General Guidelines
1. A cover page or title page should be attached to your assignment. Use page 1 of this assignment
brief as your cover page and make sure all details are accurately filled.
2. The entire assignment brief should be attached as the first section of your assignment.
3. The assignment should be prepared using a word processing software.
4. The assignment should be word processing in an A4 sized paper.
5. Allow 1” margin on top, bottom and right sides of the paper and 1.25” on the left side (for binding).
Word Processing Rules
1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Set line spacing to 1.5. Justify all paragraphs.
3. Ensure that all headings are consistent in terms of size and font style.
4. Use footer function on the word processor to insert your name, unit, assignment no, and page
number on each page. This is useful if individual sheets get detached from the submission.
5. Use the spell check and grammar check function of the word processing application to review the
use of language on your assignment.

The submission is in the form of an individual written report about. This should be written in a
concise, formal business style using single spacing and font size 12. You are required to make use
of headings, paragraphs and subsections as appropriate, and all work must be supported with

Assignment Brief and Guidance:
Follow the guidelines given below assuming that you have recently joined as a
management trainee at a non-for profit organization, which is specializing in
Soft Skills and Information Technology development in the local community.
Scenario:
Note on assumptions to be made: Organisation’s management trainees will be
assigned to project groups, to be placed under a training and development
executive and are required to produce documentation in the form of a reports of
their activities. Management trainees are required to provide evidence to the top
management that they have been able to demonstrate interpersonal skills and
have identified the need for continuous professional development (CPD) on a
report titled “Work Related Learning Report”
Take following in to consideration when developing the “Work Related
Learning Report” :
•
You have been asked to support your training and development executive
with the planning and implementation of a professional development event
targeted at a suitable audience to develop their soft skills and/or Information
Technology related skills. Assume that you have to complete the design and
delivery within a period of three months.
•
The training event you are to design can be scheduled to be delivered over
a single or multiple sessions based on the requirements given by the target
audience at a location agreeable to the target audience.
•
The training programme you develop can include a number of workshops,
coaching sessions and team-building activities. The institution/audience you are

planning to conduct the programme for would require a schedule of the types of
activities proposed so that plans can be finalised.
Working in small groups (Not exceeding 15 individuals per group):
Produce a professional schedule (preferably using a project management
software) that identifies planning and resourcing prior to the event. In addition,
design a training pack to include a range of activities, and breakout sessions. It is
expected that you will be having considerable number of individuals attending.
Please make sure that the location have necessary facilities.
Working individually:
•
Following the event, your training and development executive has asked
you to provide some feedback and include it in your “Work Related Learning
Report”. In the report, produce a written evaluation of the effectiveness and
application of interpersonal skills during the design and delivery process. You
should also include an evaluation of your performance in this project and
evaluate your contribution to the team you worked with. Further, assume that
you have been asked by the training and development executive to produce
evidence in the report that you have designed and delivered the training event
based on the dynamics of team working.
•
The report you produce also should have section allocated to discussing
problem solving and its importance in planning and running the event you have
conducted. Your report should include a discussion of various problem-solving
techniques and justify the solution methodologies used during your project. You
should also include a critique of the application of critical reasoning and your
experiences of it.

Having completed the Training Event Management project, you now need
to reflect on your experience and consider your Continuous Professional

The Training event
I am a management trainee at a non-profit organization, which is specializing in information
technology development and soft skills in the local community. We have to do a training session
so that we planned to organized a workshop called “EMPOWER” which is related in confidence
and mental strength among the students for DiTech students at esoft metro campus kandy-primary
division because it will be beneficial for their profession in future. First of all we Format in to one
group for the session and also appointing one group leader and under the leader guidance we
discuss about the programme and started doing the practices for the workshop. On the workshop
we trained that DiTech students for how to develop the soft skills for both personal and
professional, presentation skill plays a major role. Due to covid19 pandemic we have decided to
conduct an online session to Ditec students of esoft metro campus kandy-primary division. Finally
we end the workshop successfully by thanking speech.

Methods of communication
Communication is sharing the ideas and information. A communication process involves a
sender a receiver and the message to be sent.

“Communication is simply the act of transferring information from one place, person or group
to another.” (Anon., 2011-2020)
Here we use communication methods for organizing the workshop and also to promote our
workshop. There are two main categories of communication,

It’s like casual talk it happens among friends and family like that we used many informal
communication methods to organize our mindtec training event. We arrange casual meetings

to share the ideas, discuss the projects and define short term long term objectives. Also we
arranged verbal presentations to convey the messages effectively and develop the presentation
skills and we use electronic communications like whatsapp messenger application to

The professional schedule
Time management
“Time management” is the process of organizing and planning how to divide your time between
specific activities. Good time management enables you to work smarter – not harder – so that
you get more done in less time, even when time is tight and pressures are high. (Anon., 19962020). The time management is an art. It is arranging, organizing, and budgeting time for the
purpose of accomplishing something with in a time.

Choosing the communication method depends on the role of the individual or group in our
workshop. This role will have two elements-level of influence that the stakeholder has on the
success of the project and the level of relevance that the project has to the stakeholder’s own

Effectiveness of the workshop
After the workshop we have to measure the effectiveness of workshop. So that we gave a
feedback form with some simple questions to the students who participate in the workshop by
that we go the feedbacks.
Feedback forms
A feedback form is a way in which customer feedback is obtained. Feedback forms help in
improving products or services, and even the fundamental understanding of the business users.
It is considered one of the most efficient and economical methods of understanding customers
and measuring customer satisfaction. (Anon., 2020)

Applying critical reasoning
It is important to apply critical reasoning to when a problem occurs in any event. This is
because, it provides the opportunity to see the possible pros and cons of different solutions and
based on this, the best solution can be chosen.
In order to apply critical reasoning to an event, a method known as critical path analysis could
be used. The Critical Path is the series of tasks that must finish on time for the entire project to
finish on schedule.
Types of problem solving tools and methods
To solve the problem we used problem solving tools and methods here are the methods,

Brainstorming is a method for generating ideas to solve a design problem. It usually involves
a group, under the direction of a facilitator. The strength of brainstorming is the potential

SWOT stands for Strengths, Weaknesses, Opportunities, and Threats, and so a SWOT Analysis
is a technique for assessing these four aspects of your business. You can use SWOT Analysis
to make the most of what you've got, to your organization's best advantage. And you can reduce
the chances of failure, by understanding what you're lacking, and eliminating hazards that
would otherwise catch you unawares. Better still, you can start to craft a strategy that

Team Dynamics relate to the interpersonal and interdependent process of work – how things
get done, who does what and how team members relate to their tasks and each other. You can

The Team Dynamics Workshop and Report are an invaluable tool for any leader wishing to
understand the existing dynamic of their team. At an individual level – It identifies strengths,
areas for development and the individuals impact on the team. At a team level – It provides an
overview of how the team is functioning and potential areas of risk. Understanding each
member of your team, how they affect other team members and the effectiveness of the team

By doing the workshop with the team we can achieve the goals or tasks effectively by doing
this workshop our communication get turn more effectively. There are more personal skills
developed by this team work like listening to others idea, leadership quality, respects,
understanding the issues and finding a better solutions.
By this workshop we shared
information with each others by that we can improve our knowledge also. Practising to be
punctual and reliable. Huge budget will reduce by working within a team. And also can help
to other team members and guiding other members of the team.
 Disadvantages
One of the main disadvantages of group work is that it often takes longer to make decision
another disadvantage is Things can go incredibly wrong or even fall apart when there is a great
deal difference in the working methods of different individuals. Many team members prefer to
work much in advance and some people believe in working last minute it can clash between
the team members.
Achieving the goals
Teamwork is a very important in any organization and the having a very good team dynamic is
a factor when determining the performance and growth of the organization. In order to make
this event successful, working as part of a team played a critical role. As a team member of
EMPOWER we had a strong leadership in our group. Also understanding each member’s ideas
and personalities that means recognizing each person’s style of work, motivations and level of
working skills can help the leader to understand how that person fits within the group. So group
wise the team is achieved.
By individually I found my weakness and it is turn into strength so that I can improve my self
in more better and also we did our IT workshop successfully by that I can do my assignments
more effectively also we can successfully complete the assigned task.
Analysing Team Dynamics
Team dynamics could be said to be a motivating force that drives a team towards its goals and
missions. The team dynamic could be analysed by using the following factors given below:

Identifying a leader: In any team dynamic, there must be a leader who creates a set of shared
goals for the team to work towards. In addition to this, the leader also helps coordinate and
guide the team therefore, increasing the team’s performance.

Establishing Roles and Responsibilities: To have a successful team dynamic, each team
member should be given a specific role to play within the team. Along with this role, each
member should have a set of duties.
•
Setting Goals and Objectives: Each team should have a set of goals and objectives discussed
among the team and set by the team leader. This creates an effective team dynamic as everyone
in the team is working towards share goal.
•
Develop a method for making agreements – This factor ensures that the team comes to an

When analysing the team dynamic for the Training event, it could be said that our team dynamic
was effective. This is because we identified a leader for the team who was Mr. Sandeepa , Ms.
Ayachana, and Ms. Sheleena. From the beginning till the end of the event, they guided the
team successfully and set a clear pathway to meet the goals set by the team.
In establishing roles and responsibilities, each member of the team was given a specific role
(refer to Breakdown of team structure table) to play within the team and each role that was
assigned had a specific set of responsibilities which were carried out in a timely manner by the
team members and monitored by our leaders.
The team also had a set of shared goals and objects that we discussed initially when planning the
event. The goals that were set are as follows:

Provide a successful training event to a community
•
To prepare the students to build electronic projects
•
To prepare the students to face their future exams successfully
About developing a method making agreements, it was settled that within meetings, we would
discuss and analyse each person’s opinions and ideas. Then, the most suitable ideas would be
chosen and agreed upon and an action plan would be made as to how this would be
implemented.

Evaluating own role
Having being a group member of the team, it was highly important to have extensive
knowledge of my own role. It could be said that I carried out my own role as a group member
effectively as throughout each meeting, I kept track of all of the outcomes of meetings as well
as created the relevant documentation that was needed for the event. Therefore, without
completing my duties effectively, the team would not have been able to carry out the Training

Importance of a Continuing Professional Development
What is CPD?
CPD stands for Continuing Professional Development. It refers to the process of tracking and
documenting the skills, knowledge and experience that you gain both formally and informally
as you work, beyond any initial training. It’s a record of what you experience, learn and then
apply. The term is generally used to mean a physical folder or portfolio documenting your
development as a professional. Some organisations use it to mean a training or development
plan, which I would argue is not strictly accurate. This article is about Continuing Professional
Development as a process of recording and reflecting on learning and development. (Anon.,
1998-2019)

Importance of CPD……
Continuing Professional Development exists to ensure that an individual enhances their skills
and abilities once they have formally qualified. Typically, academic qualifications have
already been completed at this stage and an individual is now working within their specific
industry and job function. CPD is important as it helps to ensure that further learning is
progressed in a structured, practical and relevant way to guarantee that there are applied
efficiencies in learning. CPD allows an individual to focus on what specific skills and
knowledge they require over a short-term period, say 12 months, in order to be confident there
is recognisable improvement within their proficiency and skill sets. (Anon., n.d.)
Need for CPD in our event
There was a need for CPD in order to carry to the training session successfully as this is the
first event of this kind that we had done as a team so this meant that we had to develop and
own knowledge about the subject. I believe that Continuing Professional Development (CPD)
is crucial for our workshop, whether we do it to develop existing skills and improving our
knowledge of a specific workshop. Also, by doing this, we were able to gain skills which we
could apply to other professional events that are carried out in the future as well as jobs since
having extensive knowledge of is a highly useful skill when it comes to a workplace
environment. I believe that Continuing Professional Development (CPD) is crucial for our
profession, whether we do it to develop existing skills and improving our knowledge of a
specific industry we already work in, or whether our objective is to find a new specialism.
However, CPD can be quite expensive, and at times, it is difficult to know if it will be worth
our time and money.

Herzberg’s Motivation Hygiene Theory
Herzberg's Motivation Theory model, or Two Factor Theory, argues that there are two factors
that an organization can adjust to influence motivation in the workplace. These factors are:
Motivators: Which can encourage employees to work harder. (Anon., 2020)
Maslow’s Need Hierarchy Theory
Maslow's hierarchy of needs is a motivational theory in psychology comprising a five-tier
model of human needs, often depicted as hierarchical levels within a pyramid. ... From the
bottom of the hierarchy upwards, the needs are: physiological, safety, love and belonging,
esteem, and self-actualization.

Porter and Lawler’s Expectancy Theory
The Porter and Lawler theory of motivation is based on the assumption that rewards cause
satisfaction and that sometimes performance produces reward. It is a multi-variable model and
explains the complex of relationship among motivation, performance and satisfaction.

Producing a Personal Development Plan
A personal development plan is a process that consists of defining what is important to you,
what you want to achieve, what strengths you already have that help to achieve your goals, and
what you need to improve and develop with time.
Define Your Goals : The first step is to define goals that are really important to you. It can be
something related to your career, but also something that will enrich or improve your personal
life (like lose weight, start a new hobby/activity, or learn a new language).
Prioritize : Out of all goals you wrote down, which one is the most important? This is your key
goal which will be your focus.
Set a Deadline : Create a deadline as to when you want to complete these goals by so there is a
clear timeframe.
Understand Your Strengths : By understanding our strengths, we can find the best methods to
meet our goals.

Recognize Opportunities and Threats : Your current behaviours and habits can either support
or not support you to achieve your goal.

In our training event, we used the following methods in order to make the training event more
effective:

We took feedback from the participants to see what was positive about the event and what
could be imported as part of CPD in the future.

Conduct a virtual presentation on presentation skills.
•
Live demonstration of Microsoft PowerPoint.
•
Engaging each participant in creating a presentation.

Conduct the project with our maximum effort, team spirit, and participant of all members.
Developing skills for both personal and professional, presentation skill plays a major role.
Practicing presentation skill modifies designing, delivering, preparing, gestures, timing, and
interaction with audience When it comes to CPD. Therefore, this was a big advantage to the
participants that we implemented a training workshop, as they were able to gain valuable skills
and knowledge about the subject. These skills could then be used in the future and expanded
upon through further use of CPD.
The following are also benefits that we found:
