How to draw an organizational structure or organization chart using Microsoft Word.

1. Open Microsoft word.
2. Check to see if the Drawing toolbar is showing. Do the following to check:
a. Towards the very bottom of your open window, above the gray row that shows
the page number on the left hand side, you should see a gray row beginning with
the word Draw.
b. If the gray row that begins with Draw is already showing, go to step 5. If not, go
to step 3.
3. At the top of your page, select View. (In order from the left hand side, this will be File,
Edit, View, etc.)
4. With View open, scroll down and select Toolbar from the list. The toolbars that are
showing will be checked. If Drawing is not checked, check it and it should begin showing
at the bottom of the page as stated under step 2.a. above.
5. Within the Drawing toolbar showing at the bottom of your page, hold your cursor over
the Diagram or Organizational Chart icon which is a little picture that looks like a circle
with arrows in it. When you hold your cursor over it, a small window should pop up and
momentarily say “Insert Diagram or Organizational Chart.” If it does, you are in the right
place.
6. Double click Diagram or Organizational Chart icon. A small box, called the Diagram
gallery should open. You should select the one in the upper left hand corner, the
Organizational Chart.
7. When you do this, a box such as this should appear.

8. When you click inside the square, a small Organization Chart toolbar should display.
a. If you click on Insert Shape, you can add boxes under the existing boxes.
b. If you click on Layout, you can change how the lower boxes hang below the
higher boxes.
9. To get out of the Organization Chart mode, just click in some white space outside of the
box.
10. Experiment with the features until you can make a professional looking organization
chart.
11. See if you can duplicate the following chart I made. (No fair just copying and pasting my
format!  )
