Dear <INSERT NAME>,
Pearls of Service, Incorporated has a rich history of service to the community. Pearls
of Service has sponsored and supported the promotion of high academic excellence and
scholarship. It is common knowledge that the cost of a college education is on the rise.
Additionally, there is a reduction in available educational funds. In response to this crisis,
Pearls of Service in conjunction with Alpha Kappa Alpha, Incorporated®; Chi Zeta Omega
Chapter, Plano, Texas organized Pearls & Ivy and the Debutante Ball. The Pearls & Ivy
Program is targeted at junior and high school aged girls. These young ladies participate in
workshops to increase awareness of health, social, and economic concerns that impact youth
of today. They are provided college preparation insight, and are paired with a mentor to
assist in their overall development. The young ladies are also encouraged to give back to the
community through various projects. Young ladies in their senior year of high school may
elect to participate in the “When Harlem was Vogue” – Capturing a Vision Fair Debutante
Ball where they are formally introduced to society. As part of the presentation, those
refined young ladies who have met the predetermined criteria are awarded scholarships and
compete for the top honor of Miss Pearls & Ivy.
With your help, Pearls of Service, Inc., can continue adding to the lives of young women
seeking a higher education. The 2014 “When Harlem was Vogue” – Capturing a Vision Fair
Debutante Ball will be held on Saturday, May 31, 2014, 7:00 p.m., at the Renaissance Hotel,
900 E. Lookout Drive, Richardson, TX 75082. Each $60 ticket affords you the opportunity
to contribute to the scholarship fund as well as admittance to an enjoyable evening of
entertainment. We recognize that you may not be able to attend this event. In that case, we
would ask that you consider making a contribution by purchasing a support ad in the
souvenir journal or making a donation in any amount. We have enclosed a self-addressed
envelope to make your support even easier. Please make checks payable to Pearls of
Service, Inc. We appreciate your response before April 12, 2014.
Telling children they can be anything in the world is one thing. Providing them with the
means to do so is what makes their lives “Elevate and Bloom!”
Thank you for your consideration,

Tips for Writing a Bio
Keep it short
When writing a bio, remember the difference between bio and biography.
Bio = short. Biography = long.
A good bio is short. If it's too long, people won't read it.
Most of the time it's best to limit your bio to three or four sentences. This is particularly true
for a professional bio that you would use when being introduced or at the end of an article
you have written.
Write in the third person
What this means is that you write your professional bio as though someone else is talking
about you. So instead of writing "I am" and "I graduated", you would write "Jane Smith is"
and "She graduated".
Use your full name (first and last) the first time. After that, it's up to you whether you want to
refer to yourself by your full name, just your first name, or just your last name. Here are some
tips to keep in mind about the use of your name:




first names are friendly and informal, while last names are more conservative and
formal
use your first name if you are trying to develop a relationship with your reader
use your last name (e.g. "Smith graduated from" instead of "Tom graduated from") if
you want your reader to be impressed by you
whichever form you decide to use, keep it consistent throughout your bio
Briefly highlight your main achievements
The key words here are "briefly" and "achievements". The purpose of a professional bio is to
demonstrate your credibility. Unlike a resume (which should include your complete career
history), a professional bio only needs to cover the "high points" of your student career.
Here's another way to think about it: your professional bio is a little advertisement for you.
And as you know, the best advertisements are memorable because they highlight the best
features with very few words.
Pearls of Service Sales Kit 2014 11
Tips for Writing a Bio Continued
Ideally, your professional bio will address what I call the “four reader questions”. These are
the five questions that readers want answered in your professional bio:
1) who you are...
2) what school(s) you have attended...
3) what you accomplished or what you do...
4) why you are a debutante
Personal information is optional
In our bio templates, we include a paragraph where you can mention personal information
such as where you're from, who you live with, and what you like doing in your spare time.
Don't be bland - let your personality show
Since your professional bio is an advertisement for you, make it reflect the real you. If you're a
down-to-earth person, use unpretentious language. If you have a particular passion, let the
reader know. If you love to joke around, include some humor in your bio (but be careful,
humor can be tricky).
If you decide to write a longer bio
As mentioned in point #1, when writing a professional bio for a website or other publication
you can make it a little longer if you wish.
If you choose to write a longer bio, make sure you break it into short paragraphs (no more
than three sentences in each paragraph). Studies show that when people are faced with a large
block of text, they just scan over it quickly.
By making your paragraphs nice and short, you'll increase the likelihood that people will
actually read your bio. And that's what you want.
