Service Definition
This is the minimum set of information that is expected in a service definition (suppliers
may choose not to provide these aspects of a service, but do need to be clear in their
service definition that they don’t).

TechM is ISO 27001 certified company and Office 365 migration service will be based on ISO
27001 guidelines.
Details of the level of backup/restore and disaster recovery that will be provided
Customers’ data is stored in a redundant environment with robust backup, restore, and
failover capabilities to enable availability, business continuity, and rapid recovery. Multiple
levels of data redundancy are implemented, ranging from redundant disks to guard against
local disk failure to continuous, full data replication to a geographically diverse data center.

On-boarding process







Customer will decide to purchase the Office 365 migration Service from TechM.
Customer will discuss their requirements with TechM.
Customer and TechM will discuss and agree upon the In-Scope, Out of scope activities,
timelines, deliverables and acceptance criteria.
Customer will sign a “Call-off agreement” with TechM.
Customer will issue a purchase Order for the same.
After receiving the PO, TechM will start the work after 4 weeks. (These 4 weeks will be
required to onboard a resource).
TechM will deliver the deliverables as agreed between both the parties.
Off-boarding process:


Customer will review the deliverables on the basis of acceptance criteria agreed
mutually.
Customer will sign-off the deliverables.

These are per day rates (in GBP). If required, all inclusive FP quote can also be provided
based on actual migration requirements.
TechM consultant will work from customer’s onsite location (UK)
All prices are in GBP.
Above prices are exclusive of any Taxes, duties etc.
If pricing is required in any currency other than GBP, then the prices will change depending
upon the exchange rates at the time of contract.
Validity of above rates will be for 6 months.
Term of Payment is 30 days from the date of the invoice
Travel and Visa cost will be charged to customers, at actuals.
Any local Travel to the non-base location will be will be charged to customers, at actuals.
Consultants will work for 8 hours / day as per the business hours of the customer.
Overtime on weekday would be 1.5 times the normal rate and weekend and public holiday
work rate would be double the normal rate.

Training
As a part of Office 365 migration, a detailed training can be designed for the end users. Scope
and suration of the training can be finalized based on the custimer requirements
Ordering and invoicing process
TechM follows as flexible Ordering and invoicing process to suit the customer. This shall be
defined during contractual agreement phase. Also, time duration required for Office 365
migration will depend on the scope of assignment. Below list provides the indicative Ordering
and invoice process for the understanding purpose
Ordering process






Customer will visit the UK Govt G-cloud link.
Customer will contact the concern TechM person over e-mail.
User and TechM will discuss and agree upon the In-Scope, Out of scope activities,
timelines, deliverables and acceptance criteria.
Once all the above mentioned details are agreed upon, “Call-off agreement” is signed
between the end customer and TechM
After the agreement is signed, customer will issue a purchase order for purchasing the
Records Management service for the desired no of users.
Along with the PO, customer will also send a form containing the customer information,
payment details, mode of payment etc.
Invoicing process



TechM will raise an Invoice in advance at the beginning of every month.
Every month, this invoice will be sent to the customer over email.
Overall Payment terms will be governed by the agreement and T&C.

Termination terms
 By consumers (i.e. consumption)

Service Termination conditions would be defined with the customer during the finalization of
contractual agreement.




All HW and SW license required for the assignment will be provided by customer.
Access required for all environments and SWs on it will be provided by customer..
Customer will provide a Single Point of Contact (SPOC) who will:

Assist TechM consultant/s in setting-up the meetings with the business / technical
teams.

Assist TechM consultant/s team in resolving the queries quickly.

Provide sign-offs on deliverables.

Approve change requests.

Manage scope to meet schedule.
Technical requirements (service dependencies and detailed technical interfaces, e.g.
client side requirements, bandwidth/latency requirements etc.)
