Policy & Procedure
1.
POLICY STATEMENT
Trowbridge Town Council (“the Council”) recognises the importance of offering meaningful
work experience placements to enable individuals to develop their skills and gain an
understanding of the working environment.
In addition, the Council understands that individuals on placements, despite working on an
unpaid basis, are regarded as employees for the purposes of Health and Safety legislation and
associated duty of care.
2.
THE PROCEDURE
The Council works in partnership with local schools, colleges and organisations to provide work
placements which are beneficial to students and adults.
All requests for work experience should be forwarded to the Administration Officer who will
liaise with the appropriate line manager to confirm whether a placement can be offered and
whether an interview is required.
On agreeing a placement the Administration Officer will take over the administration of the
placement, which includes;
a) Coordinating the placement with the school, individual or organisation making the
request, arranging an interview if required.
b) Issuing forms for completion and information before the placement begins;
 Contact form – provides details on emergency contacts, health issues etc
 Criminal Records Self Certification
 Job Description (if not previously issued at interview)
 Risk Assessment details (if applicable)
NB. If the placement student is below compulsory school leaving age the
parents/guardian must receive this information prior to the placement.
c) Preparing and arranging an induction programme/checklist and work placement
handbook. An example induction checklist can be found in Appendix 1.
d) Recording details of the placement and documentation issued/completed.
e) Assessing the value of the placement by issuing an evaluation questionnaire on
completion.
The line manager will
a) Ensure they, or an appropriately nominated deputy, are
 Available for interview (if required)
 Available to carry out an induction on the individuals first day.
b) Ensure that the individual is adequately supervised for the duration of their placement.

3.
PLACEMENT GUIDELINES

All placements will be handled in a fair and consistent manner

Individuals undertaking a placement should be treated in the same manner as an
employee and will be expected to follow Council Policies and Procedures as appropriate
(copies will be issued in the Work Placement Handbook)

Hours of work will normally be those detailed on the Job Description for the placement

Unauthorised absence should be notified to the Administration Officer as soon as
possible.

Concerns regarding poor time keeping, discipline etc should be dealt with as soon as
possible and the Administration Officer advised

Accident Procedures
I have been told that all accidents, incidents and near misses must
be reported and entered into the accident book.
First Aid
I have been made aware of first aid facilities, the location of the first
aid box and the identification of first aiders
PLACEMENT HANDBOOK
I have been issued with my copy of the Work Placement
Handbook, and the contents have been explained to me, namely
 Information on the Town Council
including it’s Vision, Mission Statement & Aims
 Council Structure & Council Card
 Sports Roadshow/Bouncy Castle/Manual Handling
Guidance
