UMHS CONSOLIDATED REPORTING SYSTEM
The UMHSCons application is the consolidated financial reporting and analysis
system for the University of Michigan Health System. The application serves as
the financial reporting solution for both consolidated UMHS reporting and
individual entity and department managerial reporting. The system provides
actual and budget/forecast reporting as well as project grant, FTE, statistic,
metric reporting and variance analysis.
Application Structure
The UMHSCons application was built using a product called Essbase. Essbase is a multidimensional
database management system (MDBMS) that provides a multidimensional database platform upon which to
build analytic applications. Essbase acronym stands for: Extended Spread Sheet dataBASE".
The purpose of the Essbase application is to consolidate: Entities, Departments, Budget, Forecast,
Actual/Budget, Stats and FTEs into one central environment.

Multidimensional databases are different from relational databases e.g. HSDW or the Data Mart tables.
Relational databases store data in records within tables. Relationships are created between the tables and
their fields to create meaningful queries. A multidimensional database such as Essbase has a cube structure
and stores data at the intersection of dimensions. Think of a Rubik’s Cube.
Essbase applications are comprised of dimensions. Dimensions represent a characteristic of the data.
Dimensions are defined by a hierarchy of children and parents. Each discrete component of a dimension is
referred to as a member. A member identifies and differentiates the organization of similar units. For example,
a time dimension might include members Jan, Feb, and Qtr1. Each member has a member name and a
member alias. Aliases are typically more descriptive than member names as member names are often system
generated.

These files will be updated each month after the change management cycle to reflect the current system
configuration for the next reporting cycle.

What data is in UMHSCons and where did it come from?









Actual data (full trial balance) is all sourced from MPathways on a monthly basis
Lowest level accounts, departments and funds have been derived from MPathways and retain the
same naming convention
All data is stored with its ‘natural’ (debit/credit) signs
o Asset accounts (1xxxxx) are positive
o Liability accounts (2xxxxxx) are negative
o Equity accounts (3xxxxxx) are negative
o Revenue accounts (4xxxxxx) are negative
o Payroll accounts (5xxxxxx) are positive
o Expense accounts (6xxxxxx) are positive
Actual data stored for FY10 forward. Will contain four full years of history plus current year.
All data is stored at a monthly level with aggregation to quarters and year totals
FY14 Budget and Forecast
o Budget data is derived from the Hyperion Planning Forecast application and mechanically split
by month (unless monthly splits were provided by the department for loading into the Data
Mart). Please refer to the following link for the split methodologies by entity.

o The same mechanical splits will be used to load the FY14 October Forecast once it is complete
o Since budgets are created at the FLEG level, the budget/forecast data is stored in a dummy
member to ensure appropriate alignment with the actual data.
Actual monthly formula-driven FTEs, statistics and metric data are stored for FY13 forward. The history
from FY10-FY12 will be loaded shortly
Monthly validation processes are in place to tie to MPathways at the Fund, department and Account
level
Control checks are in place for data integrity across applications (UMHSCons,
UMHS Data Mart, MPathways)
Although every effort has been taken to source the actual data from MPathways in its purest form there are a
few exceptions required to facilitate the management reporting required by the Health System. The following

Methods for accessing data for Reporting and Analysis
UMHSCons can be accessed via the Hyperion Workspace to run canned reports or access shared templates
or via Smart View.
Workspace
The Hyperion Workspace is the main portal for accessing the Hyperion suite of products. It allows you to
navigate to reports and access shared files or deposit files to be shared in a central repository. It allows for
users to set their own preferences and favorites.

Smart View
Smart View is a Microsoft Office “Add-In” which allows users to interact with Enterprise Performance
Management systems and view data via the Microsoft Office Suite of Products. Smart View is a powerful tool
allowing users a variety of functionality:

they want to see it by simply dragging and dropping and pivoting data within their Office product of
choice.
Ability to dynamically refresh data across Office documents with a single click

Allows user defined creation of custom reports using functions e.g. HsGetValue
Supports highly formatted grids in Microsoft Excel

The same sets of reports have also been built as Smart View templates in Microsoft Excel and are accessible
from the Hyperion Workspace under the UMHS Finance Workspace folder/Smart View Templates for
UMHSCons.
If additional reports are required that will be used either institution-wide or by a significant number of
departments, a request should be submitted to the Financial Systems team. The team will endeavor to
accommodate all reasonable requests however custom reporting requests are better suited in Smart View.
Utilizing one of the many Smart View templates provided in the Workspace as a starting point is an excellent
choice for building new reports. Smart View offers far greater customization options as well as the flexibility to
control formatting. Please refer to the training documentation for Smart View for tips and tricks for custom
Smart View reporting.
Medical School Reporting
In an effort to ease the transition of the Medical School reporting from Everest to UMHSCons, an alternate
account and fund hierarchy specific to the Medical School was created. These structures utilized the concept
of shared members to allow the same set of accounts used for the consolidated reports to simply be
aggregated in a different fashion thus ensuring consistent reporting regardless of the structures being used.
The alternate medical school structures allowed for the creation of a set of financial statement reports identical
to those published from Everest.
As part of the change management process validation, all MPathways accounts and funds exist in both primary
and alternate hierarchies to ensure the same results in total would be achieved regardless of the structures
used. All Medical School specific account and fund aggregations are denoted by “ – MS” as a suffix to their
member name.

Additional Information related to UMHSCons and the Financial Systems Strategy
The UMHSCons application will not be used for Medical School FTE reporting by faculty track. A separate
project will be conducted to create a solution to be housed in the UMHS Data Mart.
UMHSCons data will be limited to period ending balances for Financial Data. In order to facilitate more
detailed analysis at the transaction level, the UMHS Data Mart provides Statement of Activity reports for all
departments within UMHS regardless of your entity.

UMHS Data Mart Illustration
Finally, the UMHSCons application is to serve as the primary health system financial reporting and analysis
tool. As a result of this strategy, the current Hyperion Planning UMHS Cohort and Forecast tool will be used
during budget and forecast build periods. Once the budget and forecasts have been completed, the data will
be transferred to UMHSCons using the budget split mechanics to convert it to a monthly view for reporting
purposes.
Part of the Financial Systems strategic vision includes the integration of the Hyperion systems into the UMHS
Data Mart dashboard framework, which utilizes the Oracle Business Intelligence Enterprise Edition (OBIEE)
product. The latest version of both the Hyperion systems and OBIEE will allow presentation of the UMHSCons
data in similar reports and dashboards and in formats already familiar to the Data Mart users. It will provide
the capability of using the Analyze function of OBIEE to perform additional ad-hoc analysis against the
UMHSCons application. This strategy also allows for the Essbase data to be combined with other data
sources within a single report and dashboard. We will provide additional information on the progress of this
strategy in the future.
