Training (LB/BDT/C&YP Joint Team) Cancellation Process
This policy will apply to all courses / conferences / events coordinated and delivered by the LB/BDT/C7YP Joint Team.
(JT)
Purpose
The Joint Team (JT) is committed to delivering high quality multi-agency training for professionals who can impact on
the wellbeing of children and young people. Training is aimed at all staff likely to be involved in the Substance
use/misuse Framework or its related activities.
The courses and events the JT run carries administration, trainer, refreshment and venue hire costs. The purpose of
this policy is to maximise delegate attendance on all courses / conferences / events. The cancellation policy will take
effect from 1st September 2010 and will apply to and will be reviewed annually.
From 1st September 2010 JT will implement this revised cancellation policy to recover costs incurred for nonattendance. If a delegate fails to attend a course / conference / event without cancelling charges will be incurred,
unless there are extenuating circumstances, these will include bereavement, disciplinary procedures etc. but not for
general sickness or absence.
Terms & Conditions
All bookings are subject to the agreement of the delegate and their line manager. By entering details on the booking
form the delegate and line manager confirm they have read the terms and conditions and are happy for the nominated
delegate to attend on the date specified.
All training course / conference / events are free to attend, however, to discourage non-attendance there is a
cancellation fee of £85. Organisations will be charged for non-attendance plus an administration charge of
£15:

If an agency can find an appropriate substitute they will not be charged.
Delegate Responsibility – Cancellation
When a delegate is unable to attend they must inform their Line Manager and inform the JT Training Coordinators
immediately. The line manager may be able to allocate a substitute, for which no charge will be made.
Proof of attendance will be gained from the register that the trainer or leader will distribute at the start of a training
course / conference / event. It is the delegate’s responsibility to ensure they sign the attendance register on arrival.
If a delegate has replaced another member of staff that was due they must advise the trainer or leader.
Non-attendance Monitoring
Non-attendance will be monitored and the JT Training Coordinators will notify Line Managers via email of those
delegates failing to attend. Agencies will be invoiced in accordance with this process.
Arrival & Departure
Delegates arriving more than 1 hr after a course has started will not be admitted to the training event. A nonattendance charge may be levied in this circumstance if no clear justification is given.
Delegates who leave early a course more than 1 hour early will not be deemed to have completed the training course
and will not receive a certificate of attendance for their personal development portfolio.
