The way I use it the most is for marking a message read, categorizing it and filing it. Some email messages you may not need to see, and so you can automatically have those messages go to a specific folder for later reference – however, with these messages I want to look at them first but don’t want to have to go through the manual steps then of categorizing and filing. http://office.microsoft.com/en-us/outlook-help/automate-commonor-repetitive-tasks-with-quick-steps-HA010370689.aspx http://lis.dickinson.edu/technology/training/tutorials/2010/outlook/q uicksteps_various.pdf Video 1. http://office.microsoft.com/en-us/outlook-help/video-simplifyrepetitive-actions-with-quick-steps-VA101822262.aspx Outlook: Tasks I seriously do not think I could do my job if I didn’t have Outlook Tasks – it seriously runs my work world. It allows me to keep everything I have to do in one place, and allows me to not worry that I’m missing something. Setting up recurring tasks is a lifesaver for being prepared for tasks that repeat once a week, once a month, once a year. It’s very helpful to just click and drag emails to tasks to remind yourself to follow up on something later. http://office.microsoft.com/en-us/outlook-help/create-tasks-and-todo-items-HA010354415.aspx?CTT=5&origin=HA101829999 http://www.techrepublic.com/blog/five-apps/five-tips-for-organizingyour-outlook-2010-tasks/948 Video 1. http://youtu.be/BOKpCitEfow 2. http://www.youtube.com/watch?v=c4D8U4iPbfc&sns=em Excel: AutoFill The series feature of AutoFill is so helpful! I use it a lot when making calendars for repeat meetings to make sure I’m looking at the correct dates, etc. Excel is pretty smart and can usually pick up your series. http://support.microsoft.com/kb/291359 Video 1. http://www.youtube.com/watch?v=l24ZjX1m3Y8 Excel: CustomFormat A lot of times I want to see my dates in this format … “Thu 04/18/13” It is very easy to format your data in Excel with CustomFormat. http://office.microsoft.com/en-us/excel-help/create-a-customnumber-format-HP010342372.aspx Mail Merge Mail Merge in Word/Excel is very helpful for sending out emails, documents, etc. with a lot of the same information to a lot of people. I use it a lot with the rentals. I export out emails, etc. from Access to Excel and then merge into Word which automatically emails it to all tenants. It sounds complicated, but it is just a few key strokes and can be done in a matter of minutes. Saves a ton of time!! http://office.microsoft.com/en-us/word-help/use-mail-merge-tocreate-and-print-letters-and-other-documents-HA101857701.aspx Insert and format field codes in Word 2010 http://office.microsoft.com/en-us/word-help/insert-and-format-fieldcodes-in-word-2010-HA101830917.aspx Videos 1.
