ITAC Meeting DRAFT Minutes

1. Approval of minutes from last meeting (1:10-1:15)

2. Election of secretary (1:15-1:20)

3. Update on classroom technology upgrades (1:20-1:30)

10 rooms scheduled during break, almost done: 1 in Creative Arts, 9 in Batmale

Missing still are instructor computers and stations. To be done in the next few weeks.

Instructor stations include plugs for HDMI, network, USB, and power.

Also done were 8 more rooms in Mission, from different grant.

Civic Center rooms done as part of its relocation project.

Part 2: Downtown: 6 rooms. Part 3: Next set of rooms from list

Nathan Steele will do training, available online too.

4. Update on replacement computers for faculty/staff (1:30-1:40)

List is updated on ITAC web site. Apple computers arrived recently.

Computers rolled out as techs are available.

Link to computer options will be added to ITAC page.

Student lab computer replacements are done via Program Review.

5. Identity Management Project update (1:40-1:50)

Pilot of RamID credential claiming process for 50 ITS staff completed: Synchonization with

Office 365, and ability to reset passwords via web.

Plan is for all staff and faculty to complete it this semester, starting with some staff.

Student pilot coming soon, including Starfish.

Passwords expire in 6 months, as they do now. Password changes should be on RamID web site only (not just Windows password reset as we do now.)

Helpdesk will still be available as a backup if password changes on web site don’t work for someone.

We discussed which login name should be standard for student access to all systems.

6. Accreditation Self-Study reading/discussion (1:50-2:10)

Update to current dates: email, CurricuNET, and wireless connectivity. This is in early testing with the ITS staff and will be rolled out to all employees in November and December 2015. The same service will be deployed for students during Spring 2016.

Launch in Fall, for iPhone 5 and up, Android, and Windows phones.

8. Downtime for Banner (2:25-2:35)

- Student system upgrade March 4-6.

(Friday – Sunday) for large upgrade of Student module plus others. Student module still has a lot of customizations to Banner, making upgrades harder.

- Reason for downtime at beginning of January

Had to be early enough to reduce impact to student registration. Had to be done for W2’s.

Was HR and Payroll module.

9. Data entry inefficiency with grades and CurricUNET - integrate with new LMS? (2:35-

2:45)

More than Moodle, Canvas allows mapping of assessments to SLO’s. Challenge now is how to import SLO’s from CuricUNET to Canvas.

New Network engineer, and New Principal Programmer (was at Ellucian)

11. Education Technology Department report (2:50-2:55)

Cynthia Dewar is now the Chancellor’s chief of staff. Diana Markham is now chairing Ed

Tech.

Garret Wong moved from A&R to Ed Tech. A&R hoping to fill that position soon.

February 22 is decision date on Canvas migration or not. Pilot is running right new with a few courses.

Canvas is free for another 4 years or so through State Chancellor’s Office.

Rollover of classes could start in late Spring. Require all online classes to use Canvas by Spring 2017.
