Conditions of use of State Archives in the SRO’s Search Room

Section 51 of the State Records Act 2000 allows for conditions to be set to allow for the safe custody and protection of State archives while providing access to them. We ask researchers to respect the physical integrity of archives while handling them. These records are unique and cannot be replaced. Failure to comply with these conditions may result in access to archives being withdrawn.

Following are items/actions permitted and not permitted in the Search Room:-

Following items are permitted

 Lead pencils only

 Laptops without bags/covers

 Tablet devices (e.g. IPads) without covers

 Pads, bound notebooks, loose

Following items/actions are

NOT permitted

-No ink pens or markers

-No food and drink of any kind

-No water bottles

-No handbags, laptop and tablet paper

 Research notes

 Spectacles and spectacle cases

 Small wallets and purses

 Digital cameras (set to No flash)

 USB devices/ memory sticks

 Mobile phones turned to silent device bags/covers, camera cases, pencil cases, shopping bags, large purses/wallets

-No folders with pockets, plastic sleeves and inserts

-No files only

-No scanning equipment

-No flash photography

Please note: Lockers are provided for bags and personal effects

Use of archival materials:-

 Hands must be clean before handling archives. Use gloves as directed.

 Do not use rubber finger stalls or lick your fingers to turn pages.

 Be gentle - do not flick through pages, fold or bend pages.

 Loose papers and pages in files and folders must be left in the order in which they are received

 Do not remove pages for copying or rearrange the records

 Use book pillows provided for bound volumes

 Archives are not to be marked or damaged. Do not trace over archives

 Do not lean on archives

 Do not use post-it notes or other sticky markers or labels

 Follow the instructions of Search Room staff at all times

Please consult Search Room staff if you have any queries about use and/or copying of archives.

Researchers agree to protect the privacy of individuals by judiciously using information located in records held by the State Records Office of WA.

Copying : - Copying of archives is permitted under the private study and research provisions of the Copyright Act. Copying, other than photographic copies, may only be done by staff. In doing any copying the physical integrity of the record is the primary consideration.

End of use : – Return records to the Search Room Desk. The yellow slip that accompanied the item should be marked “Finished”, or with the name on the tag end scored through, and must be returned with the item .
