Enterprise Resource Planning For University Management System (ERP-UMS)
Phase-1
U.P Rajarshi Tandon Open University-Allahabad, is half on the way to Design, Develop and implement
the University Management System. In phase one, university implemented various modules like:-
1. Online Admission System
The Key features of this online admission System portal are:-
a. System is powered by both new CBCS grading System and old grading system.
b. For admission in 83 programs (either by entrance or by direct) in the Session 2015-16 all
the forms are online available.
c. E-common prospectus available online in hindi.
d. E-prospectus and Entrance notifications for MBA, MCA, B.Ed and B.Ed (SE) are available
online.
e. Vishwavidyalaya Ek Drishti a summery prospectus available online.
f. Program wise search
g. Study Center wise search
h. Program wise Fee and Eligibility search
i. Instructions for students step by step available online.
j. Dual fee payment mode linked:-E-challan and Online.
k. For E-challan tie-up with three nationalized banks- Allahabad Bank, Panjab National
Bank and Vijaya Bank.
l. Online transaction Payu money is integrated with the system for Net banking,
Debit/Credit Card.
m. A technical helpline number is available for support.
n. The system is live working 24/7.
o. There is an option for reprint:-e-challan, online payment receipt and form status.
p. SMS integration with the system to inform student step by step
q. Admission module login interface is distributed to all approx 650 Study Centers and 9
Regional Centers for the admission process.
r. Admission module login interface is monitored by admission department
s. Prospectus is marked by the number which is unique cross check for the hard copy.
t. All details available online is downloadable in PDF form.
2. Finance (Accounting, Payroll, Tax) Management System
The Key features of this Finance software portal are:-
a. A predesigned contractor voucher facilitates to record a transaction in a
uniform manner.
b. Single voucher entries enable automatic compilation of various details.
c. Budget Control with Budget Alarm
d. Auto Cheque Printing after entry of any voucher.
e. Generation of cheque issue register.
f. As a special feature, this software is to generate advice for RTGS/NEFT to
reduce time, manpower, omissions/errors and frauds.
g. Automatic generation of Cash Book, Bank Book & Journal Book.
h. Accounts Ledger for each Account Heads could be taken for a specified
period.
i. Automatically generation of contractor register having various columns
such as gross bill amount, Income Tax Deducted, Vat Deducted, Royalty,
LabourCess etc.
j. Automatically generate TDS and VAT register without recording any further
entries.
k. Auto generation of Form 16A.
l. Automatically generation of Royalty and LabourCess list.
m. Daily Bank Balance Report.
n. The Software will generate tallied trail balance automatically.
o. Fund wise receipt & payment statement can also be generated without
further doing any entry.
3. Reports and Communication (Message Board, E-mail, SMS)
Management System
The Key features of this online Communication System portal are:-
a. A web based application will be developed for establishing a Communication between
University Officials, University Staff, Regional Centre & Study Centre through a closed
group system.
b. Each user will have its own individual login and password which will be provided by the
University administrator.
c. The Communication System will be accessed online through University Management
System Login using Internet connection.
d. Administrator & University Officials(Vice Chancellor, Registrar, Finance Officer,
Examination Controller, Admission incharge, SLM incharge) will have the provision to
establish communication with all the Users
e. Study Center will be able to establish communication with their concerned Regional
Center and University Officials.
f. Regional Center will be able to establish communication with their concerned Study
Centers and University Officials.
g. University Staff will be able to establish communication with University Officials and all
the other University Staff, Regional Centre & Study Centre
h. Once the user is logged in he/she can do the following:
a. Dashboard : Displaying the New messages received, Broadcasted messages
received, scheduled messages, scheduled events
b. Inbox : View the messages sent by other Users with date and time
c. Compose Message : Send New Message to Users by setting the priority of the
message and up to 5 attachment files (5 MB) (MS Word, MS Excel, JPG, PDF)
d. Sent Message : View all the message sent to other users with viewed date and
time.
e. Saved Message : Message Composed and saved as draft to be sent later
f. Calendar : Important Events created date wise
g. Schedule Message : Message scheduled to be sent automatically on a particular
date and time.
h. Broadcasted Message : The messages Broadcasted by University Officials /
Administrator to all the Users.
i. Change Password : Change the Login password
j. Archive : All the message sent or received before a particular date will be moved
to this folder.

k. Folder : Option to Create Folders and move important message to the folder.
Once the University Official or Administrator Logged in he will have the following
additional functionalities apart from the above :
a. Broadcast Message : Broadcast message to all the Users.
b. Bulk Mail &SMS : Provision to send Bulk Email & SMS to all the Users of the the
Communication System.
c. Manage Group : Manage Users under the Groups (University Officials, University
Staff, Study Centre, Regional Center etc.)
d. Manage User : Add Users in the Communication System
e. User List : List of Users in the Communication System
f. Last Login Report : Last Login Report of all the Users
g. Sent & Received Statistics : Count of the Messages sent and received by a
particular User
The file format supported will be of all MS Word, MS Excel, JPG and PDF.
The users can only view the messages and cannot edit or delete them.
There will be a section for important Announcements which will be scrolling text.
The Announcements section will be visible to all the users and will be updated by the
admin from time to time through his login.
All messages and answers posted will start displaying immediately (Real time).
The users can post messages in following modes :
a. one-to-one posting.
b. one-to-all posting
c. one-to-selected posting/group
User Logins will be traced and recorded to generate the audit trail as and when the
users have logged in and what action has been taken by them.
Audit Trial will be maintained for all the users.
The above module will be linked with the SMS Module where a fixed message will be
sent to the user mobile numbers on occurrence of certain events. The message will be
“You have received an important message on your UPRTOU Communication Panel. Plz
check urgently.”
The mobile numbers will be kept in the database of all users. Messages can be triggered
on following events :
a. Alert arrival of a new message
b. Reminder if Inbox is not opened for a particular period of time.
