Reception Administrator – Children’s Centre
Scale 3 (from £8,867 per annum/£10.47 per hour)
16 ¼ per week – 5 days per week, year round
REPORTING TO:
Office and Finance Administrator/Centre Lead

JOB PURPOSE
 To provide general and flexible office administrative support to the centre and its extended
activities
 To provide excellent front desk receptionist skills to deal with people and enquiries in a polite,
professional, calm, clear and well informed manner
 To assist in the transfer of messages, post and communication in this very busy and developing
environment
Strategic Responsibilities
 To regularly meet with line manager/s regarding performance
 Pastoral responsibilities
 To ensure that the confidentiality of service user records and other personal information is
maintained
 To understand and show commitment to Centre, School and Council Equal Opportunities and
Health and Safety policies
 To undertake appropriate training and professional development
Operational Responsibilities
 To ensure that all visitors are welcomed in a polite, friendly and efficient manner
 To be informed of all Centre Services available at or through the centre on a daily basis and be
able to refer families and adults to the appropriate services as required
 To date-mark all post received and distribute post internally through centre and school
 To ensure that enquiries from staff, parents and visitors, whether in person, by telephone, post
or e-mail, are dealt with taking appropriate action including following complaints procedures.
 To ensure that enquiries / messages are passed on and suitable records maintained
 To ensure that the confidentiality of child and staff messages and records and other personal
information is maintained
 To collect fees and to give receipts for monies received and to distribute letters for arrears and
statements when necessary
 To be responsible for maintaining accurate electronic records of payments for fees received at
the centre
 To undertake basic administrative duties including filing, telephone duties and photocopying.
 To undertake other reasonable duties as may be required by line manager/s commensurate
with the functions and grade of the post

To assist other office staff as required and as directed by line manager / supervisor
PERSONAL SPECIFICATION

Qualifications / Education
Good standard of education (GCSE/’O’ Level Maths and English grade C
or above, or equivalent|)
Word processing / ICT qualification and/or secretarial training
Knowledge, Skills and Abilities
Ability to work individually or as part of a team
Ability to be polite, personable and competent when meeting and
greeting and answering the telephone
Ability to understand and respect the need for confidentiality
Able to handle money including receiving and accurately recording
incoming payments from children and their parents/carers
Confidence and competence in using Microsoft word and email
Keyboarding and touch typing skills
Knowledge of activities taking place and ability to direct visitors clearly
Experience
Experience of working independently
Experience of liaising with a wide range of individuals

Reliable and honest
Ability to communicate effectively at all levels both verbally and in
writing
