Curriculum Modification/Catalog Process 2010-11 Academic Year Helpful Hints and Checklist The Curriculum Modification Check-Off Sessions provides Learning Support Services, Student Services and Creative Services the opportunity to seek clarification from divisions on curriculum modifications. Catalog Proof Check-Off Sessions provide the divisions with an opportunity to verify that information provided to Learning Support Services and Creative Services has been accurately represented to students and the WTCS State Office. Where to Start Intranet Home > Learning Home > Internal Team Resources > Curriculum Modifications > 2010-2011 Curriculum Modifications > Certs OR > Programs (as appropriate) Your area will be responsible for Completing the Excel worksheets for Curriculum Modifications, Semester Forms and “In-lieu-of” courses Entering program information including program benchmarks in PeopleSoft Completing the Word document with responses to questions about layout and change justifications Completing the Team Checklist Making changes, if any, to the Pre/Co-requisites workbook for your department When you’re finished Save the documents to intranet folder with the Program Code as the filename. E-mail Vicki Csida, Nancy Doeren and Kari Selner to confirm that you’ve completed each program workbook. Be sure to include the Program Code number. Send signed Advisory Committee meeting minutes as a hard copy to Vicki Csida. Keep in mind Any action taken must be approved by the Advisory Committee prior to implementation Curriculum Modification forms must be accompanied by a hard copy of the Advisory Committee meeting minutes signed by the Dean/Associate Dean. In place of Advisory Committee meeting minutes, you may submit documentation of a quorum via e-mail or phone. About deadlines Your revised documents are due December 15, 2009. You will have another opportunity to approve the aesthetic look of the catalog pages in February. At that time, you’ll approve the layout and picture and verify that no human error was made in the transfer of data. After December 15, do not make any changes to curriculum lists, course order, prerequisites, program benchmark scores, program outcomes or descriptions or catalog page information after 12/15/09. After sending your confirmation e-mail to Vicki, Nancy and Kari, do not make any changes to your documents on the intranet. About “In Lieu Of” Changes Be sure to work with your Dean/Associate Dean when making changes to any courses in your curriculum to identify “in lieu of” courses or other alternatives for these courses for the coming year(s). In lieu of options may be program specific, from other instructional areas, or inactive courses. Make certain that courses shared between programs/certificates have the same in lieu ofs identified. Provide any special instructions on how “in lieu of” courses are organized and how they will be used by Degree Audit. List all courses that will satisfy the requirement (e.g.,math). Consider whether the in lieu of will be approved indefinitely or with a catalog year-end date (e.g., 2011-2012). Generally speaking, General Education courses will not have an ed date. You may want to restrict Technical or Core courses to a cycle of three years or fewer. Contact Kari Selner for assistance in selecting “in lieu of” courses for curriculum changes; reports can be run to help in this process. If there are changes to curriculum, please identify previous catalog year adjustments. Contact Kari Selner for statistics that will show whether Degree Audit adjustments are necessary for the previous year’s Degree Audit. About Prerequisites Make certain that courses shared between programs/certificates show the same pre/corequisites. Note that each prerequisite has its own row. Be sure state-aligned programs follow prerequisites in alignment. Programs may not change prerequisites for General Studies courses. About Catalog Layout Refer to PeopleSoft directions for Program Specific Set-Up for College Catalog and Certificate Options Publications to enter all catalog page information prior to the check-off session. List only general NWTC web pages; program-specific web pages may be included on the catalog page. Notify LSS before 12/15/09 if your program courses should be listed in a particular order. About Program Outcomes New program outcomes may be added in any order. Refer to PeopleSoft directions for Program Specific Set-Up for College Catalog and Certificate Options Publications. About Notes/Curriculum Notes/Asterisks All notes on a page are intended to address that particular program. Review all program notes whether they might fit better under a different heading. Please use the Curriculum Notes section if any notes pertaining to curriculum. By placing under Curriculum Note will appear on Courses tab of College Website All asterisks are intended for specific courses and will not be used to denote prerequisites. For further directions, please refer to the Miscellaneous Data section of PeopleSoft directions for Program Specific Set-Up for College Catalog and Certificate Options Publications. About Program Benchmarks List only Accuplacer scores for 2010-2011. Refer to PeopleSoft directions for Program Specific Set-Up for College Catalog and Certificate Options Publications. Your department will have the opportunity to review a proof of the Program Benchmark scores catalog page. When it’s time to proof… You ‘ll receive an e-mail when the check-off sessions are open for registration and the catalog proof is ready. The catalog will be posted to the I: drive in PDF format. Locate your program(s) pages, then print them and check for errors. In the same folder, you’ll find a proof sign-off sheet. Print and attach this form to the proof and indicate whether it is “OK to Print” or “OK to print with changes.” You will turn in your proof directly to Nancy Doeren during the check-off session. Keep the following deadlines in mind! Date December 15, 2009 January 31, 2010 Action Last date for changes to curriculum lists, course order, prerequisites, program benchmark scores, program outcomes course descriptions or any catalog page information after this date. Curriculum goes live on the Web. February 5, 2010 Last date for limited changes in PeopleSoft in an effort to minimize the number of revisions to the catalog publication. March 5, 2010 A proof for the aesthetic appearance of the catalog page must be complete on or before this date. Timely submission of curriculum modifications allows the College Catalog/College website to be published on schedule. Checklist Documentation Complete? Task All Associate Degree programs show three credits of Race, Ethnic and Diversity (10-809172) unless waived All Associate Degree programs have General Studies courses from WTCS General Education Statewide Core Courses only (21-30 credits for new AAS degree format): Communication – 6 credits Social Sciences – 3 credits Behavioral Science – 3 credits Math and/or Science – 3 credits Additional General Studies courses – 6 credits All Associate Degree programs have between 60 – 68 credits: General Studies – 21-30 credits Technical Studies (formerly known as Occ Specific & Occ Support)– 36-47 credits Electives – 0-6 credits All Technical Diploma programs have a minimum of 70% Occupational Specific credits and a maximum of Occupational Supportive credits. Termination dates for “in lieu of” courses are assigned where appropriate. Core course work “in lieu of” courses have been identified where appropriate. Approvals & Check Off Complete? Task For programs whose curricula have changed 20% or more, a copy of Advisory Committee meeting notes showing approval and justification of change, signed by the Dean/Associate Dean has been attached (as an electronic or hard copy) to the e-mail/documentation. For programs with a title or number change effective June 1, 2010, the following items are attached: A letter of approval from the State Approval from the Vice President for Learning Approval from the NWTC President These changes must also be communicated to the Advisory Team and Marketing. The Dean/Associate Dean and program representative has scheduled a meeting with Learning Support Services and Creative Services for Curriculum Modification/Catalog Check-Off. Need Extra Help?
