Georgia Tech Autoclave/Boiler Equipment Inspection and Preventative Maintenance Services Scope of Work 1) Contractor required to perform four (4) scheduled preventative maintenance service visit per year including parts for 19 campus autoclaves. In addition, one (1) preventative maintenance service visit and parts per year for 10 stand-alone boilers and 5 built-in boilers associated with the above autoclaves. List of equipment included in attachments Autoclave Location and Boiler Inventory. Maintenance should include: Check for proper overall working conditions of the units. Check door(s) for proper mechanical operation. Check door gasket and locking mechanism. Lubricate door as per manufacturer’s specifications. Check door safety interlocks. Check all solenoid and check valves. Check sequence and function of all controls for proper operation of programmed cycles, and calibrate as needed. Check electric motors for proper operation. Check timer/timer controls. Check data logger/recorder/printer/indicator lamps and fuses. Check all electronic controls and controller boards. Check and verify all sensors and controls and calibrate if possible to meet factory OEM specifications. Check operation of all pneumatic, electronic, hydraulic actuators, valves and systems. Check for water or steam leaks. Check all filters and strainers and clean as required. Check all steam traps. Check steam pressure relief safety valves as per manufacturer’s guidelines and specifications and ASME regulations. Check steam regulators. Check temperature and pressure controls. Check all electrical connections and electrical safety conditions to determine if these are functioning according to manufacturer’s specifications and NEC Code. Check for air leaks for units with pneumatic controls systems. 2) Check with the GT Environmental Health and Safety (EHS) technical contact to determine if there are any issues with particular pieces of equipment. 3) Contractor shall provide the GT EHS technical contact with a standard pricing/cost estimate to repair or replace all parts related to broken items or unsatisfactory conditions found during preventative maintenance visit not addressed by the service parts package, or due to breakdowns. 4) Provide a written schedule of preventative maintenance visits to the GT EHS technical contact that includes dates of proposed visits and any other relevant information. 5) Provide full service emergency response for all units as listed and include standard pricing all parts, materials, technical manuals and bulletins, labor and travel for the duration of the contract. 6) All service and maintenance shall be done to insure that the units will pass testing procedures (Bowie-Dick test, Air Removal tests, and Biological Indicator tests) per manufacture specifications. 7) All work shall be done to manufacture recommendations and guidelines as well as any applicable codes and regulations. 8) Provide 2-hour call back time to the GT EHS technical contact as well as response on-site within 24hours. 9) Any replacement parts ordered by GT may not be rebuilt in any form or fashion. 10) Written notice to the GT EHS technical contact will be required for all emergency repairs that exceed 24 hours. 11) Contractor must issue a “Certificate of Maintainability” for all equipment maintained under this contract in the event of contract termination or expiration. The certificate will state that all equipment has been maintained and repaired according to manufacturer specifications. 12) Technicians must post an “Out of Order Sign” on non-functioning equipment that includes the expected date of repair. 13) Must be able to provide service for individual laboratory autoclaves on a cost-per-visit basis, to be billed to the individual labs. General Requirements for Contractor 1) The contractor shall provide certified, fully trained personnel. A specific employee shall be assigned to the campus to ensure a consistent quality of service from qualified and capable contractor employees. Contractor must identify the specific key personnel assigned to GT within 15 days of contract execution. 2) The Contractor shall make no substitutions of assigned key personnel unless approved by the GT EHS technical contact. Any proposed assigned employee replacement must meet the minimum specified qualifications. 3) Georgia Tech may request, at any time, that contractor employees be replaced if they are not satisfying the level of service required by the contract. 4) The contractor shall provide employees with appropriate company attire and ID tags. The contractor shall provide appropriate personal protective equipment to their employees and ensure that it is worn and used as appropriate. 5) Storage space is not available for contractor supplies, materials, or equipment. Such items and their storage are the sole responsibility of the contractor. Georgia Tech assumes no responsibility for loss or theft of items left on-site. 6) The contractor shall perform all work in support of this agreement in accordance with the standards of performance and specifications in this solicitation. When requested in writing, the contractor shall correct any work not acceptable to the GT EHS technical contact at no charge. 7) The Contractor may not enter into subcontracts with third parties for the performance of any part of the Contractor’s duties and obligations without prior written approval from Georgia Tech. 8) The Contractor shall demonstrate the ability to provide certification data for the calibration and maintenance of any measuring instruments used in the servicing of the specified equipment. 9) Contractor must obtain their own parking permit(s) from GT Parking and Transportation and must park in approved/authorized locations. Personnel Requirements 1) The Contractor must demonstrate the ability to provide Certified Trained Technicians for the equipment being serviced. Copies of training certifications shall be provided to the GT EHS technical contact, upon request. 2) All technicians assigned shall have a minimum of three (3) years relevant experience in maintaining and repairing the types of autoclaves found at Georgia Tech. 3) All technicians shall have at least one year of experience in performance of autoclave maintenance and service in a university setting.
