Beginning of the Year Responsibilities
Facilities:
 Arrange furniture and shelves after summer cleaning and activities.
 Arrange books, book buddies, book displays.
 Straighten and front all books on the shelves. Decorate library with
posters, banners, plants, etc.

redecorating or rearranging so that there is something new and fresh
for the students to notice.
 Prepare library for staff development if it is held in the library.
 Prepare library for Meet-the-Teacher night.
Equipment:
 Check out and deliver equipment to teachers and staff.
 Check-in and test any equipment that has been returned from repair.
 Be sure that any in house repair requests are completed.
Mail:
 Sort through and respond to all summer mail.
 Check in magazines and set up back-file organization for the new year.
 Date, label and file all magazines except the most current.
 Put current magazines in protective covers and display.
 Update catalog shelf (file the new and withdraw the old).
Phone:
 Check that the phone is working and check voicemails and/or missed
calls from over the summer.
 Change/Update voicemail message if necessary.
 Check to see if the display name matches the librarian – network
people in technology will need to help with this.
Computers and Technology:
 Hook up, check, and update all the library computers. Contact campus
tech if you need assistance.
 Update the library webpage.
 Update database/subscription access information for student/faculty
handouts.
Magazines and Newspapers:
 Process any magazines that came in over the same

 Contact Belton Journal and/or Temple Daily Telegram start delivery if
you subscribe to these newspapers.

in Education Program if you wish to receive the paper free of charge.
Library Materials:
 Catalog and process any new materials or received over the summer
or remaining from the last school year.
 Check in library books returned over the summer – request a refund
from your secretary for the patron if needed.
 Repair any damaged books or magazines.
 Have bookmarks ready for the check-out desk and special lessons.
Ordering:
 Keep a running list of items (barcodes, office supplies, book repair
supplies, bookmarks, etc…) that will need to be ordered when PO’s
resume in September.
 Keep a Request list or notebook for student and/or teacher book
requests.
 Keep a list of replacement books to purchase.
 Keep a list(s) of books to purchase.
Automation System (Destiny)
 Add new faculty/staff members. Contact the librarian with district
access to Destiny if a teacher needs to have their school association
changed in Destiny.
 Check out grade level or departmental materials for the year.
 Handle any special requests for library materials from faculty
members.
 Set Ceiling and Fixed Dates in Destiny.
 Set Calendar in Destiny.
 Print list of items in “Lost” in Destiny. Delete if they don’t show back
up in several (two) years.
 Send out an email to the staff listing all items marked “Lost” to see if
any items have turned up over the summer.
 Print any overdue notices and deliver.
Budgets and Bookkeeping:
 Update and check library activity account balances and confirm with
school secretary. Some form of yearly records (ledger sheet or Excel
spreadsheet) and copies of receipts for entries should be kept up to
date with a running balance.
 Prepare to make a deposit into the library activity account once a
month. Check with your secretary for the deposit procedure used at
your campus. It is recommended to keep no more than $50 cash on
hand in the library and to lock it up when the library is unsupervised.
 Determine the status of any outstanding Purchase Orders associated
with the library activity account or the library budget. Our goal is to
have all purchases completed before we leave for the summer.
 Confirm budgets for the new year with your principal if this was not
done in May.
 Set up a library budget organization system (folder, notebook, ledger
sheet, Excel spreadsheet, individual files) to keep up with the running
balance in each account. Your balance can be compared to the
balance sheet print out you will receive each month at the Librarians’
Meeting. Check with your secretary if you have questions or concerns.
Professional Activities:
 Attend appropriate librarian meetings and staff development.
 Plan/present campus-level new teacher and staff orientation. Check
with your campus principal to see what they prefer.
 Be sure you are a member of one or more professional library
organizations (TLA , ALA, TASL).
Staff:
 Meet with each department, team and and/or grade level for longterm planning. Ask how you can help them meet the needs of the
students they serve. Prepare handouts for faculty/staff regarding
library operation, programming, new materials, etc.
 Collaborate with teachers individually, in small groups, or by grade
level to come up with a library schedule. Post your library schedule
and any dates your staff needs to be away of.

 Email the teachers a list of any new books and have them on display
for check out in the library.
Planning:









Plan reading motivation activities for year.
Plan orientation for library volunteers.
Plan student orientation activities.
Review and formulate instructional goals for library lessons for the
year.
Set up calendars/plan books or sign-up sheets for the year
Create or update a Library Information sheet for students and/or
parents and/or teachers.
Prepare library lessons for at least the first two weeks.
Prepare emergency sub plans.
Pick a new library project or goal for the year.
AR/Library Folders
 Purchase AR/Library folders if this was not done in May. Check with
your ELA/Reading teachers to see what they want included in the
brads.
 Get a set of class lists from your secretary to refer to as you print
barcode labels for all the AR/Library folders.
 Either give the folders to the ELA teachers or to the students during
orientation. It is recommended that the students attend orientation
before they can begin using the library.
Other:.
 Read and respond to email messages from the summer.
 Update lists (phone, library substitutes, staff, etc…)
 Update items posted on bulletin board or in office area for reference
by library staff.
 Transfer, update, organize all library files.
