INSTRUCTIONS FOR COMPLETING TENURE SUBMISSIONS

Tenure submissions consist of four items:

Minute Order

Recommendations for Tenure list

Background of Faculty list

 Individual Faculty CV’s

Once an institution submits their tenure requests they are reviewed by the Office of Academic Affairs as well as the Office of General Council staff before being submitted to the Board of Regents.

The review of tenure submissions is a lengthy process especially for the May Board of Regents meeting because of the large number of faculty submitted for approval. These are official records of the Board of

Regents. Each submission is reviewed for style and substance in accordance with the Board of Regents’ requirements and the information for every faculty member is examined. Therefore, the information must be clear and accurate.

The following pages attempt to provide instruction on completing the various sections of the

Recommendations for Tenure list and the Background of Faculty list. There have been a few modifications to the forms to help in the preparation of the documents. In addition to the information provided in these instructions please confirm items such as the spelling of faculty members’ names, faculty member’s department, and years of experience in tenure or tenure track positions. Even though these type errors are infrequent, they are discovered and therefore make it necessary to be reviewed at the

System level. Careful attention on the part of each institution will assistant in making the process as accurate and efficient as possible. Your assistance is greatly appreciated.

Please refer to the sample of a submitted tenure document on the website.

Tenure List No.

is the current fiscal year-meeting number of the Board of Regents. The academic year 2012-13 is the fiscal year 13 and the meeting number is the official meeting number in the fiscal year.

FY 2014 Meetings Numbers:

14-01 October 31, 2013

Tenure List a.

Appears in a table format. The template includes border lines in order to make entering information easier. Borders will be removed in the final form. b.

Column headings should be bolded, not all caps, and the final line of text underlined. c.

“Years Teaching” has changed to “Yrs. Towards Tenure” because many institutions included any teaching experience under the old heading. The number of years in these columns should include only the years that were used in the tenure evaluation and decision.

These are usually the number of years a faculty member was in a tenure track position or tenured at a previous institution or in a tenure track position at their current institution.

Positions such as lecturer, graduate assistant or graduate teaching assistant, adjunct, or teaching positions that were not tenure track are usually not counted towards the years of experience in making the tenure evaluation and should not be included in this column.

There are exceptions such as positions with System agencies or research labs and these can be included assuming these are positions following receipt of the terminal degree. An explanation of these experiences should be included in the Background of Faculty information if they are used.

d.

Effective Date/Tenure should be a specific date when Board action occurs in advance of the specified effective date. Most spring tenure decisions become effective at the beginning of the next academic year so the month/day/year should be listed as 09/01/13 for example.

All other dates of tenure will become effective Upon Approval by the Board (effectively immediately if the faculty member is at the institution’s campus) or, if it is a Tenure on

Arrival decision please indicate Upon Approval by the Board and Faculty Arrival . e.

The tenure list should be organized by College and listed in alphabetical order by College. f.

Faculty should be listed with first name, last name and alphabetized by last name within each

College listing. g.

Tenure on Arrival submissions are identified with an asterisk before the name in the first column of the table with the accompanying footnote. * Tenure on Arrival

3. Guidelines for the granting of tenure should include: (See System Policy 12.06,
