<The Terms and Regulations for Participation>
■Eligibility for Exhibiting in the Expo
・Exhibitors are limited to companies and other organizations supplying products and services consistent with purpose of the Expo
as set by the organizer. The organizer has the right to determine if any product or service is consistent with the purpose of
the Expo.
■Application and payment schedule
1.Please fax or e-mail the application form to the Management Office.
2.Upon receiving the application form, the Management Office will issue an invoice for the exhibition fee.
3.You are requested to pay your exhibition fee by the end of the month which we made a contract.
4.Your application is deemed formally accepted and you are treated as an exhibitor on the payment of your exhibition fee.
5.The unit price for booth space is calculated by the rate of a contract day in a standard .
■Space assignment
・The organizer assigns exhibiting spaces and notifies the exhibitors. The organizer considers the contract date, the
booth scale, the exhibiting contents.
■No Subleasing
・Without the permission form the organizer, an exhibitor may not transfer or sublease all or any part of its booth space
■Cancellation
・ If an exhibitor cancels an application for any reason, or reduces the number of booths applied for, the following cancellation
charge must be paid depending on the date of cancellation. We need to exchange a document for cancellation.
Our contact starts after organizer received the booth space application form.
1) From the date of the contract to October 9, 2015: 30% of the total amount.
2) After October 10, 2015 : 100% of the total amount.
■Qualification for visitors
・The visitor need to register for admission in advance.
・A visitor is limited to those are qualified for the expo.
■Shooting of photos and videos
・The Management Office hold the sole right to shoot photos and videos. Any other parties must ask for permission in advance.
■Regulation for Exhibit
・Each exhibitor must follow the instructions for booth decorations and structures, sound volume, exhibition contents and
methods, manner of performance, etc. are defined in the “ Exhibitors Manual” to be supplied by the organizer.
・For booth decorations and structures, sound volume, exhibit contents/methods , manner of performance with no provisions in the
“ Exhibitors Manual”, the organizer has an authorization to cancel an exhibition, and each exhibitor must follow the organizer ‘s
instructions regardless pre and ongoing exhibition periods.
・Each exhibitor must ensure that its exhibit does not interfere with those of adjacent exhibitors. The organizer determine, based on
the Exhibitors Manual, whether an exhibitor is interfering with another exhibitor or whether there is violation of rules, and the
exhibitor is to comply with the organizer ‘s determination.
■Safety
All exhibitors are required to adhere to all fire and safety rules and regulations that apply to the venue of IME2015.
■Damage Compensation
・The organizer, regardless of the reason, will not be responsible for any personal injury or property damage(including that to the
venue’s facilities and fixtures) resulting from the use of the venue by the exhibitor, its employees or any others involved.
・The organizer, regardless of the reason, shall not be responsible for any compensations associated with charge of decorations
and structures, sound volume, exhibition contents/methods, manner of performance by the organizer instructions.
・The organizer is not responsible for any typographical errors found in the promotional materials of IME 2015 , including media
advertising , guidebook, etc.
■Cancellation of the Expo
・In the event that the organizer cancels IME2015 for its own reasons, making it impossible for the exhibitors to use their
contracted booths, the organizer will reimburse the space fees to the exhibitors at a daily rate, calculated by the number of days
left in the Expo. Apart from the foregoing, the organizer will not bear any liability for the cancellation of the Expo.
