Associate Tutor Appointment Process
1. Once a year, and for specified areas of work, a advertisement will be posted on the
ESW website for AT support. If the Departments have no need for this support,
no advertisement will be made.
2. Applications are received by the SA in response to the email, or ad hoc.
3. Applications & CVs are distributed to relevant HoDs/ Convenor(s) for consideration.
4. The SA takes up references after a potential teaching opportunity has been
identified.
5. The HoD/Convenor arranges an interview with at least one other person and decides
if the applicant is capable to teach.
6. The HoD/Convenor emails successful ATs setting out in writing the hours and dates
of work, rate of pay, details of the course (with handbook, reading lists, learning
outcomes), office hours, any lecture attendance, essential meetings, marking duties,
assessment criteria etc.
7. If the AT can join the pool but there is no current work, that must also be made clear.
8. The HoD notifies the outcome of the interviews to the SA on the application form.
9. The SA notifies HR who send out a contract to the AT and also do immigration
checks etc.
10. The Associate Tutor accepts the contract to teach.
11. If the contract is not signed, HR will let the SA know so they can chase the AT.
12. ATs who do not sign a contract must cease to teach.
13. The HoD/Convenor notifies the Programme Coordinator the details of any teaching
agreed, for entry on CMS; this requests payment.
14. The Programme Coordinator also enters the hours of work by tutor on the Finance
spreadsheet, which the Finance team need to double-check to authorise the
payments.
15. Academic induction and mentoring is arranged by Convenor/HoD (see below).
16. Health and Safety induction is arranged by the School.
17. The SA will notify TLDU of any new ATs needing to attend their course.
Mentoring
The Head of Department appoints a mentor for each AT, or a group mentor, who should
be a permanent member of faculty in the Department.
A Mentor’s suggested responsibilities are to:
 Organise Departmental induction for new tutors (once for the autumn term and
then at the end of the autumn term for the spring).
 Ensure new ATs are booked onto the TLDU course.
 Make it clear what duties are NOT required: eg writing references, academic or
pastoral advising etc.
 Organise an Examining briefing (in the autumn term, and the beginning of the
summer term).
 Hold drop-in sessions to talk over any issues or problems, lesson planning etc.
 Be the contact point for email queries and advice.
