, Senior Business Users, Organisation Change (Transformation) Managers,
Process Owners, Senior Users, Training Managers and Programme Managers are
responsible for managing the business aspects of projects.
The people assigned to these project-based business roles are often inexperienced in
planning and performing this work. They are usually sourced from “the business” but
may also be sourced from the IT Department. This may be the first project that they
have been involved in and/or the first time that they have had to perform these roles.
This means that they don’t know what to do, how to do it and when to do it. This then
means that they need to be supported in their project work. But, typically, the IT
Project Manager doesn’t have the time and/or doesn’t have the experience either to
provide this support or to do this work.
Often, the IT Project Manager already has enough to do. This leads to this business
aspects work getting performed in a half-hearted manner and the activities are
performed (or not) in a sub-optimal manner.
Also, the project activities that these roles perform are often quite different to the
technical project management role of managing scope, time, cost, quality, etc. Thus,
different tools are also required to enable these roles to perform optimally.
Also, it is rare to find succinct, instructional material that can help explain best practice
for these roles.
The Solution
PMComplete is the complete, integrated tool for managing all of the business aspects
of projects with a view to ensuring that they are successful.
PMComplete provides tools that have been explicitly designed to support these
business roles in performing their project activities.
For most enterprises, the benefits of professional project management are starting to
be realised in the management of the technical aspects of projects. However, the
same can’t be said for the management of the business aspects of projects. The
management of the business process management, organisation change
(transformation), data cleanup and conversion as well as the training aspects are
usually “in the dark ages”. Until now.
10
As well as providing tools, PMComplete also provides very detailed role primers that
explain the role, how to fill it and how to perform it. These role primers can be used
as-is or as a starting point for developing/tailoring your own roles and responsibility
definitions.
As well as this, PMComplete also provides detailed explanations on how to perform
the processes that these roles perform.
PMComplete Overview – The Product
PMComplete does not replace any pre-existing project management tool that may
already be in use. In fact, it has been designed to complement it, because it can
integrate with a variety of these tools.

Key PMComplete Benefits
Customer Relationship Management
Marketing
Customer Relationship Management is optional within PMComplete.
Your marketplace can be segmented by defining market segments and then each
suspect, prospect and Client can be related to a market segment.
PMComplete supports marketing campaigns. Marketing campaigns can be defined
and then sales enquiries and leads as well as sales opportunities can be related to
marketing campaigns. The status of these by marketing campaign can then be
analysed on the Marketing dashboard.
Create and track sales enquiries and leads.
Sales Management
Sales territories can be defined and salespeople assigned to these territories.
Each suspect, prospect and Client can be assigned to an Account Manager who is then
responsible for them.
Gold Clients
PMComplete allows classifying Clients (and vendors) using an A/B/C rating scheme.
“A” equates to “Gold”, “B” equates to “Silver” and “C” equates to “Bronze”.
The Gold Clients dashboard displays all Clients who have been classified as “Gold”.
Summary information (eg, Life-Time Value) is displayed for each gold Client.
The Sales Management dashboard displays lists of sales enquires and leads as well as
sales opportunities that should have been closed by now or are within a week of their
decision date, so that follow-up action can be taken.
Salesperson
Create and track sales opportunities.
Create and track quotations and proposals.
Create and track purchase orders from Clients.
The Salesperson dashboard displays for each specific salesperson (or “All”):






Customer Relationship Management
Active sales enquiries and leads (highlighting those that should have been
closed by now)
Active sales opportunities (highlighting those that should have been closed by

closed by now)
Gold clients (Life-Time Value, Last Sale Date and Last Contact Date)
Sales analytics based on the sales funnel (number and weighted value)

17



Personal objectives budget, forecast and actual (ie, progress towards
achieving sales quota)
Bid projects that the salesperson is working on
In-flight projects that the salesperson wants to keep an eye on
The Salesperson dashboard allows sales staff to quickly update the status of sales
enquiries and leads and sales opportunities (eg, by changing their percentage chance,
progress through the sales funnel, expected close date and value).


Last Contact Date
The planned relationship strategy for that Client. This function also allows
this to be maintained
Person Lookup
Drilling down to any person from any PMComplete screen will display:
 All contact details in a business card format
 An organisation structure showing everyone in the person’s company
 Person’s biographic data
 Project stakeholder’s biographic data
PMComplete also allows quickly creating a contact record or a meeting record directly
from this drill-down screen.
The person’s details can also be exported in vCard format from this screen (for quickly
importing into Microsoft® Outlook®).
Contact Management
Sales Analysis and Client Analytics
The sales analysis dashboard displays sales analytics by:






Time period
Client Lookup
As well as the many built-in transactions that represent a moment of truth contact
activity with a Client (eg, service call), PMComplete also provides a specialised contact
transaction which is easily used and accessed from many places within PMComplete.
This allows recording of details about a current contact (eg, topics discussed and
agreed) as well as planning a future contact (eg, purpose, desired outcomes, etc).
Transition to Project Delivery
PMComplete allows project team members to leverage the collateral and artefacts
built up during the pre-sales phase, thereby making them more efficient and less likely
to miss something during the handover from pre-sale to post-sale.
Contracts, Project Management Plan (PMP), Statements of Work (SOW), consulting
briefs, proposals, schedules, costings, budget basis, risks, assumptions and stakeholder
assessments all built up during the pre-sales phase are then available to the delivery
project team.
Drilling down to any Client from any PMComplete screen will display:

Enterprise Project Management (EPM)
Overview
PMComplete does not sacrifice grass roots project management functionality for the
high-end business activities. It arguably provides the strongest project, programme
and portfolio management support in the industry including features such as:







Through PMComplete your Project Managers have access to thousands of pages of
Wizards which are best practices fully indexed, cross referenced, integrated and
context-sensitive.
You can become a projectised organisation at your own pace and in your own
sequence – isn’t that useful?
PMComplete doesn’t “just” support “any methodology” but provides explicit,
built-in support for all the major methodologies (ie, PMBOK®, PRINCE2™,
ISO/IEC 15288, Microsoft® Solutions Framework (MSF), CMMI®, etc). You can
also create your own methodology to follow or follow your Client’s
methodology
“Inheritance” of project work products like charts of accounts, tasks, WBS
work packages, risks and document templates, making you much more
productive and standardised
An enterprise human resourcing system that allows you to assign generic
resources (eg, Business Analyst) to activities during preliminary resource
scheduling and later locate and assign available specific people when they are
identified
A comprehensive and flexible timesheet function for costing staff and
external resources’ time as well as updating your schedule’s actual progress
A financial sub-system including billing, full profit and loss accounting and
cost/benefit analysis
Objective and subjective project performance reporting
Provision of compliance and governance reports to ensure your portfolio is
up-to-date to identify where Project Managers may need assistance as well as
ensure accurate reporting
You can create a new project in less than 5 minutes.
PMComplete provides support for running both internal projects and external
projects. Different functionality is available for these different environments.
Support is also provided for all levels of project management capability and to both
the technical aspects as well as the business aspects of projects.
PMComplete allows you the flexibility to treat “everything as a project” – but caters
for whatever level of project management maturity exists in your organisation. You
can start off by running your projects using only Action Items, Issues and Risks or you
can run your project strictly according to PMI’s® PMBOK®… or other popular
methodologies such as PRINCE2™.

You can create a Project Work Breakdown Structure (WBS) either by creating each
WBS item individually or by copying them from a template. The project WBS also
doubles as your project's work products (deliverables) register. You can then monitor
and control the delivery of these work products and never go anywhere near
configuration management. At the project WBS level you are able to create RASCI
charts as well as monitor and control progress and completion.
However, if you want the benefits of configuration management and access to the
large suite of PMComplete configuration management functionality, then you can also
utilise configuration management. Configuration management gives you the ability to
monitor and control multiple, unlimited numbers of versions of a work product as well
as check-out/check-in control.
Project Registers
Project registers are sometimes known as “logs”. They allow Project Managers to
monitor and control the most common aspects that need tracking on projects.
PMComplete provides a complete suite of over 105 different project registers so that
you don't need to build them yourself (or cobble together multiple disparate systems)
thereby allowing you to concentrate on managing your project(s) and having a single
source of truth.
Enterprise Project Management (EPM)
After recording data in PMComplete project registers you can then utilise the many
sophisticated project analytics (eg, performing an analysis of your project schedule)
that are also included in PMComplete. The payback on the effort required to enter the
data for Project Managers and project team members is the ability to analyse the data,
present it in professional-looking reports and charts as well as monitor and keep
control of their projects.
PMComplete assists you to be in control of your projects by allowing you to monitor
and control those aspects that are important on your specific project through their
related registers.
Using PMComplete demonstrates to others (eg, Client, Project Sponsor, your manager,
Project Steering Committee, etc) that you are in control of your project(s).
PMComplete forces a best practice approach to the management of each project
register.
The most common registers used on projects are:

Team (organisation breakdown structure (OBS))
PMComplete promotes and supports the commonly-held view “if you don't measure
it, then you can't manage it”. By providing tools that allow you to monitor and control
EVERY aspect of a project, PMComplete allows you to concentrate on the important
aspects of your project.
This results in reducing the time spent by Project Managers and project team
members in reporting project status as well as providing a consistent suite of reports
across all projects, programmes and portfolios.
Each of the project registers is freestanding. This means that you can pick and choose
which registers you will use on any specific project. The usage of all registers is
optional (ie, you don't HAVE to use any of them on any specific project). You don't
need to decide which registers to use during project initiation, but can defer these
decisions until the need arises during the course of your project.
All project registers are displayed on the Project dashboard. This allows you to display
all project data at-a-glance. The Project dashboard can be displayed at any time with
just a single click.
You can quickly and easily import pre-existing registers (eg, held in Microsoft® Excel
and Microsoft® Word) into PMComplete through its sophisticated data exchange and
integration capabilities.
PMComplete project registers make it easy to simplify your project's Project
Management Plan (PMP) by allowing the PMP to just contain static process
descriptions, while recording all variables in PMComplete registers.

PMComplete allows you to very quickly align your projects and programmes with your
business objectives to help you determine those that are likely to return optimal value
for your investment.
PMComplete allows you to make decisions on which projects and programmes you
should spend your scarce investment dollars and even scarcer human resources. It
supports analysis by:





Return on Investment
Net Present Value

Weighted Alignment with Business Objectives
Simple Priority Scheme
Risk versus Reward
PMComplete allows you to manage the dependencies between projects within and
across portfolios and programmes.
PMComplete allows you to explicitly track benefits throughout the life cycle of a
project or programme, including the operations phase.
Project Portfolio Management (PPM)
PMComplete provides a true enterprise-wide system for business and IT projects
Projects can be grouped into any number of portfolios and programmes for reporting
purposes. All project reports and charts can also be applied to portfolios and
programmes. This produces separate reports for all projects in a portfolio or
programme as well as a roll-up totals reporting mechanism where this makes sense.
PMComplete supports you throughout the pre-delivery phase of the project. For
internal projects, it allows you to manage your project requests, their ranking and gate
approvals. For external projects, it allows you to manage the bid/pre-sales activities

Enterprise Project Management (EPM)
Practice Operations
Introduction
All organisations have to balance internal activities with project activities. Project
activities do not operate in isolation from internal Business as Usual (BAU) activities.
PMComplete can assist you in balancing these competing sets of activities.
From Client profitability reporting through to staff utilisation, billability, rate
realisation and revenue analysis, it is all available just a few mouse clicks away.
You can manage both the front-line of the business through sophisticated sales
opportunity and bid management features.
You can also manage your ServiceDesk (including service calls and work orders).
And it is all integrated with a knowledgebase, document management system and
project management system, intranet-in-a-box and resource management system.
Want to know who your subject matter expert is on Microsoft® Project?... easy… use
the “Find an Expert Search” function.
Want to assign an Oracle DBA to a project team?... even easier… use the “Project’s
Suggested Resources” report.
Want to know who’s on leave over the Christmas/New Year period?... that’s easy too…
use the “Leave record list” enquiry.
How valuable would it be to maintain all your policies, processes, procedures, check
lists, standards, guidelines and templates on-line?
Would the recording and tracking of all practice, programme and project equipment
and library assets be valuable?
Would you find it valuable to have the flexibility to plan and conduct all your meetings
efficiently recording minutes, action items, decisions made and issues, on-line as the
meeting occurs? How valuable would it be to be able to publish the minutes –
including document attachments – immediately to all stakeholders?
PMComplete provides this “operational” support and much more… out of the box.
Some of the operational support features include:
Business Process Management (BPM)
PMComplete provides built-in capabilities for filing and presenting your enterprise’s
policies, processes, procedures, check lists, standards, guidelines, glossaries, moment
of truth activities, key decisions, patterns and templates. This provides a complete,
integrated framework for business process management to record its work products in
a highly useable manner that can then be used by all staff and contractors at all levels
as the enterprise’s “Quality Manual” or “Company Handbook”. This provides
guidance, removes confusion and ensures that all of your staff understand your
policies and processes. This then leads to increased efficiency and effectiveness as
well as higher levels of productivity from your staff.
Want to know who has done what training?... very easy… use the “Company’s
Training” report.
Want a breakdown of costs and revenues by Client, by type, by Account Manager, by
project?... easy… use the “Portfolio’s/Programme’s Profitability” report.
PMComplete moves the game to another important dimension. PMComplete comes
from the premise that Practice Managers, Programme Managers and Project
Managers need support beyond just the planning and management of projects and
programmes. Many times they find themselves in the role of “mini General Manager”.
Would you find it valuable to be able to plan, schedule and manage the training needs
of your programme or project…or of your practice?
Practice Operations
27
A dashboard is provided for quick access to all process artefacts as well as displaying
current and aspirational process capability maturity together with all policies,
processes and procedures that have improvement suggestions.
Process compliance reporting and charting is also embedded throughout PMComplete.
Calendar Management
A corporate calendar can be defined for 4 and 5-week months,
monthly reporting periods, close-off dates, Board meeting dates,
etc. Periods that have been reported on can be closed so that
financial transactions can’t be back-dated into them.
A personal calendar is automatically maintained, displaying all
activities for a person.

Timesheets
Pivot tables allow manipulating data that comes from more than one data base table
(ie, all of the foreign keys are resolved) in many combinations. They are a twodimensional summary table.
What Can I do with Rich Views and Pivot Tables?
A raw data table and a pivoted table are displayed and you can drag and drop columns
to specify your X and Y axis in your pivoted table. Column widths can also be dragged
to re-size them. Similarly you can drag and drop columns to re-order them into your
desired sequence.
General
Below are a few questions that can be answered by using PMComplete Pivot Tables:

By modifying implicit filtering criteria (like the System User’s current
workgroups) and explicit criteria (like the date range to use), the pivot table
function can be used to select records for one or more workgroups and or any
date range.


Pivot tables are based on Rich Views to extract data from the PMComplete data base.
Rich Views
If all of the above does not meet your needs, you can export de-normalised data from
PMComplete into your favourite tool (eg, Microsoft® Excel) and manipulate it as you
see fit. Rich Views are like an on-line analytical processing (OLAP) cube.
Rich Views exist for:
