CHAPLAINCY ADMINISTRATOR
Starting salary in the range £20,989 to £22,249 per annum
The postholder will support the University Chaplaincy team and student volunteers to ensure the
effective and efficient operation of the University Chaplaincy. This will involve routine clerical and
administrative duties associated with the day-to-day operation of the Chaplaincy including
organising and promoting events and the production of the Chaplaincy newsletter
An important element of the role will be to contribute to raising awareness of pastoral care
provision within the University and establishing an informal bridge between the University
community and pastoral care services available via the Chaplaincy.
Applicants should have proven administrative experience, a knowledge and understanding of the
Roman Catholic Faith and the Roman Catholic Church and the ability to prepare the Chapel and
associated facilities for worship.
Excellent communication, organisational and IT skills, to include familiarity with Microsoft Office, are
all essential requirements of this position. Hours of work will be 35 hours per week by arrangement
with the Coordinating Lay Chaplain.

JOB TITLE:
Chaplaincy Administrator
GRADE:
Grade 5 (points 16 -18)
HOURS OF WORK:
35 hours per week. Out of hours work may be required on occasion,
in consultation with the Coordinating Lay Chaplain.
RESPONSIBLE TO:
Coordinating Lay Chaplain
INTERNAL CONTACTS:
Staff and students of the University.
EXTERNAL CONTACTS:
Visitors to the University Chapel and Chaplaincy and more generally,
when required, other who have dealings with the University.
PURPOSE OF POST:
To support the University Chaplaincy team and student volunteers
(as appropriate) to ensure the effective and efficient operation of the
University Chaplaincy.
GENERAL DUTIES AND RESPONSIBILITIES:
1.
The Administrative Role
1.1
To carry out routine clerical and administrative duties associated with the day-to-day
operation of the Chaplaincy including (but not restricted to):
• Organising and promoting events
• Updating, maintaining and editing the Chaplaincy website and intranet site
• Communicating with staff and students via social media
• The production of the Chaplaincy newsletter
• Dealing appropriately with monies collected as part of the Chaplaincy activities
(Sunday collections; outing/trip deposits) and maintaining accurate records of
monies deposited with the Finance Office
• To maintain stocks and order supplies for the chaplaincy team and Sacristy in a
timely manner
• To prepare agendas and papers and take notes at regular Chaplaincy Team
Meetings
• To undertake risk assessments for Chaplaincy led events (religious and nonreligious, on and off campus) as required.
1.2
To deal with routine operational matters in the absence of the Coordinating Lay Chaplain to
ensure the effective operation of the Chaplaincy.
1.3
To assist members of the Chaplaincy team with the organisation and promotion of secular
and spiritual Chaplaincy events for Staff and Students.
1.4
To assist the Coordinating Lay Chaplain in organising pilgrimages, religious and nonreligious events both home and abroad.
1.5
To liaise with the Diocese of Leeds, local Catholic parishes, local Church leaders, other
Chaplaincies, the Students’ Union, other religious and other groups within the University as
required.
1.6
To represent the Chaplaincy at internal and external events and on University committees
as directed by the Coordinating Lay Chaplain.
1.7
To work with the Marketing and Events teams to promote Chaplaincy services, lectures
and events across the campus in a timely manner, raising the profile and engaging with
staff and students.
1.8
To contribute ideas, time and effort to fostering the Catholic identity of the University.
1.9
To organise provisions for weekly and monthly events such as the “Tea on the Landing”
1.10
To keep proper Health and Safety records for Chaplaincy events including risk
assessments.
2.
The Sacristan/ Liturgical Role
2.1
To maintain the Sacristy in clean and tidy order, and to prepare the Chapel and associated
facilities for worship as required. To clear away liturgical items after services, and to
maintain the Chaplaincy and the Multi-Faith Prayer Space in clean and tidy order.
2.2
To provide administrative support in the creation of liturgical services or prayer
opportunities as required
2.3
To ensure that the Chaplaincy and the Multi-Faith Prayer Space is kept well stocked with
appropriate materials. To buy, arrange and keep the Chapel flowers fresh and appropriate.
3.
The Pastoral Role
3.1
To raise awareness of pastoral care provision within the University and establish an
informal bridge between the University community and pastoral care services available via
the Chaplaincy.
3.2
To provide a listening ear and safe space to staff and students who wish to talk, and to
share the concerns of Staff and Students, showing sensitivity to those who may need help
and initiating appropriate action by involving relevant others where necessary. To respect
and maintain confidentiality at all times as appropriate.
4.
Other
4.1
