PURPOSE OF THE ROLE
This post supports the generation of income from major donors, legacies, trusts and foundations,
corporate, community and individual giving through efficient and timely research and the
dissemination of prospect information and data management.
The role of the Research & Database Support Officer will be both proactive and reactive, and will
primarily be focused on the investigation and identification of prospective donors to the Trust using
a variety of resources, determining philanthropic capacity and inclination, and monitoring public
domain information relating to our top donors/prospects.

KEY RESPONSIBILITIES
Research & Information
 Using a variety of information sources, proactively seek and carry out research on existing and
potential donors and providing the business units (Major Donors, Trusts and Foundations,
Individual Giving, Corporate and Community) with accurate up to date and relevant briefings
and data;
 Ensure the Major Donor Manager and other Development Managers are briefed and kept up to
date regarding prospective donors/supporters and generally disseminate timely and relevant
research information through regular Prospect Meetings and caseload maintenance;
 Maintain accurate files, records and profiles of individuals prospects, trusts, corporates and
donor information, in accordance with Data Protection legislation and Confidentiality of
Information policies;
 Develop and implement appropriate coding and segmentation of prospective donors on the Care
database;
 Liaise with properties and departments of the Trust to gather and record prospect ad donation
information;
 Utilise prospect research techniques such as data mining and wealth + affinity analysis, and to
employ these techniques in a systematic way, in order to identify leads and prospects;
 Produce an Assignment List of Qualified Leads for consideration by the Senior Management
Team;
 Assign and transfer prospects to and between caseloads;
 Monitor online news sites and use periodic alerts to uncover timely information about prospects,
members, philanthropy and business trends, and subsequently help to identify new fundraising
prospects
Customer Care
 Ensure that all client records on CARE database are maintained accurately and are regularly
updated to reflect all new activities, in compliance with the Data Protection Act 1998;

Ensure that the Trust’s reputation for excellence is maintained and enhanced in all written and
verbal communication.
Administration
 Provide administrative support for all major donor events, compiling and managing guest lists
and providing additional team support;
 Provide administrative support for effective donor cultivation and stewardship of existing major
donors and prospects, where close attention to detail is crucial.
Health, safety and the environment
 Ensure that Health and Safety regulations are adhered to at all times.
The current duties of this job do not require a criminal records (Disclosure Scotland) check to be
carried out.
SCOPE OF ROLE
People Management
 No line management responsibility, but the post holder will liaise regularly with other
development managers, and from time to time with senior staff and Trustees. There is also a
requirement to work closely with the data analyst, archivists and property managers and
participate in relevant internal and external forums.
Financial Management
 No direct budget management responsibility, but the post holder is required to assess and renew
research resource subscriptions as needed and access information on financial systems.
SKILLS, EXPERIENCE & KNOWLEDGE
The above outlines the key skills the job holder will need to possess and exercise. In addition, either
knowledge of or experience in the following is required:
Essential:
 Previous experience of researching, collating and analysing information for business purposes,
ideally as an aid to fundraising activity;
 Ability to prioritise effectively; to respond quickly to urgent situations, and work under pressure
and to deadlines;
 Attention to detail, including accuracy of data input, proofreading and reconciliation of financial
information;
 Well developed oral and written communication skills; ability to interact with people from all
walks of life;
 Knowledge and understanding of Institute of Fundraising Codes of Practice and Data
Protection Act;
 Sound understanding of the workings of charitable trusts and foundations;
 Sound grasp of relational databases, ideally CARE;
 Highly proficient in MS Office, particularly Word and Excel.
Desirable:
 Experience in a large fundraising organization with multiple sites and projects;
 Experience of using Care;
 A current driving licence, valid for driving in the UK.
