Scientific Publications and Meetings

37.5 hours per week FULL TIME:

TERM: 1 year

PURPOSE: To organise and promote an annual programme of Science and Conservation

Events, Symposia and Stamford Raffles Lecture for the Zoological Society of London and to facilitate the efficient production of ZSL ’s scientific journals ( Animal Conservation, Journal of

Zoology and Remote Sensing in Ecology and Conservation ); manage the peer-review process using ScholarOne Manuscripts; to assist departmental administration, as required.

MAIN TASKS:

1. To organise the annual programme of Science and Conservation Events for the

Zoological Society of London. Circulate call for event proposals. Organise the design, print and distribution of the programme and monthly promotional material.

2. Manage logistical arrangements for individual events with organisers; book accommodation for speakers and prepare documents for travel reimbursement and expenses. Organise dinner for speakers and guests following each event in liaison with ZSL catering department.

3. Organise and promote two annual symposia; liaise with symposia organisers, sponsors, speakers and chairs. Handle logistical arrangements for contributors and manage delegate registration. Prepare conference material for delegates. Manage each symposium within an allocated budget and prepare final accounts.

4. Organise and promote the annual Stamford Raffles Lecture, in liaison with the Director of the Institute of Zoology. Administer ticket sales and VIP invitations and organise catering.

5. Develop a comprehensive system for publicising ZSL’s Science and Conservation

Events; including ZSL email newsletter, lecture lists and social media.

6. Edit Scientific Events pages of the ZSL website; liaise with Development, Fellowship and

PR departments, as required. Prepare speakers’ presentations and edit audio files for the website.

7. Manuscript management of submissions through the peer-review process using the manuscript-tracking system Scholar One Manuscripts, in liaison with the Journals Manager, authors, editors, associate editors and the Publisher.

8. Assigning new submissions to editors, coordinating the make-up of issues, verifying correctness of proofs and commissioning cover images.

9. Commissioning features for the journal websites and other web content.

10. Administrative assistance to support the smooth and efficient running of the Scientific

Publications and Meetings Department.

Applicants should have a first degree in biological sciences, and must have (1) a good knowledge of the relevant academic community and (2) an interest in the public communication of science. The appointee will have experience in organizing events, as well as excellent communication and organisational skills.

IT literacy is essential. Experience in journals administration is desirable.
