Job Description
Responsible to:
Head of Financial Services
Main Purpose of Job:
To oversee and carry out a range of financial processes according to
Coachwise standards and procedures.
Key Tasks:
1
Inputting Purchase Invoice entries using purchase order processing system and ledger.
Checking costs, VAT codes and nominal expenditure analysis codes.

Issuing Sales Invoices/Credit Notes to clients, checking VAT codes and nominal income
analysis codes.

Issuing refund cheques to customers from Sales Ledger accounts.
4
Assisting in the monthly cashbook and purchase ledger payment runs when required.
5
Reconciling supplier statements to ledger.
6
Processing daily bank account transfers and reconciliations using Bankline. Weekly
investment calculation. Daily cash flow statement updates using spreadsheets.

Dealing with Credit Control issues – support to junior personnel. Contacting customers by
telephone and letter, sending monthly statements of accounts, updating the contacts
database communications log, sending out copy invoices and dealing with general
enquires.

Checking staff cash expense claims and company credit card statements. Processing
monthly journal of costs to General Ledger.

Monthly journal processing and posting to General Ledger of Prepayments and Fixed Asset
Depreciation.

Assisting with the Rolling stock taking programme and variance reporting

Producing ad hoc spreadsheets as and when required.

Assisting with the preparation of monthly and year end management accounts.

Dealing with financial enquiries by telephone and letter, and offering general administrative
support within the Financial Services Team as and cover where required.

Supervising junior staff as directed.

Following, promoting and implementing the Coachwise policies for the equal treatment of
all employees, applicants and customers.

Undertaking any other tasks appropriate to this level of responsibility.
Person Specification
The person specification describes the knowledge, skills, aptitudes, experience and qualifications
that Coachwise deems necessary for successful performance in the job role.
The successful candidate will have experience of, or be able to demonstrate:

excellent knowledge of Microsoft Office applications, in particular Excel, with a good knowledge
of spreadsheets.
competence in written and verbal communication skills
a good level of experience of working within a finance environment.
a broad knowledge of purchase ledger, sales ledger and general ledger up to a trial balance.
a good knowledge of basic accounts packages, although training on our bespoke system will
be provided.
the ability to maintain accuracy under pressure
excellent time management skills, prioritising differing tasks and projects in order to hit
publication deadlines
the ability to work using own initiative in order to solve problems
the ability to work as part of a team.
Good communication skills, both oral and written.
Desirable
AAT qualification desirable, although experience is more important.
Salary and Benefits
The salary for the position is circa £17,000 depending upon experience and qualifications.
The normal working week is a five day week of 37 hours excluding lunch breaks.
Coachwise offers 25 days annual leave plus 9 days public holidays.
All members of the Coachwise permanent staff receive life assurance cover, which is twice their
annual salary.
Coachwise enhances Statutory Sick Pay (SSP) and Statutory Maternity Pay (SMP) with its own
Occupational Schemes.
New members of staff will become eligible to join the company pension scheme during the first
month of their employment. Anyone not joining at this time will be automatically enrolled into the
scheme designated for auto-enrolment purposes.
Coachwise operates a healthcare benefits scheme for members of staff who have completed their
six month probationary period.
Coachwise operates a Childcare Voucher scheme, which can be used by anyone who is currently
paying for childcare. The vouchers can be used in conjunction with any Ofsted registered carer.
Members of staff who have completed their six month probationary period are eligible to benefit
from reduced gym membership through GymFlex. The scheme enables staff to benefit from
savings at 1,500 health clubs throughout the UK. Participating members will also benefit from
National Insurance savings.
Buying and Selling of annual leave allows staff, who have completed their six month probationary
period, to buy or sell a maximum of five days in any one annual leave year (pro rata for part time
staff).
Coachwise runs a cycle to work scheme, which is applicable on the successful completion of the
six month probationary period.
Coachwise is dedicated to an on-going staff training scheme.
