WELCOME
Our Organization and this Handbook
First of all, I would like to take this opportunity to thank you for becoming a Volunteer. We are sure
that this will be a very rewarding experience.
The New Life Food and Clothing Pantry are dedicated to supporting those in our community and the City
at large, who are less fortunate than us. These encompass the young, the elderly, the homeless, the
hungry, and the immigrant among us. We primarily serve the communities of Queens, New York and
have been operating since the Fall of 2006. The Pantry operates as a distribution pantry, in that the clients
receive pre-selected food and clothing distributed in bags.
You have entered into a helping relationship with New Life Fellowship Community Development Corp. to
act as a Volunteer while performing services for the Food and Clothing Pantry ministry. Any questions
about your Volunteer responsibilities should be directed to a Manager, Assistant Director, or Director.
Volunteering is exciting but at times overwhelming. This Volunteer Handbook will answer some of your
questions regarding your duties and will assist you in better understanding what you can expect from
helping out at the Food and Clothing Pantry and resources you have available to handle most situations.
This Handbook is available to all Volunteers and if requested will be provided for your personal reference.
In an effort to be responsive to the needs of the organization, changes or additions to the contents of this
Volunteer Handbook will be made when necessary and periodically updated at the discretion of the
Organization.
This Handbook is NOT an employment contract but is solely for the guidance and assistance of Food and
Clothing Pantry Volunteers. Volunteers of the New Life Food and Clothing Pantry are NOT considered
employees, and therefore any benefits an employee would incur, would NOT be applicable to Volunteers.
The Volunteers are invaluable to the success of the Food and Clothing Pantry ministry and therefore every
effort to accommodate the needs of both our Guests and Volunteers are equally important to the New Life
Fellowship Community Development Corp. Food and Clothing Pantry.
If you have any questions regarding any policy or procedure in this Volunteer Handbook, please contact a
Food and Clothing Pantry Manager, Assistant Director, or Director. Please note that any reference to one
gender applies to both genders.
We are blessed you have joined us to be a Volunteer at the Food and Clothing Pantry and hope that the
experience will be both challenging and rewarding.

This may include educational, emotional, vocational, and spiritual growth opportunities.
Objectives (weekly)
For Guests:

Provide information and referrals to other agencies as needed
Provide Spiritual counseling, prayer and referral to it, when needed

Provide the use of their gifts, as needed
Provide community (as God intends).

Services
Here at New Life Food and Clothing Pantry we offer more services than just a food pantry and as a
Volunteer it is important that you know what those services are.

Food Stamp Pre-screening (same as Pantry Hours) Many people don’t know that they qualify for food stamps. This service presents the opportunity
for our clients to get an estimate of what they will receive and are referred to the closest Food
Stamp Office.

Referral to other Organizations (i.e. New York City Rescue Mission – NYCRM) that possibly
would be able to assist them in meeting their needs.

12 Step Program Meetings (i.e. Alcoholics Anonymous, Narcotics Anonymous, etc.).

Clothing - upon request, we distribute male and female, adult and children’s’ clothing.
Key Dates
Monthly Leadership Meetings are conducted the first Sunday of each month following the second service
(approx 1:15pm). The meeting location is in the Food Pantry.

VOLUNTEER POLICIES
Code of Conduct – Volunteers
Our Volunteers are expected to conduct themselves in a civil and courteous manner (verbally and
behaviorally) towards all individuals (other Volunteers, Guests, Building Personnel, Visitors, Supervisors,
etc.). They are expected to arrive and depart at designated hours (before the Pantry opens and at the
conclusion of our Pantry service). We are expected to follow direction of our supervisors and go out of
our way to assist other Volunteers and Guests within reason. We should make our best effort to work the
service day(s) we have committed to (are scheduled for). When conflicts occur we are to CALMLY take
the appropriate action to resolve the issue including: contact the supervisor on duty, contact security, etc.,
and/at a minimum inform Leadership of the incident.
Let us be conscientious of our work time and avoid “excessive” side conversations when work is to be
done. There is plenty of time to fellowship when we have set up and served our Guests and when it is
slow… In the event we cannot work our scheduled service day, we should contact via email or telephone,
the scheduling supervisor.
Conflicts and Conflict Resolution (threats and violence)
It is a fact that conflict occurs in all organizations. It is important to expect conflict and deal with it
immediately with compassion and in an effective manner. Our role as Volunteers is not to engage our
clients’ in an aggressive or intimidating way, but with respect and erring on the side of caution. Here are
some “Do’s and Don’ts”. It is wise to:
 Maintain a professional attitude, voice volume, and response when addressing our clients.
 Avoid conflict and angry situations when possible
 Contact the appropriate person (i.e. Security) when conflict occurs
 Not wear inappropriate clothing
 Not use foul language
 Not speak about inappropriate topics
Volunteer/Client Involvement
We live in a litigious society which means that although we exist to “help” people, we are obligated to
behave in an appropriate/legal manner. To protect our Organization from any behavior that would border
on abusive or disrespectful to our Client’s, New Life Fellowship Staff, Visitors, and other Volunteers, we
strongly encourage a safe and respectful treatment and relationship to and with one another.
Appropriate behavior is loosely defined because many of our Volunteers are married and their spouses or
children volunteer with them. Never the less, if there is a question concerning “appropriate” behavior,
please err on the side of caution. Public displays of affection may be “appropriate” between a husband
and a wife, a child and their parent or sibling(s), even individuals who are dating in a romantic
relationship, but if displayed with a client (even in a friendly noninvasive manner) may be construed as an
invasion of the client’s privacy resulting in unpleasant consequences for all concerned.
In the event that you hear or see any behavior that is questionable, it is to be reported to a Manager,
Assistant Director, or the Director who will investigate and take the necessary actions to protect the parties
involved.

VOLUNTEER POSITIONS
There exist several functional positions within the New Life Food and Clothing Pantry which are
described below all of which (except for the Inventory Manager) are Volunteer non paying positions.
Director – The Director (Jeff Kolsch) is the overseer of ALL Food and Clothing Pantry operations.
Significant responsibilities include:
 Liaison between New Life Fellowship Community Development Corporation (NLFCDC) and the
New Life Food and Clothing Pantry (NLFCP) ministry.
 Attend meetings and report on Food and Clothing pantry operations to NLFCDC.
 Set policy, approve processes and procedures for NLFCP.
 Liaison between all external and internal partners.
 Prepare and submit Grants.
 Food ordering and recruiting new food suppliers.
 Required Monthly, Quarterly, and Annual Reporting (including to government agencies).
 Addressing problems (i.e. fixing the floor, obtaining security gates, filing facilities, food storage,
Inventory Manager stipend, food delivery problems, etc.)
Assistant Director – The Assistant Director (Ed Podlovits) supports the Director in ALL Food and
Clothing Pantry operations. Significant responsibilities include:
 Attend NLFCDC meetings and contribute/supplement Director responses to issues.
 Attend meetings and report on Food and Clothing pantry operations to NLFCDC in the Director’s
absence.
 Suggest and document policies, processes, and procedures for NLFCP.
 Support Director with all external and internal partners.
 Assist in the preparation and submission of Grants.
 Food ordering.
 Required Monthly, Quarterly, and Annual Reporting (including to government agencies).
 Addressing problems (i.e. with Volunteers, etc.)
 Preparation of Client Sign-In sheet (twice a week)
Additional Responsibilities include:
- notify Volunteer(s) of their service commitment prior to their service day (via email or
telephone contact).
- ensure that the “Pantry List” has been prepared (each Database updated). This includes
coordinating with another Volunteer to accomplish this task.
- on assigned day to Supervise the flow of activities of crowd control, food and clothing
distribution. This will include the assignment of duties to Volunteers.
- when necessary, fill in for voids in Volunteer responsibilities.
Supervision:
- the Manager is responsible for new Volunteers including required Volunteer
Applications and Volunteer Agreement completion and interviewing new Volunteers,
answering their questions and concerns, and directing/training them in their assigned
duties.
- oversee the Inventory Manager position and as appropriate involve the Director
and/or Assistant Director in training, disciplining, and addressing important issues.
- oversee the Clothing Pantry Manager which includes directing and facilitating
Clothing Pantry needs. This is not an active involvement but is an accountability issue.

Assistant Director (Additional Responsibilities cont'd)
- problem resolutions between Volunteers and Client’s.
- ensure that weekly operations are running smoothly and in accordance/compliance
with NLFCDC and NLFCP policies and procedures (i.e. discard expired food, ensure set
up and break down is complete, etc.).
- gather the Volunteers together and lead in prayer BEFORE any food or clothing is distributed.
Miscellaneous:
- deliveries receipt and order verification, storage and packing bags is to be handled by the
Inventory Manager (Dave Goolic) but is accountable to the Assistant Director and therefore
occasionally observed/audited to assure compliance with responsibilities.
- distribution allotments: 1 bag per Client PLUS fresh produce(vegetables and fruit) when
available.
- propose changes and special events (i.e. school supplies outreach, etc.).
- attend meetings for NLF&CP with outside agencies.
- store and print flyers.
- stock pantry counter with information (flyers, etc).
- stock New Life information racks in lobby.
- maintain electronic copies of documents.
- Provide Director with support (information, guidance on best practices, criticism of
performance, needs assessments, training and outreach opportunities, conflicts, meeting
minutes, etc.).
Chief Information Officer (CIO) – The CIO (Christine Lee) is the overseer of ALL Food and
Clothing Pantry computer/technology operations. Significant responsibilities include:
 Liaison between New Life Fellowship Community Development Corporation (NLFCDC) and the
New Life Food and Clothing Pantry (NLFCP) ministry concerning technology matters.
 Attend meetings and report on Food and Clothing pantry technology operations to Director and
Assistant Director.
 Set policy, approve processes and procedures for ALL technology issues..
 Liaison between all external and internal partners regarding the design, development,
implementation, changes, purchases, etc. regarding technology matters.
 Interviewing and Training technology personnel (this will include the Director, Asst Director, Sr.
Manager, and Managers)..
 Required Monthly, Quarterly, and Annual Reporting (including Design, Developpment,
Implementation, and changes).
 Addressing problems (i.e. fixing the computers, purchase new software/hardware, security and
storage issues, etc.)
Supervision:
- the CIO is responsible for ALL technology personnel (anyone using a computer, outside
Vendors, etc.)
- oversee the Guest Intake Manager position and as appropriate involve the Director
and/or Assistant Director in training, disciplining, and addressing important issues.
- ensure that operations are running smoothly and in accordance/compliance with NLFCDC and
NLFCP policies and procedures.

Sr. (Operations) Manager – The Sr. Operations Manager (Johnson Li) is the overseer of ALL Food
and Clothing Pantry operations. Significant responsibilities include:
 Ensure that all policies, processes, and procedures for NLFCP are executed in an efficient,
effective, and timely manner.
 Liaison between all external and internal Pantry participants (Volunteers, Guests, Visitors,
Inspectors, Building personnel, etc.).
 Addressing problems (i.e. Volunteer and Guest complaints, fire drills, spills, messes, injuries,
security issues, etc.)
Supervision:
- the Sr. Manager is responsible for ALL Managers (both Food and Clothing, including Guest
Intake). Applications and Volunteer Agreement completion and interviewing new
Volunteers, answering their questions and concerns, and directing/training them in their
Assigned duties.
- oversee the Inventory Manager position and as appropriate involve the Director
and/or Assistant Director in training, disciplining, and addressing important issues.
- oversee the Clothing Pantry Manager which includes directing and facilitating
Clothing Pantry needs. This is not an active involvement but is an accountability issue.
- problem resolutions between Volunteers and Client’s.
- ensure that weekly operations are running smoothly and in accordance/compliance
with NLFCDC and NLFCP policies and procedures (i.e. discard expired food, ensure set
up and break down is complete, etc.).
- gather the Volunteers together and lead in prayer BEFORE any food or clothing is distributed.
(Guest Intake) Manager – The (Guest Intake) Manager (Jia Zhu) is the primary individual in the
process of “Intak(e)ing” our Guests enabling them to receive food. Principal responsibilities include:
 Processing Guests at the Intake tables located in the shell room.
 Ensures ALL “New” [First Time] Guests provide ALL information (see Guest Signature Form
in EXHIBITS) and sign the (Volunteer) completed form.
 Inputs “New” Guest Form information into the Database.
 Files ALL “New” Guest Forms in the files/folders on the shelf in the Pantry.
Supervision:
- the Intake Manager is responsible for ALL Intake Volunteers (anyone using a computer) and
reports to the Sr. Operations Manager.
- supervising Intake Volunteers includes training, answering ALL their questions, dealing with the
errors and problems arising from processing Guests, and resolving disputes at the Intake location.

Customer Relations Manager – The Customer Relations Manager (Mary Su) is the initial and
principal representative to/with our Guests. Primary responsibilities include:
 Provides (beginning at 5:00pm) numbers/tickets to guests coming in for food and clothing
 Manage crowd control in and around the door area of the Shell/waiting room
 Helps direct guests to enter or exit the waiting area; directs guests to food distribution and/or
pantry counter
 Provides (beginning at 5:00pm) disabled (defined as individuals using a cane, crutches or
wheelchair), infirmed, and elderly (defined as those Guests 75 years in age or older) Guests
with a number/ticket and directs them to the pantry counter to be processed for early distribution
Secondary Responsibilities include:
 Help with set-up of operations when requested.
 Assist Dave Goolic with packing bags
 Maintains lobby and outside pantry area clean, and un-obstructed
Work Days and Hours: Tuesdays during pantry set-up and operational hours (3PM – 7PM)
Reports to: Volunteer Managers: (Sr. Mgr) Johnson Li , (Asst Mgr) Marlon Quiroa,
(Inventory Mgr) Dave Goolic, and (Assistant Director) Ed Podlovits.

Clothing Pantry Sr. Manager - The Clothing Sr. Manager (Laura LoFaso) is a critical role within
the New Life Food & Clothing Pantry (NLF&CP). In this role the Sr. Manager will be responsible for
the setup and maintenance of the clothing inventory that supports our mission “To share the love of
Jesus by providing assistance to those in need within our community (our “Clients”)”. The Clothing
Pantry Sr. Manager position will be responsible for all operations to receive clothing donations and
distribute clothing to our Clients. This position reports directly to the NLF&CP Sr. Manager (Johnson
Li) and Asst Director (Ed Podlovits).
 Service Day (Tuesday evenings and Saturday morning) tasks include:
- set up Clothes distribution area
- evaluating all clothes inventory [discard unusable items]
- organize, sort, categorize (spring/summer, men/women, boys/girl, size, etc.) fold and
display on tables for distribution
- distribute clothes
- track # of bags of clothes distributed for that day via computer input.
- store off-season (winter during summer and summer during winter months) clothes
above food pantry. This storage is accessible from pantry ladder (Ed and Jian can assist).
Supervision:
- there will be at least one Assistant Manager and Volunteers which require direction
- information regarding Clothing distribution (avg number of people, types of people,
clothing requirements, other needs, etc.) will be communicated to the appropriate
parties starting with Assistant Director/Operations Manager
Miscellaneous:
- Set-up and Storage issues should be handled by the Manager with help/guidance from Ed
and/or Jeff
- Distribution allotments: 1 bag per Client PLUS a coat/suit/shoes as needed
- Supplies (i.e. bags, hangers, boxes, racks, tables, etc.) are provided by the pantry (ask
and it shall be given to you…)
- Inventory is received via donations periodically and not advertised. In addition, a
“Coat Drive” is facilitated, advertised (in the Sunday bulletins), and conducted every year
beginning in late November thru February.
- PRAYER is to be our first and most important act before serving our Guests. Please
lead the volunteer(s) in prayer.
Inventory (Stock) Manager - David Goolic
Significant responsibilities include:
 Unload deliveries, stocks inventory, and check in food, produce and clothing deliveries.
 Manage additional stock rooms, refrigerators, inventories, i.e., plastic bags.
 Alerts Director to re-order when stock and supply levels are low.
 Packs client bags, keeps pantry clean
 Performs crowd control when needed
 Directs clients to pantry in an orderly fashion, if needed
 Oversees and assists waiting room set-up and clean-up.
When: Works Tuesdays and Saturdays during pantry operational hours as well as various nonoperational times, i.e. deliveries.
Reports to: Pantry Director and Assistant Director.

Clothing Pantry Manager and Assistant Managers - The Clothing Assistant Manager is a
support position to the Clothing Managers’ position but essentially responsible for the same duties and
tasks as the Clothing Manager. In this role the Assistant Manager will be responsible for the setup and
maintenance of the clothing inventory that supports our mission “To share the love of Jesus by providing
assistance to those in need within our community (our “Clients”)”. The Clothing Pantry Assistant
Manager position will partner and support the Manager in all operations to receive clothing donations
and distribute clothing to our Clients. This position reports directly to the Clothing Manager and in
his/her absence the Operations Manager (Jeanne McCalley).
 Service Day (Tuesday evenings and Saturday morning) tasks including:
- set up Clothes distribution area
- evaluating all clothes inventory [discard unusable items]
- organize, sort, categorize (spring/summer, men/women, boys/girl, size, etc.) fold and
display on tables for distribution
- distribute clothes
- track # of bags of clothes distributed for that day on dated Clothing sheet,
account for coats and shoes separately. NOTE: Clothing is typically tracked
by weight, for example 1 Bag will avg. 3-5lbs
- sort and hang clothes donations above food pantry. This storage is accessible
from pantry ladder (Ed and Jian will assist)
 Supervision:
- there will be at least one Volunteer which require direction
- information regarding Clothing distribution (avg number of people, types of people,
clothing requirements, other needs, etc.) will be communicated to the appropriate
parties starting with the Clothing Manager
 Attendance:
- at least one evening or day a month
- assure that there is coverage for the Clothing Pantry on the service day by coordinating
with the Clothing Manager and Jeanne McCalley (Operations Manager) at least a day
BEFORE service day (email is best with Cc: to Ed Podlovits)
 Miscellaneous:
- Storage issues should be handled by the Manager with help/guidance from Jeanne, Ed,
and Jeff
- Distribution allotments: 1 bag per Client PLUS a coat/suit/shoes as needed
- Supplies (i.e. bags, hangers, boxes, racks, tables, etc.) are provided by the pantry (ask
and it shall be given to you…)
- Inventory is received via donations periodically and not advertised. In addition, a

determined whether the Clothing Pantry will oversee this outreach.

Waiting Room (Crowd Control) Assistant – The Waiting Room Assistant (George [Otto] Hugo)
is one of the most important Client relations individuals because he/she is the first individual who meets
and greets the Client. It is said that “first impressions” are the most important… This position (along
with the Inventory Manager) is in the front lines of our ministry and is the most exposed to conflict with
our Clientele. Significant responsibilities include:
 Arrive an hour and ten minutes early to set up the waiting room (set out approximately 30 chairs,
turn on the air conditioner/fan(s) during the summer heat, and put out fresh water during the
summer).
 Permit Client’s to enter the building (Note: on the designated “Days of Operation”, our Client’s
will arrive one hour+ early but are NOT permitted to enter the building until one hour before
Operation Hours begin. Specifically, are allowed to enter the building on Tuesday’s at 5:00PM
and Saturday’s at .9:00AM).
 Greet (asking each person their names), verifying that they have acceptable (drivers license,
benefit cards, etc.) ID, and providing them with a number (written on a piece of paper), and
directing them to be seated in the waiting area (normally located in the shell room). Note: when
events occur, we will use the Yellow and Blue rooms just inside the church foyer opposite the
security desk.
 Call numbers and has the next two or three Client’s ready to approach the counter.
 Collect the numbers verifying the order and directing the Client to the next counter Volunteer.
 Clean up by stacking and placing chairs in there storage area, shutting off air conditioner/fan(s),
dumping remaining water, rinsing cooler and putting it away.
Translation and Encryption – Due to the make-up of our Client population, we have Volunteers
(Jaye Lee and Teresa Dong) that provide Translation and Encryption services to our Volunteer staff. The
instructional signs that appear on the counter and the commonly used terms (see Exhibits) have been
provided by these Volunteers. They enhance our ability to provide services to our Clients in a friendly
and orderly manner. They are available to us to help in the Translation or Encryption of both Mandarin
and Cantonese Chinese and are usually emailed or telephoned for help.
Volunteer (Intake/Distribution) – When a Volunteer candidate completes a “Volunteer
Application and Agreement”, the Director, Assistant Director, or Supervising Manager will conduct a
brief Interview; the Assistant Director will do a background check and call references provided. Upon
acceptable results, the Volunteer will usually start with doing the Waiting Room Assistant duties
(described above) for the first couple of dates of service and then move behind the counter. This is to
ensure that the Volunteer is reliable and truly is called to serve at the Food and Clothing Pantry.
Significant responsibilities for the counter include:
 (Distribution) Verify that the numbered ticket is Initialed by one of our Intake Volunteers and IF
not then send them back to that area for processing.
 (Distribution) Verify with Inventory Manager any “Shelf Items” to be distributed to Guests (and
how they are to be distributed i.e. do they require a child; do they have to request the item, etc.)
 (Intake) process Guests [as they are called forward] in the database (see Procedures in the next
section for step by step instructions).
 (Intake) Check ID (periodically check addresses). IF NOT in Database, then complete a “Guest
Information Form” and have the Guest sign it. NOTE: VOLUNTEERS prepare the form; initial
their numbered ticket and direct them toward food distribution area .
 (Intake) Let the Waiting Room Assistant know when you are ready for the “NEXT” Guest..
 (Distribution) Distribute a bag (ONLY one bag per family) of Food.

Monday 7/21/08 will be delivered one week later on Tuesday 7/29/08.

HPNAP – this is a monthly order (detailed procedures follow) we place on ____________ for

Greens for Queens – this is the Presbyterian church on Seabury Street off Queens Blvd (four blocks North
from New Life). They provide fresh vegetables (including tomatoes, collards, peppers, eggplant, basil,

FOOD PANTRY GUEST INTAKE PROCEDURES (GUEST PROCESSING)
At the start of the day
IMPORTANT NOTE:
Make sure that the most recent copies of all 4 databases are in the C:\NLCFP
directory on the “main” compute (by verifying that the NLCFP_01 etc. are the last date
used).
From the “NLCFP_DB_Main.accdb” database click the “Export Orders Tables” button under the
“BEGINNING of the DAY” Label.

Ten saved exports will run copying the newest Family and Orders tables from the main database to the 10 “sub”
databases (NLCFP_DB##) so that each will start with the most recent copy of the tables at the beginning of the
day.
When the exports are completed the following query will be displayed:
Copy each “sub” database to the individual computer (via a flash/USB drive) for the entry of the daily orders.
Open the NLCFP_DB## on the computer (and if necessary select the “Options” button, then “enable…”).

CAUTION:
After the entry of the daily orders, before starting this procedure, make a
copy of the Main database.
NOTE: The order tables from the 3 sub databases need to be imported into the Main database so that all
3 can be combined into one table preparing the databases for the next order entry dates.
1. Go to C:\NLCFP (shortcut on main computers desktop) and DELETE the “tblOrders##” (excel)
files for any databases we will replace. For example, if we used NLCFP_DB01, …02, …03, etc.
then DELETE tblOrders01, …02, …03.
2. After all the orders have been entered for the day, copy the 3 sub databases to the C:\NLCFP
directory on the main computer (Overwrite any old copies that may still be in this directory).

CLOTHING PANTRY PROCEDURES & PROCESSES
The New Life Food and Clothing Pantry (NLF&CP) operates a Clothing Pantry (CP) as a ministry to
those in need of new and gently used clothing (including shoes, coats, accessories, etc.) at NO charge to
our Client’s.
Note that the following are “general” guidelines and should be used as such. When questions arise,
common sense should dictate the decisions.

sizes (Men’s Women’s, Teens, Boys, Girls, Toddlers, Infants, etc.). This is not an all inclusive/exhaustive
list but gives a general definition.
ACCESSORIES – which will be included in the term “Clothing” as used in this document includes Belts,
Pocket Books/Purses, Hats, Gloves, etc. NO Jewelry, please.
NOTE – NO OTHER ITEMS (such as household items, etc.) ARE TO BE
ACCEPTED/DONATED AS WE DO NOT HAVE THE CAPACITY TO STORE IT.
Donations
The CP does NOT solicit/advertise for clothing donations (EXCEPTION is our “Annual Coat Drive”
which is communicated/advertised via the New Life Fellowship Church Sunday bulletin and occurs from
the last week in November to the first week in February each year). Although we are not currently
soliciting/advertising (this may change when conditions change and it becomes necessary to meet the
increasing needs of our Clients’) we accept all clothing [defined above] donations. We recommend that
ALL donations be laundered and bagged/boxed and dropped off at the Food Pantry counter (in front or in
the bin). They will be relocated inside the locked gate or in the Health Clinic room until the operation
times at which they will be screened/examined (see below).

Screening
All clothing donations received will FIRST be determined if in “gentle” or new condition and appropriate
for distribution, THEN if acceptable will be sprayed with disinfectant spray to eliminate the potential of
insect infestation. Then the clothes will be placed in the room in the Health Clinic and sorted on the
Operation Days and Times. If not screened in advance, the clothes will be examined during the Hours of
Operation. Please use “The Golden Rule” as a guideline when determining whether to disgard the item or
not.
Setup and Sorting
Tables are setup approximately 30 minutes before the distribution time and are arranged in a horseshoe
(square) configuration. The wheeled racks of clothes are wheeled out (from room in health Clinic) at this
time (30 minutes before…) and located in the center of the tables. Boxes of clothes from the health Clinic
room is also brought out at this time (but NOT displayed yet until Prayer is completed). Once tables are
setup, wheeled racks and boxed clothing are out, ALL Food and Clothing Volunteers gather
together to PRAY. Clothes from the boxes are displayed on the tables by Type and Gender (i.e.
Women’s Pants/Jeans, Women’s Shirts/Sweaters/etc., Men’s Pants/Jeans, Men’s Shirts (pullovers, golf,
etc.), Children & Infant Clothing. Shoes, Socks, and Other Accessories.
Distribution
Clients’ are directed by our CP Volunteers in an orderly fashion around the tables. Each Client is
encouraged to take 1 Bag of Clothes (Bags are provided by the Volunteers – supply is provided by the
Food Pantry) AND 1 Coat AND 1 Suit or Dress AND 1 Sweater/Shawl/etc. AND 1 Pair of Shoes
(Accessories as needed) each day.
Objective:
To limit each Client to ONE bag of clothes (onclusive of a pair of shoes. jacket, dress, suit, etc.) per
month.
1) An additional Client list will be provided to an in-charge Clothing Pantry Volunteer (either Janice,
Vicky, or whomever they designate as an additional Clothing Asst Manager...).
2) When a person receives ca bag of clothes, or shoes or jacket, or suit, etc the Clothing Volunteer will
review their ID and make a check mark "X" in the date column (they need NOT sign their names). This
will indicate that the Client has received Clothing for this date.
3) The Clothing in-charge will have the following 3 weeks lists' (this will encompass one month of
activity) and compare them to see if the same Client is receiving clothes more than once a month.
The most current list should be marked (write) the date that the person is eligible to receive clothes. I
will work along side the Clothing Pantry Volunteers until the practice is working.

This will determine if the same person(s) is(are) continuing to receive clothes which would exclude the
truly needy. Please NOTE that this excludes Volunteers as they are authorized to receive clothes as
needed and NOT limited to once a month.
Breakdown and Storage
Breakdown will occur when the Guest population has dwindled. Statistics should be recorded at this time.
The objective is to organize the clothes when setting up (see “Setup and Sorting” above) with Dresses,
Suits, Jackets, Blouses, Button Down Shirts, etc. will be displayed and stored on the wheeled racks.
Boxes are provided (by the Food Pantry) for storing the clothes displayed on the tables (see “Setup and
Sorting” above) and should be folded neatly in the boxes by Type and Gender. The boxes and wheeled
racks are maintained in a room inside the Health Clinic. On TUESDAY tables are broken down and
stored back on the rollable table racks. On SATURDAY 7 tables (2 tables between each column and 3 in
front of the stage) are left standing for Sunday and the rest of the tables are folded and placed in the
rollable racks.

Each year (usually in June), we are “Inspected” by the New York City Foodbank. This is a scheduled
inspection which we are notified in advance and required to provide:

Current list of Board Members (Trustees/Directors) [since we are under the auspices of the New Life
Fellowship Community Development Corporation this would include the Board Members including
Jeff Kolsch]
Proof of last Extermination or Pest Control
Community Outreach materials (brochures, flyers, ads, etc.)
(Client) Sign-in Sheets for the past three (3) months
Inventory/Storage Records (invoices, dated boxes)
Food Storage areas (this encompasses a walk through with Dave Goolic our Inventory Manager of our
storage and refrigerator facilities)
Our Program’s food distribution or meal service [because we are NOT a soup kitchen this is Not
Applicable]
Licenses/Certifications:
o Department of Health (DOH) Food Handler’s Certification (at least one member of each
agency serving “prepared” food) [because we are NOT a soup kitchen this is Not Applicable]
o DOH Permit to Operate a Food Services Establishment (all agencies serving “prepared” food)

Volunteer Agreement
As a Volunteer it is important to follow certain guidelines for the welfare and protection of our client’s
and for your personal protection.
I promise as a Volunteer to comply with the rules and regulations of New Life Fellowship Food and
Clothing Pantry including those that would apply to any visitor to New Life Fellowship church.
I understand that my service is primarily, but not limited to, the set up and break down of the client
waiting area, verifying ID’s, distribution and collection of client numbers, conduct client signing and
distribution of food.
I further understand and agree not to engage in any conflict with our client’s but immediately contact
building security in any conflicting situation (verbal or physical). In addition, I am not to proselytize or
force my beliefs on any client but at certain “outreach” events may hand out materials and courteously
“share” our faith.
Under no circumstances am I to physically or verbally intimidate and/or abuse any client, volunteer,
worker, staff, or visitor to the New Life Fellowship facility. I am a representative of New Life Food and
Clothing Pantry and therefore should treat people and property with respect and consideration.

Community Service Agreement
Dear Candidate:
Because we consider the opportunity to complete Community Service by serving at the New Life Food &
Clothing Pantry a responsibility assumed by our Candidates; and to reinforce the proper attitude and behavior in
this situation and therefore we require our Candidate’s to commit to the expectations listed below.
We EXPECT that our Candidates will:




dress appropriately, and be punctual, responsible, and respectful;
be present at the agreed times/days each week, with a Time Card to be signed (by either Ed Podlovits, Norm
Mui, or Johnson Li) each time;
keep any/all personal electronics off during his/her time at service (Note: it does not matter what the other
Volunteers, Guests, Visitors do…);
as the end of his/her agreed service period nears, notify me (Ed Podlovits) or our Director (Jeff Kolsch at least
two weeks in advance.
We also EXPECT that our Candidates will:

prior (at least one day) notice if illness or emergency requires an absence (Note: one notice is permissible, more
than that is not acceptable and can be cause to void this Agreement). We take the Candidates commitment very
seriously but want to see the Candidates succeed.
The Candidate can EXPECT:




to be supervised during their agreed times/days each week;
we will offer assistance/suggestions as needed;
have a Supervisor (either Ed Podlovits, Norm Mui, or Johnson Li) on premises each time to verify the Candidates
arrival and departure by signing his/her Time Card for each visit;
discuss any schedule-change, problems, or misunderstandings with the Candidate AND any appropriate parties.

PLEASE CONTRIBUTE: Our Clothing Pantry is in need of gently used spring and summer
clothing and accessories (shoes, sneakers, belts, hats, etc., NO jewelry). As you update your
wardrobe and clean out your closets this spring, please think of our Community. All donations can
be dropped off in front of the Pantry counter past the security desk. Please contact Laura LoFaso at
