Meeting of the COE Assessment and Accreditation Committee

COE Graduate Program Rigor Reports:





Reports in need of revisions were distributed by Joy Phillips to Graduate Program Coordinators
An open working session with Joy Phillips has been scheduled for January 24, 2012 from 9:0011:00 in Speight 202.
If faculty are unable to attend, they will need to schedule a follow up session.
The committee has asked if a sample report meeting exemplar status can be provided.
A meeting request for the working session will be sent by the Office of Assessment and
Accreditation.
COE Syllabi System Pilot:






Approximately 30 syllabi have been entered to date
While there are several errors that have already been encountered in the system, a survey has
been created by Dr. Diana Lys and Elizabeth Briggs to capture committee
comments/ideas/suggestions on the new syllabi system.
A copy of the survey was distributed and shown to the committee by Dr. Diana Lys
The Syllabi System Survey is scheduled to be distributed on January 23 and closed on January
27, allowing faculty one week to participate
It was suggested that a Spring task would be to remind/update faculty on how to upload
information into the system.
Due to an issue with course objectives needing to be updated/revised, it will not be possible for
the COE to go “all in” with this system in Fall 2012.
ECU NCATE Charts:


Completed NCATE charts are due by January 31, 2012
Copies of generic charts for BS and Master’s programs were shared back in September 2011,
examples were distributed in the December 2011 packet, and another example of the
completed BS Special Education chart was provided in January 2012




The BS SPED sample chart will be distributed electronically by Dr. Diana Lys as a follow up.
Teacher Education Program Faculty should be able to access prior data entered via TracDat to
complete these charts by the January 31, 2012 deadline.
The purpose of these charts is to show how each Unit Assessment topic aligns with SACS,
NCATE, etc. Courses and a brief assignment statement should be included.
A deadline for the non-MAEd programs at the advanced level needed to be discussed/set by the
committee.
o Diana Lys mentioned that these reports needed to be submitted by March or before
Spring Break
o The committee agreed on a possible due date of March 2, 2012 for non-MAEd advanced
level NCATE Charts
Performance and Survey Data:


Mary Worthington shared with the committee that all Undergraduate and Advanced Placement
performance data for Fall 2011 had been uploaded into each program’s Documents folder in
TracDat as of January 10, 2012.
These files are located in the COE OA 11-12 subfolder of the Documents tab and include the
following reports
o UG Disposition C-Fall 2011
o UG Portfolio Scores for Components A-C-Fall 2011
o UG Progress Report #4-Fall 2011
o UG Exit Survey Data-Fall 2011 (now in PDF format which includes survey questions)
o AP Exit Survey Data-Fall 2011 (now in PDF format which includes survey questions)
Assessment Reporting Calendar:


Draft Assessment Reporting Calendar in Development:
o Diana Lys shared a draft copy of an annual reporting calendar that is currently in
development by the Office of Assessment and Accreditation that will capture, month by
month, reports required on a regular schedule for SACS, NCATE, DPI, etc.
o It was mentioned by the committee that it may be helpful to include programs/offices
responsible for data. For instance, what data is the responsibility of faculty and what
information is collected by the Office of Assessment?
SACS Reporting Timeline:
o A copy of the SACS reporting timeline for 2011-2012 was distributed to the committee
o SACS reports are due in the College of Education for review by May 4, 2012 and ALL final
assessment reports must be entered into TracDat by June 1, 2012
o Due to the short amount of turnaround time for performance data to be collected and
distributed for reporting, it was mentioned that if evidences were evaluated by
supervisors earlier, reports could be run/pulled earlier.
o It would be preferable for faculty to have enter final evidence data into the system
between May 15th and May 24th in ensure data reports are as accurate as possible.
o
It was stressed that this needed to be presented and discussed in each program and
with Program Area Coordinators.
COE OAA Subcommittee Workgroups:





A few moments were available at the close of the session for members to break out into their
assigned Subcommittee Workgroups.
Of the six proposed subgroups, two (COE Diversity Plan and Committee and Focus on Program
Improvement) are currently being placed on “hold”.
COE Diversity Plan and Committee subgroup on hold awaiting direction from OED for
assessment of unit Diversity Plans.
Focus on Program Improvement subgroup on hold pending SACS WG Reviews.
